How a Hostex cleaning task works

Overview

Hostex is very good at making sure the clean happens, and has no opinion about how it went. Booking events generate the cleaning task, the cleaner gets it by email or in the app, works through your checklist, submits photo or text feedback and marks it complete. Every one of those steps is an action a person takes and a claim a person makes. The photos that could settle it sit on the task, unopened. RapidEye reads the property list and booking dates from Hostex plus those photos, and returns a finding for each turnover: what is damaged, what was skipped, what is missing.

How it works with Hostex

Hostex organises the day into cleaning and maintenance tasks generated from booking events, so the checks follow the same shape: one turnover, one property, one stay between two sets of pictures.

  • The turnover clean. The guest has gone, the cleaner has been, the task is complete. RapidEye compares the photos submitted on that task with the last known good state of the same property and reports the burn on the worktop, the cracked blind, the missing remote, with both images and the booking dates between them.
  • The checklist items. Your checklist asks for fresh linen, a restocked bathroom, a wiped stovetop. Hostex records that the cleaner confirmed each one. RapidEye reads the pictures for those same items and reports where the confirmation and the photograph disagree.
  • Maintenance tasks. Hostex generates maintenance tasks from booking events alongside cleaning. The photos on a repair job become a dated before and after for the owner, and RapidEye keeps the pair together.
  • Mid-stay and back to back. On a same-day turn there is no slack to walk the property. The photos arrive, get read, and the one or two properties that need a human are named rather than guessed at.
  • Coverage itself. A cleaner who photographs the kitchen and skips the second bedroom every week is a pattern. Missing coverage is reported as a finding, not a silence.

Each finding names the property, the spot, the type of problem, how serious it is, both photographs and a suggested next step, and lands in the RapidEye dashboard, plus a Slack channel or an inbox if you want it there. Nothing moves in Hostex unless you move it. How to connect Hostex to RapidEye

  1. The Hostex account and the properties. A Hostex account with the properties you want checked, and the cleaners you use already added as members under Tasks. RapidEye reads the property list and the booking dates, so every finding lands on the right unit and the right stay.
  2. Where the photos come from. Hostex cleaning tasks already carry photo feedback from the assignee, and RapidEye reads those. If your cleaners submit text only, RapidEye supplies a capture link that opens in any phone browser, a fixed set of angles per room, taken before the task is marked complete.
  3. Add RapidEye as a team account. In Hostex, go to Settings and then Team Account, invite Rapid Eye at support@rapideyeinspections.com, and once the invitation is accepted assign a role and the property privileges for the units you want checked.

How a Hostex cleaning task works, from booking event to photo feedback

According to Hostex's help centre documentation (hostex.io), all cleaning tasks live in the Tasks list, where you see what is scheduled for each day and what status each task is in. A task gets there one of two ways. You create it by hand from the plus button in Tasks, or you write a rule under Automated Tasking that fires on a booking event and hands the job out without anyone typing it in. Hostex's product pages describe those generated tasks as carrying detailed checklists and being triggered by events such as guest arrival or departure, with an option to view every pending automation and change an individual action before it runs.

The part operators underestimate is that Hostex's notification schedule, not the cleaner's calendar, decides when the job appears. The rules are specific and they are worth knowing, because they set the earliest moment photos can exist for a stay.

Once the cleaner has the task, Hostex gives the assignee a dedicated mobile view. Its product page for task management lists exactly three things that view is for: reviewing the task details, submitting photos or text feedback, and marking the task complete. The mobile app itself is built natively for iOS and Android. On your side the same tasks appear in a list or a calendar you can export by iCal, and Tasks Statistics totals up tasks and cleaning fees by whatever dimension you filter, exportable as a spreadsheet.

Cleaners and team members are two different things in Hostex

This trips people up on setup, and it matters for who can see what. Hostex documents them as separate objects with separate invitation paths.

A Cleaner

  • Added from Tasks, the menu button in the upper right, then Members, then New Cleaner.
  • You fill in their details and pick the properties they are responsible for.
  • Hostex documents that a cleaner does not need to accept an invitation to join the team.
  • Receives the cleaning task by email, and by SMS or WhatsApp if you enable it.

A Team member

  • Invited from the Team Account section in Settings or the dashboard.
  • The administrator first creates a role and assigns permissions to it.
  • The invited account must be empty, with no properties or channel accounts of its own.
  • After the invitation is accepted, the administrator assigns the role and the property privileges.

Hostex's team collaboration page describes permissions controlled by feature and visibility limited to specific properties or rooms, with sub-accounts working in the mobile app. Some permission items carry an All properties tag and apply account-wide regardless of the property scope you set, which is worth reading before you hand out a role.

Can Hostex tell you whether the clean was actually good?

Not on its own, and it does not claim to. Every signal Hostex records about quality is something a person asserted: the checklist item the cleaner confirmed, the task the cleaner marked complete, the text feedback the cleaner chose to write. The one artefact that is not an assertion is the photograph, and Hostex's own documentation stops at collecting it and showing it to you. Its help centre covers creating tasks, assigning them, adding checklists, notifying by SMS and WhatsApp, and reporting on task counts and cleaning fees; none of it describes anyone reviewing the images, because reviewing them is a human job that does not scale past a handful of properties. That is the gap this integration fills. Hostex already collects the evidence on every task. RapidEye is the part that looks at all of it, every turnover, and tells you what it shows.

Does RapidEye integrate with Hostex?

Yes. RapidEye reads the property list and booking dates from Hostex and the photo feedback your cleaners submit on each cleaning task, then returns a finding per turnover: damage, missed cleaning, a missing item, a maintenance issue, with the earlier photo of the same spot beside the new one. Your tasks, automated task rules, checklists, cleaner members and task statistics are untouched. RapidEye writes nothing to Hostex.

Who reviews the photos my cleaners submit in Hostex?

In Hostex, nobody does unless you open them. The assignee view lets a cleaner submit photos or text feedback and mark the task complete, and the Tasks list shows you every task and its status. Opening each set of photos is a manual job, and at a hundred properties on a Saturday it does not happen. RapidEye is the part that opens all of them and tells you which turnovers need a person.

Do my cleaners need a different app than Hostex?

No. They keep working the task the way they do now, in the Hostex mobile app or from the task they received by email, and submit photo feedback there. What helps is a fixed set of angles per room with the lights on, so the same spots are photographed every turnover. If your cleaners do not submit photos today, RapidEye can supply a capture link that opens in any phone browser with nothing to install.

Can RapidEye check a Hostex task that was already marked complete?

Yes. Marking a task complete in Hostex is an action a person takes, so it records that the cleaner said the work is done. RapidEye reads the photos submitted against that task and reports what they actually show: a bed made badly, a bin not emptied, a stain that was not there before the stay, a lamp that has gone. A room the photos never cover is reported as missing coverage.

Does the Hostex checklist tell me the property is guest ready?

It tells you the cleaner confirmed each item. Hostex lets you attach a checklist when you schedule a task or in an automated task rule, and the cleaner confirms items as completed so nothing is overlooked. A confirmed item is an attestation, not a photograph. RapidEye checks the same items against the pictures and reports where the two disagree.

Will RapidEye change my Hostex tasks or automated task rules?

No. RapidEye reads and reports. It creates no task, changes no status, edits no checklist and reassigns nobody. Findings land in the RapidEye dashboard and, if you want them there, a Slack channel or an inbox. Whether a finding becomes a maintenance task in Hostex is your call.
