How a Hostaway Task works

Overview

A Hostaway cleaning Task is a record that the clean was scheduled, accepted, started and marked Done; it is not a record of what the property looked like when the cleaner left. The Task carries the listing, the reservation dates it was generated from, a checklist the cleaner ticks, and any files or images attached in the Hostaway mobile app. Hostaway shows the status on the Tasks board and flips the listing's cleanliness dot to Clean when a cleaning Task is marked Done, but nothing in Hostaway looks at the photos. RapidEye reads those photos, plus the listing, dates and assignee from the Task, and returns one finding per problem: new damage, cleaning that was missed, an item that is gone, with the before and after photos side by side.

How it works with Hostaway

Hostaway builds the turnover around the reservation: an Auto-task creates a Task per checkout, the cleaner works it in the mobile app, and the board moves it from To Do to Done. RapidEye follows that same shape. Each part of the Task is a place where a photo gets taken, and each photo is something RapidEye can read.

  • The before photos, taken when the Task is started. These show how the guest left the property. RapidEye compares them to the last after photos of the same spots, so a new burn on the counter, a cracked shower door or a stained sofa cushion is attributed to this reservation and not the one before. Picture a Task that comes back with one finding: a chip in the kitchen tile that is not in the last after photos, both frames side by side, tied to the reservation dates from the Task.
  • The after photos, taken before the Task is marked Done. These are what Hostaway's Clean status is standing on. RapidEye reads them for what the checklist cannot verify: streaks on the glass, a bed made over a stained sheet, a bin liner not replaced, the light in the hallway still out. If the after set skips a room entirely, that is a finding too, because a missing photo is the most common way a missed room stays hidden.
  • The checklist items on the Task. Hostaway's checklist templates are text items the cleaner ticks one at a time. RapidEye does not read the ticks; it reads the photo of the thing the tick refers to. "Restock towels" ticked plus an after photo of the bathroom with two towels where the listing keeps four is a missing-item finding.
  • Custom fields and notes on the Task. Where a Task carries a custom field like the number of toilet rolls the listing should hold, or a note about which room the extra crib goes in, RapidEye can hold the property to it: the standard is yours, the photo is the check.
  • Maintenance Auto-tasks and recurring Tasks. A monthly maintenance Task with photos attached is read the same way, so a loose railing, a smoke detector hanging off its plate or a water stain spreading on a ceiling is caught on the day the photo is taken rather than the day a guest mentions it.

A finding names the listing and the room, what kind of problem it is (damage, cleaning, missing item, maintenance), how bad, the before and after photos, the time, and a suggested next step. It lands in the RapidEye dashboard, and in a Slack channel or inbox if you want it there. What happens next in Hostaway is yours to decide: a maintenance Task for the handyman, a note on the reservation, a charge against the deposit. Photos are the starting point, not the limit. How to connect Hostaway to RapidEye

  1. A cleaning Auto-task that fires from reservations. In Hostaway, go to Tasks, then Manage Auto-tasks, and make sure your cleaning Auto-task is active with the cleaning category set. Every checkout then creates a Task on the listing, on the reservation's dates, and that Task is what RapidEye reads.
  2. Photos on the Task. Your cleaners attach before and after photos to the Task in the Hostaway mobile app, and those are what RapidEye reads. If your team does not attach photos yet, a RapidEye capture link goes in the Task instead: any phone, no app, a fixed set of angles per room, taken before the Task is marked Done.
  3. Add RapidEye as a user. In Hostaway, go to Settings, then Users, then Add New, and add Rapid Eye with the email support@rapideyeinspections.com, with access to your listings. Then set Rapid Eye as the supervisor on the cleaning Auto-task, since Hostaway shows a Task only to its assignee, supervisor, group members and admins.

That is the whole setup. Cleaners change nothing, the Tasks board changes nothing, and the first findings arrive after the first Tasks close.

How a Hostaway Task works, from Auto-task to Done

According to Hostaway's help centre documentation (hostaway.com), a Task can be created by hand from the Tasks page or generated by an Auto-task, which fires on a reservation event and stays in sync with that reservation's check-in and check-out times unless someone edits the Task's start or end time by hand. From there the Task moves through four statuses, To Do, Accepted, In Progress and Done, with Archived as a fifth for Tasks you want off the board. On the dashboard the status changes from a dropdown inside the Task or by dragging the card between columns; in the mobile app it is the dropdown, and a Start button that sets In Progress. The whole run, and where RapidEye reads in it, looks like this.

What a Task holds, and what each part can prove

Hostaway's Task is more than a status. The help centre documents a checklist, notes, a cost, a resolution note with an end score, attachments, and custom fields, and each of those was designed to answer a different question. The table is the honest version of what each part can tell you on its own.

Can Hostaway tell you whether the clean was actually done?

Not from the Task. Every status in Hostaway's Tasks documentation is set by a person: the assignee moves the card to Done, the checklist items are ticked by whoever is holding the phone, the Clean dot follows the Done status, and the supervisor notifications fire on time (30 minutes past a start time with no In Progress, 30 minutes past an end time with no Done), not on quality. Hostaway's Tasks articles, its checklist template article, its cleanliness status article and its mobile app article all describe how photos get onto a Task and where they are displayed; none of them describe anyone reviewing them, and the help centre's coverage of damage is about deposits, pre-authorizations and insurance rather than the evidence a claim needs. That is the gap this integration fills. Hostaway already collects the one thing that can settle the question, the photo, on every Task; RapidEye is the part that looks at it, every time, and tells you what it shows.

Does RapidEye integrate with Hostaway?

Yes. RapidEye reads the photos your cleaners attach to cleaning Tasks in Hostaway, along with the listing, the reservation dates and who the Task was assigned to, and returns a finding for every turnover marked Done: what is damaged, what was not cleaned, what is missing, with the before and after photos side by side. Your Tasks, Auto-tasks, checklist templates, assignments and cleanliness status stay exactly as they are. RapidEye writes nothing to Hostaway.

Do my cleaners need a new app alongside the Hostaway mobile app?

No. They keep opening the Task in the Hostaway mobile app, ticking the checklist and attaching photos the way they do now. The one thing that helps is a fixed set of angles per room, with the lights on, so every turnover photographs the same spots. If a team does not attach photos today, RapidEye can put a capture link in the Task instead; it opens in the phone browser with nothing to install.

Can RapidEye tell whether a Hostaway Task marked Done was actually cleaned?

Yes, from the photos. Hostaway's Done status and the Clean cleanliness status are both set by the person doing the work, so they record that the cleaner said the room is ready. RapidEye reads the after photos of that turnover and reports what they show: streaked counters, an unmade bed, hair in a drain, a bin not emptied. When the photos do not cover a room at all, that is reported too.

Does RapidEye use the before photos or only the after photos?

Both. The before photo taken at the start of a Task is the closest record of how the guest left the property, so it is the evidence for a damage claim. The after photo is the evidence for guest readiness. RapidEye reads each against the last known state of the same spot, so a scratch that was already there last week is not attributed to this guest, and a new one is.

Will RapidEye change my Hostaway Tasks or cleanliness status?

No. RapidEye reads and reports. It does not create Tasks, change statuses, edit checklists, reassign anyone or touch the cleanliness dot on your Multi calendar. Findings land in the RapidEye dashboard and, if you want them there, in a Slack channel or an inbox. What happens next in Hostaway, whether that is a maintenance Task or a note on the reservation, is your call.
