How a Hostfully job worksOverview
A Hostfully job is a record that a service was scheduled for a property on a date, that a service provider accepted it, and that they marked it done; it is not a record of what the property looked like when they left. The job carries the property, the service, the date, a start and end time, notes written for the provider, and a status that moves from pending to scheduled to done as the provider taps through it in the Service Hub. The dot on your Central Calendar turns green when the job is done, but nothing in Hostfully looks at the property. RapidEye reads the photos from that turnover, plus the property, dates and provider from the job, and returns one finding per problem: new damage, cleaning that was missed, an item that is gone, with the before and after photos side by side.
How it works with Hostfully
Hostfully runs the turnover as a chain: a Trigger on Booking Confirmed creates a job, a second Trigger on Job Created emails or texts the service provider, the provider accepts the job in the Service Hub, does the work, and marks it done. RapidEye sits at the end of that chain and reads what each link produced.
- The job itself, created by a Trigger at check-out. Hostfully's Triggers let you create a job at check-in, at check-out, or both, for the properties and service you choose. The check-out job is the one RapidEye follows: it names the property and the date, and because it was created from the booking, it tells RapidEye which guest's stay the photos belong to. A job created by hand from the Central Calendar is tied to a date rather than a booking, and RapidEye reads it the same way, matching the date to the calendar.
- The notes for the service provider. Hostfully shows the provider the notes written on the job and the Property Maintenance Instructions from Property Settings, and nothing from the booking's Internal Guest Notes. Where a note says the extra crib goes in the second bedroom, or the patio heater stays covered, RapidEye can hold the after photos to it: the standard is yours, the photo is the check.
- The photos from the turnover. This is what RapidEye is for. Photos taken as the provider arrives show how the guest left the property; RapidEye compares them to the last known state of the same spots, so a new chip in the kitchen tile is attributed to the reservation that just ended and not to the one before. Photos taken before the job is marked done are what the green dot is standing on; RapidEye reads them for what the status cannot tell you: streaks on the glass, a bed made over a stained sheet, a bin liner not replaced, the hallway bulb still out. A room with no photo at all is a finding too, because a missing photo is the most common way a missed room stays hidden.
- Host Service jobs that are not turnovers. Hostfully's services have a recipient type, Host Service or Guest Service, and a handyman visit or a monthly maintenance check is a Host Service job like any clean. Photos from those jobs are read the same way, so a loose railing, a water stain spreading on a ceiling or a smoke detector hanging off its plate is caught on the day the photo is taken rather than the day a guest mentions it.
- The Logistics Report. Hostfully's Enhanced Reports can run a job report by property, owner or tag for a date range. RapidEye's findings carry the same property and date, so the two line up: the report says which jobs were done, and the findings say what they left behind.
A finding names the property and the room, what kind of problem it is (damage, cleaning, missing item, maintenance), how bad it is, the before and after photos, the time, and a suggested next step. Findings are read in the RapidEye dashboard, or pushed to Slack or email for teams that want them there. What happens next in Hostfully is yours to decide: a maintenance job for the handyman, a note on the booking, a claim against the guest. None of this depends on the input being a still photo. Teams that film a walkthrough instead of shooting stills, that have a Matterport scan of each property, or that want findings scored against their own inspection form get that set up with us on the first call.
How to connect Hostfully to RapidEye
- A job for every turnover. In Hostfully, go to Templates and Triggers, then the Triggers tab, and make sure you have a Trigger on Booking Confirmed with the action Create a job, timed at check-out, for the properties you want covered. Every confirmed booking then puts a job on the Central Calendar for that property, on that date, for that service, and that job is what RapidEye reads.
- Photos on the job. Where your service providers already put photos on the job, RapidEye reads those. Where they do not, a RapidEye capture link goes in the job notes, the field Hostfully shows the service provider inside the job: any phone, no app, a fixed set of angles per room, taken before the job is marked done.
- Add RapidEye as a team member. In Hostfully, go to Agency Settings, then Invite team members, and add support@rapideyeinspections.com with the Associate role. Then on the Properties page, use Set Permissions on each property RapidEye should see and tick Rapid Eye. Associates can only view the properties assigned to them and cannot change anything.
That is the whole setup. Your service providers keep working out of the Service Hub, your Triggers keep firing, and the first findings arrive after the first jobs are marked done.
How a Hostfully job works, from Trigger to green dot

According to Hostfully's help centre documentation (hostfully.com), turnover job management has three parts: you define the service providers you do business with, you create and assign jobs to them from the Central Calendar or through Triggers, and they report on completed jobs. A service provider is its own account type, separate from the four team roles, created under Agency Settings and invited to claim an account; each provider is given one or more services with a rate, and is switched on per property under Property Settings. The provider then works entirely in the Service Hub, which is part of the Hostfully Mobile App and, as the help centre is careful to note, not available on desktop or in a web browser. Below is the job as the help centre says the provider sees it, next to what each part can and cannot tell you.
- Property
- Name, address with a map link, type, floors, size, bedrooms, bathrooms, beds, occupancy
- Date
- The job date, with start and end time
- Status
- Pending until accepted, then scheduled, then done
- Notes
- What the property manager wrote on the job, plus the property's maintenance instructions
- Reservations
- Information on the previous and the next reservation
- Property and reservationsWhich unit, and which guest just left. RapidEye takes the property and the dates from here, so every finding is pinned to a stay.
- Date and timesWhen the clean was meant to happen. Not when it did, and not how long it took.
- StatusThat the provider accepted, and later that the provider said it was done. RapidEye reads the turnover when the job reaches done.
- NotesThe standard you asked for, in your words. RapidEye checks the after photos against it.
- The photosEverything, if someone opens them. At 200 properties nobody does. This is the part RapidEye reads, every job.

The dots on the calendar, and what each colour means
Both the manager and the provider read the job's status as a coloured dot. On the Central Calendar the help centre documents a blue dot for a job, labelled NEW until the provider accepts it and SCHEDULED after, turning green when the provider marks it done. In the Service Hub's Jobs Calendar the provider sees four colours:
- Blue new, not yet accepted or declined
- Green accepted by the provider
- Red cancelled, or declined by the provider
- Purple completed by the provider
Completed, cancelled and declined jobs move to the Archived tab. If the reservation is cancelled, Hostfully cancels the job automatically and emails the provider. Every one of those transitions is set by a person tapping a button, which is exactly what makes the dot useful for scheduling and useless as evidence: purple means the provider said the work is finished, and it means nothing else.
Can Hostfully tell you whether the clean was actually done?
Not from the job. Hostfully's job articles, its Service Hub articles for providers, its Triggers article and its Logistics Report article between them describe how a job is created, who is told, how it is accepted, how it is marked done and how it is counted; none of them describe a photo the provider must take, or anyone reviewing one. Hostfully's product pages do speak of uploaded photos in the Service Provider Portal and of reference photos on a task card, and its help centre points large operators to the platform API and to third-party cleaning tools for more. So the honest position is this: Hostfully gets the right person to the right property on the right day and records that they said they finished, and it leaves the question of what the property looked like to whatever photos your team takes. That is the gap this integration fills. RapidEye reads those photos, every job, and tells you what they show, whether they were attached in Hostfully or taken through a capture link in the job notes.

Does RapidEye integrate with Hostfully?
Yes. RapidEye reads each turnover job in Hostfully, meaning the property, the service, the job date and times, and the service provider who accepted it, together with the photos taken on that job, and returns a finding for every job marked done in the Service Hub: what is damaged, what was not cleaned, what is missing, with the before and after photos side by side. Your jobs, Triggers, service providers and Central Calendar stay exactly as they are. RapidEye writes nothing to Hostfully.
Do Hostfully jobs hold photos from the cleaner?
Hostfully's help centre describes the job as a property, a service, a date, a start and end time, notes for the service provider, and a status the provider moves from pending to scheduled to done. Hostfully's product pages describe uploaded photos in the Service Provider Portal and reference photos on task cards. Where your service providers already put photos on the job, RapidEye reads them there. Where they do not, a RapidEye capture link goes in the job notes, the one field the help centre says the service provider sees, and the photos come in from any phone with nothing to install.
Can RapidEye tell whether a Hostfully job marked done was actually cleaned?
Yes, from the photos. In Hostfully a job is done when the service provider marks it done in the Service Hub, and the dot on your Central Calendar turns green; that records that the provider said the turnover is finished. RapidEye reads the photos from that turnover and reports what they show: a streaked shower screen, a bed made over a stained sheet, a bin not emptied, a bulb still out. When the photos skip a room entirely, that is reported too.
Do my service providers need another app besides the Hostfully Mobile App?
No. They keep accepting jobs and marking them done in the Service Hub the way they do now. If they already attach photos, nothing changes. If they do not, the capture link in the job notes opens in the phone browser and walks them through a fixed set of angles per room, with the lights on, so every turnover photographs the same spots. Nothing to install, no new login.
Will RapidEye change my Hostfully jobs, Triggers or calendar?
No. RapidEye reads and reports. It does not create or cancel jobs, change a job's status, edit Triggers or templates, reassign a service provider or touch the Central Calendar. The RapidEye dashboard is where findings live; Slack or email delivery is a setting, not a separate product. What happens next in Hostfully, whether that is a maintenance job for the handyman or a note on the booking, is your call.
