AI housekeeping inspection for Hotelogix

Every room sitting at Inspect or Clean on the Hotelogix Housekeeping console gets its photos read, and you get told which rooms a supervisor still has to walk.

Inside the Housekeeping console

Overview

Hotelogix has a status called Inspect, and no way to record what the inspection found. The Housekeeping console is a live grid of rooms with a house status, an availability, a remark, a service, an assigned name and a discrepancy entry, and every one of those is a word somebody typed. Nothing on the screen is a picture of the room. RapidEye reads the room list and the stay dates from Hotelogix and the photos your housekeepers take, and returns a finding per problem, tied to the room number and the stay it came out of.

The Inspect queue, actually inspectedThe console counts how many rooms are waiting on a supervisor. RapidEye tells you which of them are the problem.
Damage with a stay attachedHotelogix knows who was in the room and when. A finding arrives with the photo before and the photo after, and those dates between them.
Hotelogix keeps the recordNo house status, task, remark, DNR block or reservation is written by RapidEye. It reads and reports.

How it works with Hotelogix

The console sorts your rooms into house statuses, so the checks sort themselves the same way. What follows are the ones that come up daily, not the edges of what RapidEye can look at.

  • Rooms moved to Clean. A housekeeper taps CLEAN in the mobile app and the front desk is free to sell the room. RapidEye reads the photos taken in it and comes back with what the tap did not cover: a bed made over a stain, a bathroom mirror wiped in one direction, a bin nobody emptied.
  • Rooms sitting at Inspect. Hotelogix can push clean rooms to Inspect at Night Audit, which is how a hotel wakes up with fifty rooms in the queue and one supervisor. RapidEye ranks them, so the supervisor walks the four that need a human instead of sampling.
  • Rooms marked Repair. Repair says something is broken and Remarks says what, in whatever words the housekeeper had time for. RapidEye keeps the photo from before the fault appeared next to the photo of it now, so the repair and the charge both have a dated record.
  • Touch Up before an arrival. The lightest pass, on the room a guest is about to open the door to. RapidEye is looking for the things a quick pass leaves: a dead bulb, dust on a surface at eye level, an amenity that was used and never replaced.
  • Rooms under DNR or House Use. They are out of the sale, not out of the building. RapidEye keeps the state they went out in and the state they come back in, so a room that was blocked for a week does not return to inventory on trust.
  • Missing and moved items. The kettle that migrated to another room, the second robe, the remote. RapidEye learns what a stocked room looks like at your property and says when this one is not it.

Each finding names the room, the spot, the type of problem, how serious it is, the photos that show it, and a suggested next step. It lands in the RapidEye dashboard and, if you want it there, a Slack channel or the housekeeping desk inbox. You decide whether the room goes back to Dirty or becomes a task in Hotelogix. If your team documents rooms some other way, video walkthroughs or 3D scans, or you want the check run against your own brand standard rather than a general one, that is a setup conversation and not a limit; tell us what you shoot and what you want judged.

How to connect Hotelogix to RapidEye

  1. Your Hotelogix rooms. A Hotelogix account with the rooms you clean listed on the Housekeeping console. Rooms parked under DNR or House Use stay parked; RapidEye reads them as unavailable, not as skipped work.
  2. Where the photos come from. The Hotelogix housekeeping screens hold statuses, remarks and tasks rather than images, so RapidEye sends a capture link that opens on any phone with nothing to install. A fixed set of angles per room, lights on, shot before the house status is set. If photos already live in a housekeeping app your team uses, that is what RapidEye reads.
  3. Add RapidEye as a user. In the Hotelogix Admin Console, open User Manager and add RapidEye on the Add or Edit a User page. The connect panel on this page has the name, the email and the permission to pick.

The Hotelogix Housekeeping console, status by status

Checked against Hotelogix's manuals and product pages, September 2026.

Hotelogix is a cloud PMS for independent hotels and small groups, and housekeeping runs on one console rather than a set of forms. According to Hotelogix's manuals and product documentation (hotelogix.com), the console is a room grid with a collapsible menu down the left holding live counts by housekeeping status, Today's Room Status, a DNR and House Use report, room and housekeeping legends, the Task List, and a Housekeeping Audit Trail. Two controls sit across the top: Set Housekeeping Status with a Go button, and Assign Selected Rooms to an employee. Super Admins get the same console across every property in a group. Six house statuses do the work.

Dirty

Where a room lands after checkout, automatically if you have set it that way.

RapidEye reads the last photos from before the guest arrived.
Touch Up

A light pass rather than a full clean. Set by hand.

Checked hardest on the details a quick pass skips.
Clean

A housekeeper has decided the room is done. Set by hand, in the console or the app.

The claim RapidEye checks against the photos.
Inspect

Waiting on a supervisor. Hotelogix can move clean rooms here at Night Audit.

Where the queue gets ranked, so the walk is short.
Repair

Something is broken. The detail lives in a free-text Remarks line.

Paired with the photo from before the fault existed.
DNR and House Use

Out of the sale for a date range, with a comment, or given over to staff.

The before and after of a block, kept as evidence.

House statuses as documented by Hotelogix. The second line of each card is what RapidEye does there.

What each column of the console can prove on its own

The grid is wider than the status. Hotelogix's housekeeping documentation shows Room, Room Type, Status, Availability, Remarks, Service, Discrepancy and the assigned staff name, and each column exists to answer a different question. Read honestly, most of them answer a question about the paperwork rather than the room.

ColumnWhat Hotelogix puts thereWhat it can tell you by itself
StatusThe house status: Dirty, Touch Up, Clean, Inspect, Repair, DNR or House Use. Changed one room at a time or in bulk with Set Housekeeping Status. What a person decided. Not what they saw.
AvailabilityChecked In, Checked Out, Available, Arrival, Departure, Occupied, DNR. Driven by the front desk, not by the clean.Whether the room is sellable. Nothing about its condition.
RemarksFree text on one or many rooms at once, in the console or the mobile app. Hotelogix's own examples run to a line like "Roses on table" or a note that the AC is leaking.Whatever the housekeeper had the time and the words to type.
ServiceA tag such as Room Clean or Towel, from the service the room is owed. That the work was requested. Not that it was done well.
DiscrepancyA form comparing the front office status and occupancy against the housekeeping status and the occupancy the housekeeper counted, plus a free-text note. That the two departments disagree about who is in the room. It is a headcount check, not a condition check.
Task ListTasks with a request type of Internal or Guest, a job type, a service type, an assigned staff member, a description, an incident flag and a due date. Worked from the console or the app, and moved through Pending, In Progress, Done, Cancelled. That a request was raised and closed. The proof it was closed properly is the photo, which the task does not hold.
Housekeeping Audit TrailThe record of who changed what, alongside a bell for upcoming, due and overdue tasks.Accountability for the status change. This is the column RapidEye pairs with, because it says who claimed what and when.

Can you attach a photo to a room in Hotelogix?

Not from the housekeeping screens. Hotelogix's mobile housekeeping quick guide walks through changing house status, assigning and un-assigning staff, adding remarks, filtering by status or employee, opening a room to see its reservation, remarks, preferences and DNR or House Use dates, and working the task list. It is a thorough document and there is no image in it anywhere: every field a housekeeper touches is a status, a name, a date or a line of text. The housekeeping console documentation is the same, and Hotelogix's product pages describe the module in terms of assigning by block or floor, printing the day's list, and automating status changes so a checkout goes Dirty and a clean room goes Inspect at Night Audit. So Inspect in Hotelogix is a queue, not an outcome, and Clean is a claim. That is exactly the seam this integration sits in: Hotelogix runs the day, RapidEye reads the one thing that can settle whether the day went well.

Hotelogix integration FAQ

Does RapidEye integrate with Hotelogix?

Yes. RapidEye reads the room list and stay dates from Hotelogix and the photos your housekeepers take in each room, then returns a finding per problem: damage, a missed clean, a missing item, or something that belongs in Repair. The Housekeeping console, the house statuses, the Task List and the reservations are not changed.

Can you attach a photo to a room in Hotelogix housekeeping?

The Hotelogix housekeeping documentation does not describe one. The Housekeeping console carries a Remarks field, a Service column, a Discrepancy entry and a Task List, and the mobile app quick guide covers changing house status, assigning staff, adding remarks and updating tasks. All of those are text. Photos come from your housekeeper's phone through a RapidEye capture link, or from whatever app your team already shoots into.

What does the Inspect status in Hotelogix actually mean?

It means a room is waiting for a supervisor to look at it. Hotelogix can move a clean room to Inspect automatically at Night Audit, and the console shows a live count of how many rooms are sitting there. Nothing in the status says what the supervisor saw, or whether anyone walked the room at all. RapidEye reads the photos for those rooms and gives you the answer the status leaves blank.

Will RapidEye change house status or Tasks in Hotelogix?

No. Hotelogix stays the system of record for house status, room availability, the Task List and every reservation. RapidEye reads and reports. The supervisor decides whether a room goes from Inspect back to Dirty, or whether a finding becomes a Repair.

We run several properties from one Hotelogix login. Does that work?

Yes, and it is where this helps most. Hotelogix gives Super Admins centralized access to housekeeping across group properties, so one person is watching statuses for hotels they cannot walk. RapidEye reads the photos property by property and rolls the findings into one view, so the room that needs your eyes is named rather than hunted for.

Do our housekeepers have to change how they work?

No. They keep the Hotelogix mobile app, the same tap to set Clean or Inspect, the same assignment list. The only addition is a fixed set of angles per room, lights on, shot before the status is set. If they already photograph rooms in another app, RapidEye reads those photos instead.
