How Rentlio statuses workOverview
A Rentlio cleaning status is a colour on the calendar, not a record of a clean. It sits on the unit, it changes when someone opens the pop-up and picks a new one, it is not tied to a date, and an occupied unit is switched back to dirty automatically each night. Nothing in it says what the cleaner found, what the guest broke, or whether the unit is fit for the arrival at four. RapidEye supplies that half: it reads the unit list, the statuses and the reservation dates from Rentlio, reads the photos taken during the turnover, and returns a finding per unit with the before and after frames attached.
How it works with Rentlio
Rentlio's day is the calendar: arrivals, departures and stays, with a coloured status on each unit so the desk can see what is sellable. The checks hang off those same moments.
- The departure. This is the only hour in which damage can still be attributed. Photos taken before the clean starts are compared against the last known good state of that unit: a chipped hob, a missing hairdryer, a stain on an armchair, a broken blind slat, each returned with both frames and the departing reservation's dates.
- The clean, before the status is changed to clean. The after photos are what the status is about to stand on. RapidEye reads them for what a colour cannot show: a bed made over a marked sheet, limescale left on the screen, a bin not emptied, a bulb out, crumbs in a drawer, terrace furniture still stacked.
- For inspection. Rentlio gives you the status but no place to put the inspection. RapidEye fills the gap: the unit sitting in for inspection gets a list of what is wrong with it, ranked, so the person who drives out is going for a reason.
- Stays. Long summer bookings drift. Mid-stay photos, when your team takes them, are read against the arrival state, which is how a lost remote or a cracked shower door is caught while the guest is still there to talk to.
- Out of service and out of order units. A maintenance status carries a reason in words and a date range. RapidEye keeps the photo from before the block and the photo after the work, so the repair has a dated pair to show an owner.
Each finding names the unit and the room inside it, what kind of problem it is (damage, cleaning, missing item, maintenance), how serious, the before and after photos, and a suggested next step. The place findings live is the RapidEye dashboard; a Slack post or an email can carry each one to the person who acts on it. What happens in Rentlio afterwards is yours: set the unit back to dirty, block it, or bill the guest. Photos are where most teams start and not the limit. Video walkthroughs, a 3D scan per apartment, or findings scored against a checklist your agency already uses, are all things we set up with you on the first call.
How to connect Rentlio to RapidEye
- A Rentlio account with the units you clean. Every unit on the calendar carries a cleaning status and the reservations either side of the turnover. That unit list and those dates are what RapidEye reads, across every property on the account.
- Photos from the turnover. Rentlio documents no photo field, so RapidEye sends a capture link that opens on any phone with nothing to install: a fixed set of angles per room, lights on, taken at the end of the clean. If your cleaners already photograph turnovers in another app, or send them to a group chat, RapidEye reads those instead.
- Invite RapidEye to a team. Rentlio's Teams screen is where an account owner adds people and sets what they can see; the modal has the path and the address to invite.
How Rentlio cleaning and maintenance statuses work

Rentlio runs two independent tracks on the same unit. According to Rentlio's help centre documentation (rentl.io), a unit can hold a cleaning status and a maintenance status at once, and the two do not affect each other: the help centre's own example is a unit that is out of service and dirty because the bathroom flooded, and one that is out of service and clean because a curtain holder needs fixing. Both are set from the calendar, by clicking the unit and using the pop-up, and both are visible on the mobile app. The cleaning track is the one a turnover moves through.

The status is deliberately not tied to a date: it shows the unit's current state and nothing else, which is why it is useless as a history. The maintenance track is the opposite, tied to a period, and it changes what the unit is worth on the calendar.
A reason typed onto a maintenance status shows on the calendar in place of the status name, and units under maintenance also gather on the dashboard for a quick overview. Elsewhere, Rentlio gives you a task list behind the check icon in the bottom left, where a note can carry a reminder date and gets ticked off with a circle, and a Teams screen where an account owner invites people by email address into teams that hold view or edit rights over chosen properties.
Can Rentlio show you whether a unit was properly cleaned?
No, and it does not claim to. Every cleaning status in the documentation is either typed in by a person or generated by the nightly rule for occupied units. The task list holds text and a reminder. Teams control who may look at the calendar, not what the calendar knows. The mobile app article covers the same statuses on a phone, and no article in the help centre describes attaching an image to a unit, a status or a task. So the photos exist, they are just in a chat group, on a phone, out of order, unreviewed. RapidEye is the part that reads them, every turnover, and puts the result next to the unit they belong to.

Does RapidEye integrate with Rentlio?
Yes. RapidEye reads your unit list, cleaning and maintenance statuses and reservation dates from Rentlio, plus the photos taken during the clean, and returns a finding per unit: damage, a missed clean, a missing item, or something for maintenance, with the before and after photos. Your calendar, statuses, reservations and teams in Rentlio stay exactly as they are.
What does the for inspection status in Rentlio actually record?
The status itself, and nothing more. Rentlio documents cleaning statuses as clean, dirty, for inspection, cleaning and DND, set from a pop-up when you click the unit on the calendar. The status shows the current state of the unit and is not tied to a date, and no field in the documentation records what an inspection looked at or found. RapidEye is what turns for inspection into an inspection with a record.
Can I attach cleaning photos to a unit in Rentlio?
Rentlio's documentation describes no photo field on a unit, a cleaning status or a task. Photos of the clean live on the cleaner's phone or in a chat group. RapidEye takes them from there: a capture link that opens on any phone with nothing to install, or the app your cleaners already use if they photograph turnovers in one.
The status flips to dirty every night. Does that break the check?
No. Rentlio switches an occupied unit to dirty each night, which is why the status alone cannot tell you when a clean happened or how it went. RapidEye works from the reservation dates and the photos, so a finding sits between a known checkout and a known arrival regardless of what the status says this morning.
Do my cleaners need a Rentlio login?
Not for RapidEye. Rentlio's Teams feature exists for staff who need the calendar, with view or edit rights per team and per property, but a capture link needs no account at all. Cleaners who already work in the Rentlio mobile app keep doing exactly that.
Will RapidEye change anything in Rentlio?
No. Rentlio stays the system of record for the calendar, rates, availability, statuses and reservations. RapidEye reads and reports; whether a unit goes back to dirty, or gets an out of service block while a repair is booked, is your decision in Rentlio.
