AI inspections for Hospitable
RapidEye reads the arrival and completion photos your cleaners upload to a job in the Hospitable Tasks App, and returns a finding for every cleaning task marked complete.
How a Hospitable task worksOverview
A Hospitable cleaning task is a record that a job was created from a reservation, accepted by a teammate and marked complete in the Tasks App; it is not a record of what the property looked like when that teammate left. The task carries the property, the scheduled window, the checklist from its task rule, any note the host added, and, when the host has set photo requirements, the arrival and completion photos the cleaner uploads before tapping Complete task. Hospitable shows those photos to the host and lets the host approve or dispute the job, but nothing in Hospitable looks at what is in them. RapidEye reads the photos, plus the property, dates and assignee on the task, and returns one finding per problem, with the before and after photo side by side.
How it works with Hospitable
Hospitable builds the turnover around the reservation: a Cleaning task rule creates the task as soon as the booking is accepted, the job appears on the Task Calendar and in the assigned teammate's Tasks App, the cleaner works it on their phone, and the host is notified when it is complete. RapidEye follows that shape. Each place the Tasks App asks for a photo is a place RapidEye reads one.
- Arrival photos. Hospitable's Tasks App lets teammates upload arrival photos when they get to the property. These show how the guest left it. RapidEye compares them with the completion photos from the previous turnover of the same rooms, so a new burn on the counter or a cracked shower door is attributed to the reservation the task was created from, not the one before. As a hypothetical, a two-bedroom that turns over on a Sunday might come back with one finding: a chip in the kitchen tile that was not in last Thursday's completion set, both photos and the reservation between them.
- Completion photos. These are what Complete task is standing on. RapidEye reads them for what a checklist tick cannot verify: streaks on glass, a bed made over a stained sheet, a bin liner not replaced, a hallway bulb still out. If the completion set skips a room, that is a finding too, because a missing photo is how a missed room stays hidden.
- Checklist items that require a photo. A Hospitable checklist item can require a photo before the task can be finished. RapidEye reads the photo against the item: "Restock towels" with a bathroom photo showing two towels where the property keeps four is a missing-item finding, whatever the checklist says.
- Issue reports. When a cleaner reports damage, missing supplies or a maintenance problem from the Tasks App, with photos, RapidEye reads those photos too, and adds what the cleaner did not mention in the same frame.
- The guest rating. Hospitable asks the cleaner to star-rate how the guest left the property before completing a cleaning job. RapidEye's arrival findings sit next to that rating, so a two-star rating has photos behind it and a five-star rating with a broken lamp in the arrival set gets a second look.
Each finding names the property, the room, the spot, the kind of problem and how serious it is, and shows the before and after photos with the reservation dates between them. It lands in the RapidEye dashboard and, if you want, a Slack channel or an inbox. Whether the job is approved or disputed, whether a maintenance task is created, whether a security deposit charge request goes in: all of that stays in Hospitable, decided by you. These are examples, not the edges of what RapidEye reads: video walkthroughs, an inspection format of your own, or a different kind of job are things we set up with you.
How to connect Hospitable to RapidEye
- A cleaning task rule that creates the job. In Hospitable, go to Operations, then Task Management, and make sure an active Cleaning task rule covers every property you clean. Hospitable creates the cleaning task the moment a reservation is accepted, attached to the departing reservation, and that task is what RapidEye reads.
- Photos on the job in the Tasks App. Turn on photo requirements on the task, so your cleaners upload arrival and completion photos in the Tasks App before they tap Complete task. Those are what RapidEye reads. If your team gets its tasks by email, SMS or iCal instead of the Tasks App, a RapidEye capture link goes in the task notes: any phone, no app, a fixed set of angles per room, taken before the task is completed.
- Add RapidEye as a user. In Hospitable, go to Settings, then User Management, then Invite a user, and invite support@rapideyeinspections.com with custom access that includes Tasks for the properties you clean. RapidEye accepts the invite and reads the tasks from there.
Cleaners change nothing. They keep opening jobs in the Tasks App, ticking the checklist and uploading the photos the task already asks for.
How a Hospitable cleaning task works, from task rule to Complete task
Checked against Hospitable's help centre, September 2026.
According to Hospitable's help centre documentation (hospitable.com), tasks are created by task rules under Operations, then Task Management, and there are four types: Cleaning, Check-in, Checkout and Maintenance. A Cleaning task rule is set up per property and shows the bedrooms and bathrooms, a cleaning time, whether you supply cleaning products, and a checklist that needs at least one item. The rule creates the task as soon as a reservation is accepted, not at checkout; the timing you pick controls when the task is scheduled to start. Turnovers attach to the departing reservation. Text in the rule's Additional instructions field is copied into the Notes of every task it generates, and a one-off instruction for a specific guest goes in the Note on that task instead. The task then runs like this.
- CreatedTask rule firesThe reservation is accepted, the task appears on the Task Calendar with the property and a start time set by the rule's timing.RapidEye learns which property and reservation the photos will belong to.
- AssignedRequestedAuto or manual assignment to a teammate with the Cleaning role and this property in their preferred properties. They accept or decline from the notification email or in the Tasks App.Nothing to read yet.
- On siteArrival photosThe teammate opens the job in the Tasks App, reviews instructions, access details and the checklist, and uploads arrival photos if the host requires them.Read as the guest-left-it state, compared with the last completion set.
- WorkingChecklist, issues, ratingItems are ticked, some only once a photo is attached. Problems go in as issue reports with photos. Cleaning jobs ask for a star rating of how the guest left the property.Item photos and issue photos are read against the property's standard.
- DoneComplete taskCompletion photos are uploaded, the teammate taps Complete task, the host is notified and can review the checklist and photos. Paid jobs wait for approval.Completion photos are read; findings return to the dashboard.
Stages as documented by Hospitable. The bottom line of each card is what RapidEye does there; the highlighted cards are where photos exist.
What the Task Calendar shows you
The Task Calendar is the host's view of all of this: Calendar, then Task view in the top right. Hospitable documents four visual states for a task pill, and every one of them is about assignment, not about the property.
Hospitable colours accepted tasks by teammate; the accent here stands in for whichever colour your calendar uses.
What a job holds in the Tasks App, and what each part can prove
The Tasks App is the web portal at tasks.hospitable.com, the same thing Hospitable's older articles call the Teammate Portal. Teammates sign in with a code sent by email or SMS, can pin it to a phone home screen, and never see the main Hospitable dashboard. Hospitable's documentation lists what a job can contain; the right-hand column is what each part can tell a host on its own.
| Part of the job | What Hospitable documents it for | What it can tell you by itself |
|---|---|---|
| Instructions and notes | Task instructions, property access information and notes from the host, including the rule's Additional instructions copied into every task. | What you asked for. Not what was done. |
| Checklist | Items from the task rule, ticked as the teammate works. Some items can require a photo before the task can be finished. | That the item was ticked. With a required photo, that a photo exists. |
| Arrival and completion photos | Uploaded from the phone camera or the device when the host requires photos; the teammate waits for the upload to finish before completing. | Everything, if someone opens them. This is what RapidEye reads. |
| Issue report | Damage, missing supplies, maintenance problems, or anything stopping the job, with photos and details. | What the cleaner chose to report, at the end of a long day. |
| Guest rating | A star rating of how the guest left the property, asked before a cleaning job is completed. | One person's impression, with no photo attached to it. |
| Shared job | A teammate can share a job with a helper, who can tick items, upload photos and report issues under their own name. | Who took which photo. Useful for attribution, and RapidEye keeps it. |
| Complete task | Sets the task complete and notifies the host. On paid jobs the host approves or disputes; otherwise the job is approved automatically. | That the teammate said it was done. Not whether the property is guest-ready. |
Does Hospitable check whether the clean was actually done?
Not from the photos. Hospitable's Tasks App articles describe uploading arrival and completion photos, requiring a photo on a checklist item, reporting issues with photos, and the host's ability to track uploaded photos, checklist completion and reported issues as the work progresses. Its product page says teammates can share pictures of the completed job. None of those pages describe anything that looks at what a photo contains: Complete task is set by the teammate, approval is a payment step, and the guest rating is a star the cleaner picks. Hospitable's older checklist article is blunter still about the notification and iCal path many teams still use: teammates there cannot tick items or send images at all. So a Hospitable account has photos only if the team is on the Tasks App with photo requirements turned on, and even then the photos are stored, not read. That is the gap this integration fills, and for teams without the Tasks App, the capture link fills the first half of it too.
The other place condition matters in Hospitable is Security Deposits. Hospitable collects a deposit two days before check-in and releases it two days after check-out unless a charge request is submitted, for damage, missing items or excessive cleaning. That is the window in which the arrival photos from the turnover have to be looked at, and it is the window RapidEye reports into.
Hospitable integration FAQ
Does RapidEye integrate with Hospitable?
Yes. RapidEye reads the arrival and completion photos your cleaners upload to a cleaning job in the Hospitable Tasks App, plus the property, scheduled time and reservation the task was created from, and returns one finding per problem: new damage, a missed clean, a missing item, a maintenance issue, with the before and after photos side by side. Your task rules, teammates, task calendar and payouts in Hospitable are not changed.
Where do the photos come from in Hospitable?
From the Tasks App, the web portal at tasks.hospitable.com where teammates open their jobs. When a host sets photo requirements on a task, the cleaner uploads arrival photos, completion photos and photos on any checklist item that requires one, and can attach photos to an issue report. RapidEye reads all of them. Teams that receive tasks by email, SMS or iCal have no photo step in Hospitable, so a RapidEye capture link in the task notes supplies the photos instead.
Does Hospitable review the photos my cleaners upload?
Hospitable stores them and shows them to you. Its documentation says hosts can track uploaded photos, checklist completion and reported issues as teammates work, and that a completed task can wait for the host's approval, but no Hospitable page describes anything that looks at what is in a photo. RapidEye is that step: it reads every photo on every completed job and reports what it shows.
Can RapidEye help with a Hospitable security deposit charge?
Yes, with the evidence. Hospitable releases a deposit automatically two days after check-out unless a charge request has been submitted, so the question of whether this guest caused the damage has to be answered inside that window. RapidEye compares the arrival photos from this turnover with the completion photos from the last one and dates the change to the reservation in between. You decide whether to submit the charge request in Hospitable.
Will RapidEye change my Hospitable tasks, teammates or payouts?
No. RapidEye reads and reports. It does not create or complete tasks, approve or dispute a job, edit checklists, reassign teammates, rate guests or touch a payout. Findings go to the RapidEye dashboard by default, and to a Slack channel or an inbox if that is where your team looks. What happens next in Hospitable is your call.
