How a Lodgify task inspection works

Overview

A Lodgify task inspection is a queue, not a check: it puts the finished task in front of a person, and the person decides. On the Ultimate plan, a Lodgify task carries the rental, a start time taken from the check-out, an assignee or a role, a checklist whose items can each require a photo, and an inspector who must Approve or Reject before the status turns Completed. The photos are the only part of that record that shows the property; the ticks, the timestamps and the Approve button all record what people did. RapidEye reads the photos on every task that reaches Inspection pending, along with the rental, the associated reservation dates and who did the work, and returns one finding per problem: new damage, a checklist item photographed but not done, an item that has gone missing, with the current photo and the last photo of the same spot side by side.

How it works with Lodgify

Lodgify builds the turnover from the booking outward: an auto-scheduled task fires on the check-out, the assignee claims it in the mobile app, works down the checklist, uploads the photo each mandatory item demands, and marks it complete, at which point it sits at Inspection pending until someone with the right role approves it. RapidEye reads at the last step, where all the evidence has arrived and nobody has time to look at it.

  • Mandatory photos on checklist items. This is the core of it. A checklist item with "Picture required" on it means every turnover produces a photo of that spot, taken by whoever did the work, before the task can close. RapidEye reads each one against the last photo of the same item at the same rental. Suppose a two-bedroom rental has a "Living room reset" item: a new scuff across the coffee table that was not in last Thursday's photo comes back as a damage finding, attributed to the reservation that ended today, with both photos and the check-in and check-out dates from the task.
  • The tick against the photo. Lodgify's help centre says checklists help inspectors make sure tasks are completed in their entirety, but a tick is the assignee's word. RapidEye reads the photo the tick refers to. "Bathroom cleaned" ticked, with a photo showing a ring in the toilet bowl and a towel still on the floor, is a cleaning finding; the inspector sees it before Approve, not after the guest does.
  • The associated reservation. The mobile app shows the reservation's check-in and check-out at the bottom of the task. RapidEye uses those dates to put every finding on the right guest, so a chip in the tile that appeared during this stay is not blamed on the next one.
  • Tasks assigned to a role. When a task goes to "any cleaning staff for this rental" and someone claims it, RapidEye records who. Over a season that becomes a view of which cleaner's tasks carry findings and which come back clean, per rental.
  • One-time tasks and the maintenance visit. A manual task for a plumber or a restock, with a photo required, is read the same way. A hypothetical example: a "Replace hallway bulb" task whose photo shows the fixture lit is confirmed done; one whose photo shows the ladder and not the light is a finding.
  • Photos and videos from the mobile app. Lodgify's mobile app lets a team member add photos and videos to each checklist item. Where a cleaner films a room instead of shooting it, RapidEye reads the video.

A finding names the rental and the room, the kind of problem (damage, cleaning, missing item, maintenance), how serious it looks, the current and previous photos, and a suggested next step. It lands in the RapidEye dashboard and, if you want, a Slack channel or an inbox, ahead of the inspector opening Lodgify. What happens in Lodgify is your call: Approve, Reject so the task returns to the assignee, or a new manual task for the fix. These are examples, not the edges of the product. Teams whose cleaners film a walkthrough, who have 3D scans of their rentals, or who want findings scored against their own inspection form get that set up with us on the first call.

How to connect Lodgify to RapidEye

  1. An auto-scheduled cleaning task with inspection on. In Lodgify, go to Calendar, then Tasks, and open the cleaning task you auto-schedule from checkouts. Turn the inspection toggle on and pick an inspector, and on the checklist items you want checked, require a photo. Every checkout then creates a task on that rental, timed from its check-out, and that task is what RapidEye reads.
  2. Photos on the checklist items. Your team uploads the mandatory photos to each checklist item in the Lodgify mobile app before marking the task complete, and those are what RapidEye reads. If you are not on the Ultimate plan, or a task has no photo requirement, a RapidEye capture link takes the photos instead: any phone, no app, a fixed set of angles per room.
  3. Add RapidEye as a team member. In Lodgify, go to Users and add Rapid Eye with the email support@rapideyeinspections.com, choosing the rental manager role so the account can see tasks across your rentals, then assign it to the rentals you want checked. We accept the invitation and email you when the first findings are ready.

Nothing changes for the cleaner: same app, same checklist, same photos. Nothing changes on the task calendar either.

How a Lodgify task inspection works, from checklist to Approve

Lodgify is a vacation rental platform built around the booking calendar, a channel manager and a direct-booking website, and its task management lives in the Calendar section under Tasks, exclusive to the Ultimate plan. According to Lodgify's help centre documentation (lodgify.com), a task is created by the account holder, an administrator or a rental manager, either as a one-time task or auto-scheduled from bookings so that a checkout generates the cleaning task. The form that creates it is where every later question gets decided, so it is worth reading field by field.

Two rules in the documentation shape who sees what. Cleaning staff, rental owners and checking agents see only tasks on their assigned rentals, plus tasks created with no rental; account holders, administrators and rental managers see the calendar whole and can filter by role and assignee. And only the account holder, administrators and rental managers can inspect. The cleaner cannot approve their own task, which is the right design, and also the reason a manager with forty tasks on a Saturday is the bottleneck.

The five statuses, and where the photos are

Lodgify's help centre lists five task statuses and colours them on the mobile task calendar. Only one of them holds the evidence.

Rejecting a task sends it back to Pending or Overdue and the assignee is notified that it has to be redone; the task manager can also Uncomplete a task from the mobile app. Lodgify's mandatory-photo rule is strict in one useful way: until a photo is uploaded for every item that requires one, the task cannot be marked complete at all. So an operator who turns the requirement on gets a photo of every required spot, on every turnover, with no exceptions. What Lodgify does not do is look at them.

Does Lodgify check the photos, or only collect them?

Only collect. Lodgify's task management page says to review the work, check the photos and only then mark it complete, and its help centre describes the inspector opening a task at Inspection pending and choosing Approve or Reject. Both put the checking on a person. The articles on completing a task, handling inspections, the mobile app and the Ultimate features guide all describe how photos get onto a checklist item and who may approve; none describe the photo being compared with anything, flagged, or measured against the last turnover. That is exactly the shape RapidEye fits. Lodgify has already solved the hard operational half, making the photo exist for every item on every task, and left the half that does not scale, looking at all of them, to the inspector. RapidEye does the looking and hands the inspector a short list.

Does RapidEye integrate with Lodgify?

Yes. RapidEye reads the mandatory checklist photos your team uploads to Lodgify tasks, along with the rental, the associated reservation dates and the assignee, and returns a finding for every task that reaches Inspection pending: damage, cleaning that was skipped, an item that is gone, with the current photo and the last known photo of the same spot. Your tasks, checklists, auto-scheduling, inspectors and statuses stay as they are. RapidEye writes nothing to Lodgify.

Do I need to be on the Lodgify Ultimate plan?

For this shape of the integration, yes. Lodgify's help centre marks the task calendar, and with it checklists, mandatory photos and inspections, as exclusive to the Ultimate plan. On Starter or Professional there is no task to read, so RapidEye supplies a capture link instead: any phone, no app, a fixed set of angles per room, and the findings tie to the rental and the booking dates from your Lodgify calendar.

Do my cleaners have to change how they complete a Lodgify task?

No. They open the task in the Lodgify mobile app, tick the checklist and upload the mandatory photos the way they do now. The one habit that helps is shooting each item from the same spot every time, lights on, so a photo of the kitchen this Saturday lines up with the photo of the kitchen last Saturday. Where a checklist item has no photo requirement, RapidEye can only read what is there, so the items you care about most are the ones to make mandatory.

Can RapidEye approve or reject a Lodgify task inspection?

No, and it should not. Approve and Reject in Lodgify are decisions for your account holder, an administrator or a rental manager. RapidEye reads the photos on a task at Inspection pending and tells the inspector what they show, so the person clicking Approve has looked at the one photo out of thirty that matters. The status changes only when your inspector changes it.

What does RapidEye do with the videos my team adds to checklist items?

Reads them the same way. Lodgify's mobile app lets a team member add photos and videos to each checklist item, and a short clip of a room shows more of it than a still. RapidEye reads video walkthroughs as well as photos; a team that already films the turnover on Lodgify gets that set up with us on the first call.
