How an OwnerRez Task works

Overview

An OwnerRez Task records that something needed doing on a Property, who it was assigned to, and how it was resolved; it does not record whether the Property was actually in the condition the resolution implies. The Task carries a Category, a Name, a Status, an Assignment, a Property and a Booking, and every note added to it can hold photos. OwnerRez counts those photos in the Tasks grid and shows them in a carousel, and that is where its involvement with them ends. RapidEye reads the note photos, together with the Property and Booking on the Task, and returns one finding per problem: new damage, cleaning that was missed, an item that is gone, with the matching photo from before the stay beside it.

How it works with OwnerRez

OwnerRez puts the whole life of a job on one Task: the fields at the top, a running thread of notes underneath, and a resolution at the end. Photos enter through the notes. Each kind of Task your team runs is a place those photos get taken, and each is something RapidEye can read.

  • The cleaning Task after a departure. The cleaner adds a note with the room photos before marking the Task Complete. RapidEye reads them against the last set from the same Property: a bed made over a stained sheet, a streaked shower door, a bin liner not replaced, a hallway bulb still out. If the set skips the second bathroom entirely, that is a finding too, because a missing photo is how a missed room stays missed.
  • The first photos after checkout, before cleaning starts. OwnerRez's own cleaner-library templates ask the cleaner to document the state of the property after the guest departs. Those photos are the closest record of how the guest left it. RapidEye compares them with the previous turnover's after photos, so a chip in the kitchen tile is attributed to the Booking on this Task and not to the one before. As a hypothetical: a Task tied to a four-night Booking at a three-bedroom Property comes back with one finding, the chip, the photo from before the stay beside it, and the Booking's dates between them.
  • A Guest Request Task that Rezzy AI created. When Rezzy turns a guest message about a stuck patio door or a leaking tap into a Task, the photo your maintenance person attaches when they close it is read the same way, so the repair has a dated before and after rather than a resolution label.
  • Maintenance and inventory Tasks. OwnerRez describes Tasks covering maintenance projects, inspections and inventory checks. A photo of the linen closet or the kitchen drawers, attached to a recurring Task, is checked against what a stocked Property looks like at that address: the missing second remote, the cutting board that left with a guest, the crock pot that is now two.
  • The Booking's cleaning date and time. OwnerRez lets you set a Cleaning Date and Cleaning Time on a Booking under Change/Move Booking, shown in the ribbon popup. RapidEye uses the Booking's dates to know which stay the photos belong to, and which Task is the turnover for it.

A finding names the Property and the room, the kind of problem (damage, cleaning, missing item, maintenance), how serious it is, the photo and the photo it was compared against, and a suggested next step. Every finding goes to the RapidEye dashboard, with Slack or email as a second copy if you ask for one. What happens next in OwnerRez is yours: a note on the Task, a new Task for the handyman, a Damage Protection claim from the Booking's Insurance tab, a line on the owner statement. Treat the photo examples as the common path, not the only one. How to connect OwnerRez to RapidEye

  1. A Task per turnover, tied to the Booking. In OwnerRez, Tasks live under Tasks in the left navigation. Each Task carries a Category, Name, Status, Assignment, Property and Booking. The Property and Booking fields are what tie a photo to a unit and a stay, so fill them on the cleaning Task, whether you create it by hand or Rezzy AI creates it from a guest message.
  2. Photos on the Task notes. Your cleaner opens the Task in the OwnerRez app on their phone, adds a note and attaches the room photos to it. Those note photos are what RapidEye reads. If your team does not attach photos yet, a RapidEye capture link goes in the Task description instead: any phone, no app, a fixed set of angles per room, taken before the Task is marked Complete.
  3. Invite RapidEye in Team Access. In OwnerRez, go to Team Access, open the Staff tab, and click Invite Staff Member. Add Rapid Eye with the email support@rapideyeinspections.com, with Read-only access to the properties you want checked. OwnerRez emails us the invitation and we accept it.

That is the whole setup. Cleaners keep the same Tasks and the same app, the Tasks grid looks the same, and the resolutions stay yours to choose.

How an OwnerRez Task works, from New Task to Resolved

According to OwnerRez's support centre documentation (ownerrez.com), a Task is created from the Tasks page with the + New Task button, or by Rezzy AI when it finds an actionable item in a guest message. The form asks for a Category, a Name, an optional Description, a Status, an Assignment, a Property, a Booking, whether the Task is a Priority, and any files to attach. From there the Task lives in a grid sorted by last activity, with a dedicated column counting its photo and file attachments, and it is worked through notes until someone resolves it. Who can see a Task, and who can put a photo on one

OwnerRez manages every login under Team Access, split into a Staff tab and a Portal tab. The distinction matters here because it decides which of your people can attach the photos, and how RapidEye gets to read them.

Before April 2026, Tasks were an internal tool; OwnerRez's April release brought them into the Portal with these roles, and its announcement described cleaners, maintenance staff and front desk teams collaborating in Tasks directly. So the cleaner with a Worker login is, in OwnerRez's own design, the person adding the note with the photos.

Does OwnerRez review the photos on a completed Task?

No, by design. OwnerRez's Tasks documentation describes storing photos on notes, counting them in the grid, showing them inline and in a full-screen carousel, and notifying the team when they arrive. Its resolution list is a set of labels a person picks; Complete is a checkbox a person ticks. On housekeeping more broadly, OwnerRez says it offers a single scheduling option (a Cleaning Date and Time on the Booking) and points larger operations to its housekeeping service partners for detailed scheduling. Nothing in the support centre describes anyone, or anything, looking at a photo and saying what it shows. That is the gap this integration fills: OwnerRez already collects the photo on the Task, tied to the Property and the Booking; RapidEye is the part that reads it, every time, and tells you what is in it.

Does RapidEye integrate with OwnerRez?

Yes. RapidEye reads the photos your team attaches to Task notes in OwnerRez, along with the Property, Booking and Assignment on each Task, and returns one finding per problem for every turnover: new damage, cleaning that was missed, an item that is gone, with the before and after photos side by side. Your Tasks, notes, resolutions, bookings and owner statements in OwnerRez stay exactly as they are. RapidEye writes nothing to OwnerRez.

Can my cleaners add photos to an OwnerRez Task from their phone?

Yes. OwnerRez documents that notes on a Task can carry multiple photos and file attachments, added by uploading, dragging and dropping, or copying and pasting, and that OwnerRez runs as a Progressive Web App at app.ownerrez.com that installs on a phone or tablet. A cleaner invited as a Portal User with the Worker role can view their assigned Tasks and, if you tick the permission, add notes to them. Those note photos are what RapidEye reads.

Does OwnerRez check the photos on a completed Task?

No. OwnerRez stores the photos, counts them in the Tasks grid, shows them in a carousel and notifies the team when they arrive. Marking a Task Complete, and choosing a resolution such as Completed or Already Handled, is done by a person and records what that person said. RapidEye is the part that looks at every photo and reports what it shows: a streaked counter, a bed made over a stained sheet, a burn on the deck rail, a lamp that was there last week and is not there now.

Can RapidEye help with an OwnerRez Damage Protection claim?

It can supply the evidence. OwnerRez's claim guidance asks for clear photos of the actual damage and notes that before photos can help. A RapidEye finding carries the photo of the damage, the last photo of the same spot from before the stay, and the Booking the Task was tied to, so the person filing the claim from the Booking's Insurance tab has the pictures and the dates in one place. Filing the claim, and everything in the Insurance tab, stays with you.

Will RapidEye change my Tasks, bookings or owner statements in OwnerRez?

No. RapidEye reads and reports. It does not create Tasks, add notes, change a status or resolution, reassign anyone, or touch a booking, expense or owner statement. Each finding is in the RapidEye dashboard, and can be delivered to Slack or an inbox as well. Whether a finding becomes a maintenance Task, a note on the Booking or a claim is your decision, made in OwnerRez.
