What an area status can and cannot tell youOverview
An RMS area status records a decision, not a condition. Housekeeping in RMS moves each area through Occupied, Vacant Dirty, Vacant Clean, Maintenance and Inspect, schedules the tasks that get it there, and tracks who did what and how long it took. What it does not hold is a picture of the area at the moment the status changed. RapidEye supplies that half: it reads the area list and reservation dates from RMS Cloud along with the photos your housekeepers take, and returns a finding for every area, tied to the area and the stay it belongs to.
How it works with RMS Cloud
RMS already decides what kind of clean each area needs and when, through the housekeeping task scheduled on the reservation. The checks follow those same task types, so a finding arrives in the language the Clean Screen is already using.
- Departure cleans. The task that runs after check-out is the one where guest damage surfaces. A scorched benchtop, a torn flyscreen, a chipped shower base: each comes back as a finding with the photo from the last departure alongside today's, and the reservation that sat between them.
- Hold over departure cleans. An area that departed and did not get cleaned the same day rolls forward in RMS. It is also the area nobody has laid eyes on for the longest. RapidEye keeps the last photo set on file so you know what state it was left in before anyone walks in.
- Service cleans on long stays. Tasks scheduled mid-stay by frequency, including the linen change ones, get read for the things a mid-stay clean is supposed to fix: bed not remade, bathroom untouched, bin still full, linen swapped in name only.
- Areas released from Out of Order. When a maintenance reservation is released, RMS sets the area to Inspect and waits for a person. RapidEye reads the photos taken at that point against the photos from before the work, so the repair has a dated record and the area is not handed back half finished.
- Stocking and inventory in the area. The second chair, the missing remote, the BBQ plate that walked, the coffee pods nobody replaced. RapidEye learns what a stocked area looks like at your property and says when this one is not.
- Custom clean statuses. If your property runs its own statuses in place of the RMS defaults, such as a deep clean or an inspection-required state, the checks are set against what that status is meant to mean at your park, not a generic standard.
Each finding names the area, where in it, the type of problem, how serious it is, the before and after photos and a suggested next step. Findings land in the RapidEye dashboard and, if you want them there, a Slack channel or the housekeeping inbox. You decide whether the area goes back to Vacant Dirty or gets an Out of Order reservation. If your team documents differently, with video walkthroughs, a 3D scan of a display cabin or an inspection format of your own, that is a setup conversation rather than a limitation: RapidEye reads the documentation you already produce and reports against the standard you care about.
How to connect RMS Cloud to RapidEye
- Housekeeping switched on for the property. Enabled on the Housekeeping tab of Property Information, with the areas you turn showing on the Clean Screen. Facility categories you deliberately keep off the Housekeepers Report stay off.
- Area photos from your housekeepers. RMS records statuses and task progress rather than pictures, so RapidEye sends a capture link that opens on any phone with nothing to install. A fixed set of angles per area, lights on, taken before the status is set to Vacant Clean. If your team already photographs areas in another app, RapidEye reads those instead.
- RapidEye added as a user. In Setup, Users, User Information, add Rapid Eye, then on the Profiles tab give it a Security Profile against the Properties and Accessible Categories you want read. The Connect button has the details.
What an RMS area status actually records

In RMS every bookable space is an Area, whether it is a hotel room, a cabin, a powered site or a serviced apartment, and housekeeping is a module you enable per property. According to RMS Cloud's help centre documentation (rmscloud.com), five system area statuses ship by default and they move on two very different kinds of trigger: some are applied by the software when a reservation moves, and some are set by a person who has decided the work is finished.
Applied when a guest checks in to a booking. The area is in use.
Nothing about it is observed. The condition the guest walked into was set before this.
Applied on check-out. The area needs cleaning, and the departure task is now live.
This is the moment guest damage exists and nobody has looked yet. The photos taken here are the ones that carry a claim.
Set on the Clean Screen, the Booking Chart or the Staff Portal to say the area is ready for the next reservation.
A statement of completion by the person paid to complete it. This is the status RapidEye confirms or contradicts.
Applied when a maintenance reservation is created, taking the area offline so nothing new can be booked into it.
A note can say why it went offline. No before picture of the fault, and no after picture of the fix.
Applied when a maintenance reservation is released or completed, telling housekeepers the area needs a quality check before a guest goes back in.
RMS asks for the inspection. It has no way to record what the inspection found.
Properties that need finer grain can build custom clean statuses of their own, such as a quick clean, a deep clean or an inspection-required state, and once those are enabled the system statuses stop being used at that property. RMS notes that custom statuses are not supported at properties integrated with HotSOS. From the Clean Screen, an area can also be put into Discrepancy, which is the housekeeper saying the area does not match what the system thinks, the closest thing in RMS to an observation about condition.
Where the work itself is tracked
Underneath the statuses sit housekeeping tasks: the activity required to clean, maintain or service an area, scheduled automatically onto reservations by frequency rules and applied through a hierarchy that runs from the property down to the rate type and the individual area. A task can be flagged as a departure clean, as requiring a linen change, as requiring inspection, and as needing a departure block, which creates a maintenance reservation on check-out so a same-day arrival cannot be sold into an area that has not been turned. Time allocation sets how long the task should take and feeds the housekeeper roster and the productivity reporting. A departure clean that misses its day becomes a hold over departure clean and rolls forward.
Housekeepers work this from the Staff Portal on their own login, where they can mark a task in progress, not required or do not disturb, record the linen actually used against what was forecast, message the property, and, with the right permission, set the area to clean when they are done. The Clean Screen task view shows all of it live, including how long a task was paused and the reason given.
Can you attach a photo to an area or a task in RMS?
Not that the documentation describes. Across the RMS help centre articles on housekeeping activation, housekeeping tasks, area status, the Clean Screen, the Staff Portal and Out of Order maintenance, the things that can be recorded against an area are statuses, task states, priority, pause reasons, linen counts, notes and messages. Nothing in them attaches an image to an area, a task or a maintenance reservation. It is worth knowing that housekeeping task assignments are held for 100 days after departure, 200 days for trust properties, and are then removed to keep the database trim, so even the record of who cleaned what has a horizon. That is the gap this integration fills: RMS keeps the schedule, the statuses and the accountability trail, and RapidEye keeps the evidence, area by area and stay by stay.

Does RapidEye integrate with RMS Cloud?
Yes. RapidEye reads the area list and reservation dates from RMS Cloud and the photos your housekeepers take in each area, then returns a finding per area: damage, a missed clean, a missing item, or something that needs maintenance, with the before and after photos. Area statuses, housekeeping tasks, the Clean Screen and reservations in RMS are left exactly as they are.
Can you attach photos to a housekeeping task in RMS Cloud?
The RMS help centre articles on Housekeeping, Housekeeping Tasks, Area Status, the Clean Screen and the Staff Portal describe statuses, task allocation, priority, pause reasons, linen tracking, notes and messaging. None of them describes attaching a photo to an area, a task or an Out of Order maintenance reservation. Photos come from the phone your housekeeper already carries, through a RapidEye capture link.
What does Vacant Clean actually prove in RMS Cloud?
That somebody pressed it. Occupied and Vacant Dirty are applied automatically by check-in and check-out, but Vacant Clean is set by hand on the Clean Screen, the Booking Chart or the Staff Portal. It records that a housekeeper considered the area finished, not what the area looked like. RapidEye reads the photos from that area and either confirms the status or names what is wrong with it.
Does this work for cabins, sites and powered sites, not just hotel rooms?
Yes. RMS treats every bookable space as an Area, and so does RapidEye. A cabin, an ensuite site, a self-contained apartment and a hotel room are all just an area with a category, a reservation history and a set of photos. Outdoor spaces are often where the reporting is thinnest, so a park is usually where the first week of findings is most surprising.
We run several parks on one RMS database. Does RapidEye split findings by property?
Yes. RMS gives a user Security Profiles against specific Properties and Accessible Categories, and findings follow the same shape. A park manager sees their own areas, and the group operator sees every property side by side with the same standard applied to all of them.
Will RapidEye change an area status or a housekeeping task in RMS Cloud?
No. RMS stays the system of record for the Booking Chart, the Clean Screen, every area status and every task. RapidEye reads and reports back, and your manager decides whether an area goes back to Vacant Dirty or gets an Out of Order reservation.
