How the innRoad Task List works

Overview

An innRoad task records that a job was closed, not what the room looked like when it was. The Task List holds housekeeping, maintenance and front desk jobs, hands them to a person or a department, and moves a room from Dirty to Clean on its own when a Stay-Over Cleaning or Full Cleaning task is completed. What it holds are fields, remarks and a status; the Housekeeping report prints room, zone, class, condition and occupancy. RapidEye supplies the missing half: it reads your room list and stay dates from innRoad and the photos your housekeepers take, and returns a finding per room, tied to the room and the stay it belongs to.

How it works with innRoad

innRoad already sorts the day by task category and task type, so the checks follow the categories you set up under Setup, Task Management rather than a shape of ours.

  • Full Cleaning. The departing guest's whole stay sits between the last set of photos and this one. A chipped bath panel, a burn on the desk or a missing kettle comes back as a finding with the earlier photo beside it, so nobody argues about whether it was there in March.
  • Stay-Over Cleaning. The guest is still in the room, the task closes, and the room goes back to Clean. RapidEye reads the stayover photos for the things that get skipped when someone's belongings are in the way: the bin, the bathroom floor, the amenities not restocked, the bed remade over the top.
  • Rooms with an arrival due. The Room Status screen knows which rooms have somebody coming. Those are the rooms RapidEye returns first, because that is where a dead bulb or a hair on the basin turns into a front desk conversation.
  • Maintenance and front desk tasks. A task raised from a phone against a broken appliance is a sentence. Read alongside the room's photos, it becomes a dated before and after that survives the repair.
  • Zones. innRoad lets you raise a task against a zone rather than a room, a first floor hallway or the pool. Those spaces are checked against the standard you tell us they are held to, the same as a guest room.
  • Recurring categories. Auto Create and the frequency setting generate the same task month after month. RapidEye is where you find out whether the deep clean that fires every quarter is actually different from the one before it.

Each finding names the room, the spot in it, the type of issue, how serious it is, the photos, and a suggested next step. It lands in the RapidEye dashboard, and in a Slack channel or an inbox if the front desk would rather have it there. What happens in innRoad is your call: reopen the task, drop the room back to Dirty, or leave it. And if your team documents rooms some other way, video walkthroughs, a 3D scan, an inspection form of your own, that is a conversation we have with you, not a reason the answer is no.

How to connect innRoad to RapidEye

  1. Your innRoad property. An account with the rooms you clean on the Room Status screen and your cleaning categories set up under Setup, Task Management. Zones you already use for floors, hallways or the pool carry through.
  2. Where the photos come from. innRoad's task documentation describes no photo field, so RapidEye sends a capture link that opens on any phone with nothing to install: a fixed set of angles per room, lights on, taken before the housekeeper presses Complete Task. If your team already photographs rooms somewhere else, RapidEye reads those instead.
  3. Add RapidEye as a user. In innRoad, open the Admin module, choose Users, click New User, and add Rapid Eye with the email support@rapideyeinspections.com, then associate a role and your property. The modal on this page has the details.

innRoad is a cloud property management system for independent hotels, inns and motels, and its housekeeping story is two screens that talk to each other. According to innRoad's help centre documentation (innroad.com), the Task List is one interface for every department's daily actions: tasks can be raised against a reservation, an account, a room or a zone, filtered by task category, task type, zone and assignee, and searched across every task field. Assignment happens four ways, inside the reservation, inline on the list, in the task details, or in bulk through Bulk action, and an assigned task appears in that staff member's personal list.

A task is opened by clicking it. The pencil icon edits every field; a Complete Task button promotes the status one step; and remarks can be added without touching the details, by typing in the remarks box and clicking the check mark that appears. Staff can do all of this from a phone, and can raise their own tasks from one, innRoad's own example being a broken appliance found while working. For the manager there are two printable reports, All Assignees in your chosen sort order and By Assignee, so each person can be handed their own list.

The Room Status screen is the other half. It shows every room's current condition, whether it is vacant or occupied, and where an arrival is due, filtered by clicking a condition tile and sorted by room number, zone or arrival due. Hovering a room tile and opening its details gives the room class and number, the guest name, adults and children, the departure date for an in-house guest, and the tasks for both the room and the reservation in it. Conditions can be changed in the detail popup, from the tile itself, or in bulk.

DirtyNeeds cleaning. If the setting is on, innRoad applies it automatically when a guest checks in or out.
InspectionOnly visible when the Full Cleaning inspection setting is on. The room waits for a person to clear it.
CleanOn the Room Status screen this is the final stage, reached after any inspection, not before it.
Out of OrderOut of service. The Housekeeping report has its own switch for whether these rooms are printed at all.

The setting that decides how much of that is real is one toggle under Setup, Task Management: Inspection needed for all Full Cleaning tasks. It changes what completing a Full Cleaning task means.

Completing a Full Cleaning task marks it Done and the room Clean immediately. Nobody looks at the room between the housekeeper leaving it and the next guest opening the door.

innRoad notes that this differs from its older Housekeeping status page, where Inspected was the last status a room reached. On the newer screen Clean is the end of the line, after the inspection, which is worth knowing if your written procedures still say Inspected.

Can you attach a photo to an innRoad task?

Its documentation does not describe one. The task articles cover the fields you edit with the pencil, the remarks box and its check mark, mobile access for staff, bulk status and assignment changes, and the two printable task reports. The Housekeeping report article lists every input and every output column it can produce, room number, zone, room class, condition, occupancy, day of stay, guest name, rate plan, expected arrival time, and a sub row per housekeeping task due, and there is no image among them. So both endings of an innRoad clean, Clean by toggle-off or Clean by inspection, come down to somebody stating it. That is a completion record, and a good one. It is not a condition record, and it is the reason a room can be Clean in innRoad and wrong in person. RapidEye adds the condition record without asking your housekeepers to learn a second system: they take the same photos, on the phone they already use for their task list.

Does RapidEye integrate with innRoad?

Yes. RapidEye reads your room list and stay dates from innRoad and the photos your housekeepers take in each room, then returns a finding per room: damage, a missed clean, a missing item or a maintenance problem, with the photos behind it. The Task List, room conditions and reservations in innRoad are left exactly as they are.

Can you attach a photo to an innRoad task?

innRoad's own documentation does not describe one. The Task List articles describe task fields edited with the pencil icon, remarks added from the task details screen, mobile access for staff, and printable task reports by assignee. None of them describes an image on a task, and the Housekeeping report output is a row of room, zone, class, condition and occupancy. Photos reach RapidEye from the housekeeper's phone through a capture link instead.

What does RapidEye check when a Full Cleaning task is completed?

The room the task belongs to. RapidEye reads the photos taken in that room and compares them with how the room looked before the departing guest arrived, so it separates guest damage from wear and from a step the clean skipped. You get the room number, the spot in the room, the type of issue, a severity and the photos.

Does RapidEye change room conditions in innRoad?

No. innRoad stays the system of record. Dirty, Clean, Inspection and Out of Order are still set by your team on the Room Status screen or by a completed cleaning task. RapidEye reads and reports, and the manager decides whether a room goes back.

We run Inspection mode on Full Cleaning tasks. Does RapidEye replace the inspector?

It gives the inspector a shortlist. With the Inspection setting on, a completed Full Cleaning task parks the room in Inspection until somebody clears it, which is fine at eight rooms and impossible at sixty on a Saturday. RapidEye reads every room's photos and tells you which rooms need a person to walk them, so the inspection you can actually staff goes to the rooms that need it.

Does this work for zones and common areas, not just guest rooms?

Yes. innRoad lets you raise tasks against a Zone, such as a floor hallway or the pool, as well as against a room. RapidEye reads documentation of a zone the same way it reads a guest room, against the standard you tell us that space is held to.
