How Clock housekeeping works

Overview

Clock PMS+ holds photos of the problems a housekeeper decided to raise, and nothing of the rooms nobody raised anything about. The Housekeeping Assistant is genuinely task-based: activities and activity schemes generate the day's tasks, they are assigned by hand or by the auto-assign algorithms, and housekeepers work them in the Housekeeper App, which they reach by scanning a QR code. A photo can be attached to an issue report or a found item report. Marking the room Completed is a status change with nothing visual behind it. RapidEye closes that gap: it reads your room list, sectors and stay dates from Clock PMS+ and the photos your housekeepers take, and returns a finding for every room, whether or not anyone flagged it.

How it works with Clock PMS+

Clock generates the day from your activity schemes, so the checks follow your own activities and the statuses your housekeepers set, not a workflow of ours.

  • Departure cleans. The whole stay of the guest who just left sits between the last photos of that room and today's. A cracked shade, a stained armchair or a missing hairdryer comes back with the earlier photo beside it, dated against the booking, which is what makes a charge defensible.
  • Stayover cleans and linen change days. A scheme that changes linen every third day tracks the cadence. RapidEye reads the photos for whether the bed was actually stripped, the bin emptied and the bathroom restocked, in a room where the guest's belongings make it easy to work around the mess.
  • Rooms in Inspect. Setting a room to Inspect is Clock's way of saying a supervisor should look. RapidEye reads all of them and ranks which genuinely need a walk, so the supervisor's round goes to the rooms it matters in.
  • Checkout discrepancy tasks. Clock raises a task automatically when a room is somehow clean at checkout, and another for the old room on every room change. Those are exactly the rooms nobody planned to look at, and they are read like any other.
  • Common areas, restaurants and meeting rooms. Tasks for these are added through the Task Management screen. A ballroom after a wedding is checked against the standard you tell us a ballroom is held to.
  • Package and arrival activities. When a scheme attached to a charge template adds a cot, a welcome amenity or a festive setup, the photo is where you find out whether the champagne actually reached room 205.

Each finding names the room, the spot in it, the type of issue, how serious it is, the photos, and a suggested next step. It lands in the RapidEye dashboard, and in a Slack channel or the housekeeping office inbox if that suits your shift better. What happens in Clock is your call: reopen the task, drop the room to Dirty, raise a maintenance report. How to connect Clock PMS+ to RapidEye

  1. Your Clock PMS+ account. Rooms configured and, if you use them, housekeeping sectors set on each room. Your activities and activity schemes stay exactly as they are; we read against them rather than asking you to change them.
  2. Where the photos come from. The Housekeeper App attaches photos to issue and found item reports, not to a completed clean, so RapidEye sends a capture link that opens on any phone with nothing to install: a fixed set of angles per room, lights on, taken before the housekeeper sets Completed or Inspect. If your team already photographs rooms somewhere else, RapidEye reads those instead.
  3. Add RapidEye as a user. In Clock PMS+, go to Settings and then Users, click the plus button, add a user named Rapid Eye with the email support@rapideyeinspections.com, then grant it access to your account. The modal on this page has the details.

The Clock PMS+ Housekeeping Assistant, and where photos actually live

Clock PMS+ is a cloud property management system from Clock Software, and its housekeeping module is unusually explicit about being task-based. According to Clock's support centre documentation (clock-software.com), the vocabulary matters: an activity is a thing a housekeeper does, and a task is a particular instance of activities to be performed, in a place, on a day, by somebody. Activities can be set up two ways, and the choice shapes everything you can later verify. The general approach makes the type of clean the activity, Stayover clean or Departure clean, which keeps reports compact but gives you no checklist. The detailed approach lists every action, vacuuming, mopping, dusting surfaces, restocking bathroom amenities, which is longer on screen but is the only version where a room can be judged against named steps.

Tasks arrive from four places: activity schemes, a scheme attached to a charge template so packages and extra beds generate their own work, an arrival housekeeping activity selected in a booking, and manual tasks. Clock also raises tasks on its own during the day, one for the old room on every room change, and one it labels a checkout discrepancy when a room is somehow already clean at checkout. Generated tasks start unassigned; a supervisor assigns them by hand, in bulk, or with an auto assign that balances credits, one credit being roughly a minute, across the housekeepers marked on shift, either optimally or in a stable sector order. Sectors, usually floors, are what keep an auto-assigned round from sending one person up and down the building.

Room condition in Clock is a short vocabulary, and it appears anywhere a room number appears, from the room calendar to the arrivals screen.

  • Task work that deliberately does not touch room condition

That last one is a nice piece of design. A task with the Task status sits on the list without making the room dirty, so a battery for a remote or an extra blanket never blocks a check-in. A manual task, meanwhile, is a small form, and it is the one place in the housekeeping flow where Clock's own documentation puts a picture.

Around those tasks sit four screens: the Housekeeping Report, which is the housekeepers' own view of what needs doing including yesterday's leftovers, and where one room can carry two separate statuses at once, say a Dirty from the scheme and an Inspect added by the front desk after a guest complained; the Housekeeping Live Monitor, where room tiles change colour in real time and recent changes glow a darker green, which Clock suggests pinning as a browser tab at the front desk; the Housekeeping Forecast, which turns credits and occupancy into a number of housekeepers you will need on a given day; and the Housekeeping Tasks Archive, which will tell you every housekeeper who entered a given room over a period.

Does the Clock PMS+ Housekeeper App take photos?

On reports, yes. On the clean itself, no. Housekeepers open the app by scanning a QR code generated from the Housekeepers page, with nothing to install and no per-device limit, and the housekeeper list is where you set whether that person may post minibar charges. In the app they see their tasks in priority order, open a room for its activities and reservation data, and set Progress, Inspect or Completed, with an arrow to put the room back to Dirty and a Completed page listing what they finished today.

Where Clock stores a photo

The Report page. A housekeeper picks issue or found item, marks the location, adds a description and can attach a photo. An issue creates a housekeeping task immediately; a found item goes to the Lost and Found list, which also takes an image. Clock's own writing is honest about why this matters: a photo crosses a language barrier in a multilingual team faster than a description does.

Where it does not

The completed clean. Setting a room to Completed or Inspect records who set it and when. It records nothing about the state of the room, so the sixty rooms nobody reported anything about produce sixty status changes and no evidence. That is the half RapidEye supplies, using the same phones your housekeepers already scan the QR code with.

Read together, Clock's housekeeping module is one of the better ones in a PMS: real scheduling, real workload maths, real-time visibility, and a genuine photo path for exceptions. What it does not claim to be is a check on the work itself. Every status in it still originates with the person doing the cleaning.

Does RapidEye integrate with Clock PMS+?

Yes. RapidEye reads your room list, sectors and stay dates from Clock PMS+ and the photos your housekeepers take, then returns a finding per room: damage, a missed activity, a missing item or a maintenance issue, with the photos behind it. Housekeeping tasks, room statuses, folios and bookings in Clock PMS+ are left as they are.

Does the Clock PMS+ Housekeeper App take photos?

On reports, yes. Clock's documentation says a housekeeper can attach a photo when reporting an issue or a found item from the Report page, and a manual housekeeping task has an Image field. Completing a task is different: marking a room Completed, Progress or Inspect records a status change and nothing visual. So Clock holds photos of the problems someone chose to raise, and none of the rooms nobody raised anything about.

What does RapidEye check when a room is marked Completed or Inspect?

The room behind the task. RapidEye reads the photos taken in it and compares them against how that room looked before the departing guest arrived, so guest damage is separated from wear and from an activity the clean skipped. Each finding gives the room, the spot, the type of issue, a severity and the photos.

Does RapidEye change room statuses or tasks in Clock PMS+?

No. Clock PMS+ stays the system of record. Dirty, In Progress, Inspect, Completed and the Task status are still set by your team, by the Housekeeper App or by the daily task generation. RapidEye reads and reports, and your supervisor decides whether a room goes back.

We run the detailed activity setup. Does RapidEye check activity by activity?

That is the setup it gets most out of. If your activities are Vacuuming, Mopping, Scrubbing the bathtub and Restocking amenities rather than one Departure clean, we hold the photos against those named activities, so a finding says which activity did not happen rather than that the room is not right.

Does it cover common areas, restaurants and meeting rooms?

Yes. Clock manages tasks for common areas, restaurants and meeting rooms alongside guest rooms, added through the Task Management screen. RapidEye reads documentation of those spaces the same way, against the standard you tell us they are held to, which for a ballroom after a wedding is a different standard from a corridor.
