What the housekeeping list holds

Overview

elina's housekeeping record is a to do list, a room status and a note, and all three are text. The daily housekeeping to do list says which units need attention and lets you look at future days; maintenance requests are created and managed beside it; the room status on the reservations calendar moves between clean, dirty, available, off the market, maintenance and booked by owner; and a note can be assigned to a person, labelled, and kept in a history against the reservation, the guest, the company or the property. What none of those hold is a picture of the apartment. RapidEye reads the unit list, the reservation dates and the status from elina, plus the photos your housekeepers take, and returns one finding per problem with the before and after frames beside each other.

How it works with elina

elina already tells you which units need doing and how they are set up. The checks follow its own objects rather than a shape borrowed from somewhere else.

  • The daily housekeeping to do list. This is the day's work in one place, and it is the list RapidEye reads against. A unit appears, the housekeeper works it, photos come off the phone, and a finding comes back for that unit: a shower screen still marked, a bed made over a stained sheet, a bulb out in the hall, a bin liner not replaced.
  • Future housekeeping by days. Because elina lets you look at housekeeping days ahead, you can see which apartments are about to sit empty and which are about to turn. A unit that has been closed for a fortnight collects dust and dead bulbs, and the photo taken before the next arrival is the one worth reading.
  • Room status. Clean, dirty, maintenance and off the market are set by people. RapidEye reads the photos behind the status change, so an apartment moved to clean with a cracked splashback in the frame comes back as a finding rather than as a guest message two days later.
  • Maintenance requests. elina lets you create and manage them. RapidEye supplies the thing a request is usually missing: the dated photo of the fault, plus the earlier photo of the same spot without it, which settles when it started and often who was in the apartment at the time.
  • Notes and their history. A note assigned to a person and labelled is how elina teams pass detail around. A finding is the version of that note nobody had to write, with the evidence attached, and it names the unit and the reservation so the note history stays useful.
  • Areas, types and units. elina organises property as area, type and unit, with custom fields at every level. Findings roll up the same way, so a manager can look at one building rather than one apartment and see which floor keeps producing the same problem.

Each finding names the unit and the room, what kind of problem it is, how serious it is, the before and after photos, and a suggested next step. It lands in the RapidEye dashboard, and in a Slack channel or the housekeeping office inbox if you want it there. Whether the status goes back to dirty, whether a maintenance request gets raised, whether anything is charged, is yours to decide in elina. Photos are the easiest input, not the only one. How to connect elina to RapidEye

  1. Your elina units. Have the units you clean set up in elina at the level you actually work: the area for the building or location, the type for the category, the unit for the individual apartment. Findings come back on the same unit names.
  2. Photos from the housekeeper. elina's housekeeping record is a to do list, a room status and a note, so the photos come from a phone. If your housekeepers already shoot a set into an app, RapidEye reads those. If they do not, RapidEye sends a capture link that opens on any phone with nothing to install, taken before the room status is set to clean.
  3. Add RapidEye as a staff profile. elina allows unlimited users and lets you assign a permission level that limits access, so a scoped profile is enough. The modal has the details.

What elina housekeeping actually holds

elina has been cloud reservations software for serviced apartments, hotels and short stay rentals since 2008, and it is unusually candid about what its operational side is. According to elina's own feature documentation (elinapms.com), task management is four things: a daily housekeeping to do list, a view of future housekeeping by days, an order delivery list, and the ability to create and manage maintenance requests. Around that sit notes and room statuses. That is the entire record of a clean.

The six room statuses

elina lists these on the reservations calendar, beside booking statuses of checked in, checked out, payment received, no payment received and overstayed. The calendar is designed to be readable, including for colour blind users, and it is what the front desk trusts when it decides whether an apartment can be sold tonight.

A status is a statement of intent. It is set by a person, it is one word wide, and it is the only thing elina keeps about the condition of an apartment.

What a note carries, and the one field that is missing

Notes are the richest operational object elina documents, and they are worth understanding properly, because in most serviced apartment teams the note is where condition detail actually lives.

Does elina have a housekeeping app with photos?

Not one its documentation describes. elina is browser software with unlimited users, each with a login, and its own pages say housekeeping people work from the list and the statuses. Photos appear in the feature list twice, both times as content: adding and removing property photos per area, type and unit, and creating access information with text, links, videos and images. Neither is a record of a finished clean. So on elina, the gap is narrow and specific: the system knows exactly which apartment was cleaned, by which cadence, on which reservation, and knows nothing at all about how it looked. That is precisely the half RapidEye supplies.

Does RapidEye integrate with elina?

Yes. RapidEye reads the unit list, the reservation dates and the room status from elina, plus the photos your housekeepers take in each unit, and returns a finding per problem: new damage, cleaning that was missed, an item that is gone, a maintenance issue, with the before and after photos. Nothing in elina changes. The calendar, the room statuses, the notes, the invoices and the owner statements stay exactly as they are.

Can you attach photos to a room or a clean in elina?

Not as condition evidence. elina's own feature list describes photos as property content: images you add per area, type and unit for the booking engine, and access information that can carry text, links, videos and images. The operational record of a clean is a housekeeping to do list, a room status and a note, and a note is text you assign to a person and label. So the photograph that would prove the room was actually clean lives on a housekeeper's phone, which is where RapidEye reads it.

What does clean mean in elina?

It means somebody set it. Clean is one of six room statuses elina lists on the reservations calendar, alongside dirty, available, off the market, maintenance and booked by owner. The status tells the front desk the room can be sold; it carries no evidence of what the room looks like. RapidEye reads the photos taken in that unit and either confirms the status or contradicts it, naming the unit and the reservation so you know which door to open.

We run serviced apartments with month-long stays. Does that work?

It is the harder half of the problem and the one worth solving. elina puts short, mid and long stays in one calendar, which means a unit can go weeks between the moments anyone is inside it. RapidEye keeps the unit's earlier photos, so a service clean four weeks into a stay is compared against how the apartment looked at move-in rather than against nothing.

Does RapidEye need access to guest or financial data in elina?

No. What is useful is the unit list, the reservation dates and the room status, so a finding lands on the right apartment and the right stay. elina lets you assign a permission level to a staff profile that limits what that user can reach, so the account we use can be scoped to the operational side and nothing else.
