What Apaleo stores about a clean

Overview

A unit condition in Apaleo is a label somebody set, not a look at the room. Apaleo's housekeeping module gives you a dashboard of free and occupied units, filters by unit group, stay status and maintenance, three unit conditions, and an export to PDF, Excel or CSV. What it does not hold is a picture of the unit. Because Apaleo is built API first, the cleaning itself usually happens in a connected app, and the photos taken there sit in that app unread. RapidEye reads the unit list, the unit condition and the stay status from Apaleo, reads those photos wherever they live, and returns a finding for each problem with the evidence attached.

How it works with Apaleo

Apaleo sorts the housekeeping day by stay status, so the checks follow the same filters your team already works from. The examples below are the common ones, not the edges: RapidEye reads whatever documentation your teams produce, photos, a video walkthrough, a 3D scan, and reports against the standard you care about.

  • Departing and departed units. The stay that just ended sits between the last set of photos and today's. A cracked shower screen, a burn on the desk, a missing kettle comes back as a finding with both photos and the reservation dates in between.
  • Stay-through units. The guest is still in the room, so the service clean is the only thing anyone sees for days. RapidEye flags a bathroom nobody touched or linen that was never changed while the guest is still on property.
  • Arriving units and units without reservations. A unit that sat empty gathers dust, dead bulbs and borrowed amenities. RapidEye compares it to how it looked the last time it was ready and names what is missing.
  • Clean to be inspected. This is the queue that quietly collapses at full occupancy. RapidEye reads the photos for every unit sitting in it, so the units that genuinely need a human get walked first.
  • Maintenance slots. Apaleo's description field is an internal note, and a note is all the record a repair leaves. RapidEye keeps the photo from before the Out of Service slot and the photo after, so the work has a dated pair behind it.

A finding names the unit, the spot inside it, the type of problem, how serious it looks, the photos on either side, and a suggested next step. It lands in the RapidEye dashboard, and in a Slack channel or an inbox if your operations team wants it there. Your housekeeping manager decides whether the unit goes back to Dirty. If your property documents rooms in a way this page does not describe, that is a setup conversation, not a limit.

How to connect Apaleo to RapidEye

  1. An Apaleo property with its units. The units you clean, in the unit groups you sell them as. RapidEye follows the same list your housekeeping dashboard shows, including the ones sitting under a maintenance slot.
  2. A source for the unit photos. If your cleaners work in a housekeeping app connected to Apaleo, RapidEye reads the photos they already take there. If nobody photographs anything yet, RapidEye sends a capture link that opens on any phone, no app to install: a fixed set of angles per unit, lights on, taken before the condition is set.
  3. A RapidEye user in Apaleo. Invite us from Settings and User Management with the Housekeeping role. The connect box on this page has the exact details.

Unit condition, maintenance slots, and what Apaleo keeps about a clean

Apaleo calls a room a unit, groups units into unit groups, and keeps the cleaning workflow in the Housekeeping module. According to Apaleo's help centre documentation (apaleo.zendesk.com), the dashboard splits your inventory into free units, which have no reservation assigned yet, and occupied units, which do, and the whole day can be filtered by unit group, unit attributes, stay status, maintenance, unit condition and unit occupancy. Stay status is the filter housekeeping actually lives in: arriving, arrived, departing, departed, stay-through, and units without reservations. The condition itself has three values.

Alongside condition sits maintenance, which Apaleo manages from the Room Rack as a dated slot with a description field for internal notes that shows in both the Room Rack and the Housekeeping view. Apaleo documents three types, and the difference between them is what happens to your availability.

  • Out of ServiceOOSStays in availability. The unit is fully functional with minor cosmetic defects and would only be assigned if nothing else matching the guest's preferences is free.
  • Out of OrderOOONot functional and not usable by a guest. Apaleo deducts it from availability on all channels.
  • Out of InventoryOOILong planned maintenance, Apaleo's example being a whole floor under renovation for weeks or months. It comes out of the inventory you sell and reduces your total house count.

Housekeeping users can put a unit Out of Service themselves when they find something; creating, editing and deleting Out of Order and Out of Service slots belongs to the Housekeeping Manager role. Whichever slot is used, the unit's history is the description someone typed.

Can Apaleo store housekeeping photos?

Not in the PMS. The housekeeping documentation describes the dashboard, the filters, the three conditions, the automation settings that move conditions after maintenance, and an export to PDF, Excel or CSV, including a version that leaves guest details out. None of it describes attaching a photo to a unit, a clean or a maintenance slot, and the report itself can only be pulled one day at a time. That is consistent with how Apaleo is built: it is an open platform, and the Apaleo Store carries a housekeeping and staff collaboration category whose apps run the clean on the cleaner's phone and write the condition back. So the photos usually exist. They live one system across from the PMS, and nobody reads them all. RapidEye is what reads them, and puts the result next to the Apaleo unit it belongs to.

Does RapidEye integrate with Apaleo?

Yes. RapidEye reads the unit list, the unit condition and the stay status from Apaleo, together with the photos your cleaners take in each unit, and returns a finding per problem: damage, a missed clean, a missing item, or something an engineer needs to see, with the photos behind it. Nothing in Apaleo is changed. The unit conditions, the maintenance slots and the reservations stay exactly as your team left them.

Can Apaleo store housekeeping photos?

Not in the PMS itself. Apaleo's housekeeping documentation describes a dashboard of free and occupied units, filters, three unit conditions, maintenance slots with a description field, and an export to PDF, Excel or CSV. It does not describe attaching a photo to a unit or to a clean. Photos live in the housekeeping app you connect to Apaleo, and RapidEye reads them there, or from a RapidEye capture link that opens on any phone.

What does Clean to be inspected mean in Apaleo?

It is the middle unit condition, between Dirty and Clean: the cleaning is finished and somebody is meant to look at the unit before it is sold as ready. Apaleo holds the label and lets you filter on it, but it holds no record of what the inspector saw or whether anyone looked. RapidEye reads the photos of the units in that state, so the queue gets checked on the days nobody can walk it.

Does RapidEye work if our cleaners use a housekeeping app from the Apaleo Store?

That is the usual case. Apaleo is built API first and most teams run the clean in a connected app that writes the unit condition back to the PMS. RapidEye reads the photos your cleaners already take in that app and matches each one to the Apaleo unit and the stay around it, so nobody changes tools.

Will RapidEye change a unit condition or a maintenance slot in Apaleo?

No. Apaleo stays the system of record for unit conditions, maintenance slots and reservations. RapidEye reads and reports back, and your housekeeping manager decides whether a unit goes back to Dirty or gets an Out of Service slot.
