Guestware is built around the defect somebody noticed. A housekeeper reports it, engineering is dispatched to fix it before check-in, a work order schedules the repair, and the record feeds the analytics a director reads on Monday. That chain is only as complete as what the person in the room chose to report, and on a full house nobody reports the third scuff of the morning. RapidEye sits underneath it. It reads the photos taken in each room, against the room list and stay dates Guestware holds, and reports the defects, missed cleaning and damage nobody wrote down.

How it works with Guestware

Guestware separates the job by department, so the checks do too, and each department gets back the kind of finding it can act on.

  • Housekeeping, at the end of the clean. A streaked mirror, a bin not emptied, a bed made over a stain, a bulb nobody switched on. These come back before the guest walks in, which is the only time they are cheap to fix.
  • Defects, without the housekeeper having to file one. Guestware's defect flow depends on somebody noticing and reporting. RapidEye reads the same room and reports the chipped skirting, the cracked socket plate and the curtain hook that came out, so engineering sees them whether or not anyone typed them in.
  • Damage between two stays. The photos from before and after a guest, with the Guestware dates in between. That pairing is what a general manager needs before charging anybody for anything.
  • Preventive maintenance, with pictures. Guestware keeps the history that a task was done. The photos taken at the same time show what condition the room and its equipment were actually in, which is a different and more useful record for an owner.
  • Standards across a portfolio. Run the same eye over every property and the difference between the hotel that meets your standard and the one that has been drifting stops being a matter of who inspected it.

Each finding names the room, the spot in the frame, the type of problem, how bad it looks, the two photos and a suggested next step, and lands in the RapidEye dashboard plus, if you want, a Slack channel or the inbox of the department that owns the fix. Nothing is written to Guestware. And if what your team produces is not a still photo, a walkthrough video, a 3D scan, an inspection format your brand wrote itself, that is a setup conversation, not a limit: RapidEye reads what you already capture and reports against the standard you already have.

How to connect Guestware to RapidEye

  1. The rooms and the stay dates. Guestware runs on your property's room list, and where it is linked to the PMS it also carries in-house reservations, which is what puts a finding on the right room and the right stay.
  2. Where the room photos come from. If your housekeepers already photograph defects for engineering, or supervisors photograph rooms on inspection, RapidEye reads those. If nobody photographs rooms yet, a capture link opens on any phone with nothing to install and asks for a fixed set of angles per room at the end of the clean.
  3. The account. Tell us the property and the Guestware account it runs on. We set access up with you and your Guestware contact, and nobody on the floor learns a new app.

What happens to a room defect in Guestware

Guestware has been running hotel service operations for a long time, from Kirkland, Washington, under Diversified Computer Corp, and its own pages state it has been implemented in over 1,600 hotels and resorts. According to Guestware's product documentation (guestware.com), the platform streamlines communication between departments while capturing reliable data to power management analytics, and it is organised as a set of tools rather than one screen: guest requests, incident tracking, loyalty, preventive maintenance, work orders, inspections, defect reporting and analytics. The chain those tools form is the thing worth understanding, because it is where a photograph would help most.

Does Guestware store room photos?

Its public pages do not say. Guestware's feature pages are short by design and describe the tools above in a line or two each, and its detailed help centre sits behind a sign-in, so we do not claim to know what a Guestware request or inspection record can hold. The integration is built for both answers: where images are attached to your requests, inspections or work orders, RapidEye reads them; where they are not, a capture link supplies them from any phone. Either way the room list and the stay dates come from Guestware, and the finding lands on the right room.

What the documentation does make clear is the shape of the problem. Every tool in the chain starts with a person noticing something and typing it in, on a shift where the same person has fourteen more rooms to turn. That is not a criticism of Guestware. It is the condition every hotel operates under, and it is exactly the gap a camera closes.

Yes. Guestware already has Inspections. What does RapidEye add?

Guestware's Inspections tool is for a supervisor inspecting rooms and processes from a mobile device and coaching the team on the deficiencies found. It is a good tool with one hard limit, the same limit every hotel has: a person has to walk the room for a record to exist, and nobody walks every room every day. RapidEye reads the photos from rooms nobody inspected, so the coaching conversation covers the whole floor instead of the sample your supervisor had time for.

Where do the photos come from if my housekeepers do not take any today?

A RapidEye capture link, which opens in the phone browser with nothing to install and nothing to log into. It asks for a fixed set of angles per room, lights on, taken at the end of the clean. Teams that already photograph defects for engineering keep doing exactly that and RapidEye reads those instead. Video walkthroughs work too, and give more back than stills.

Can RapidEye tell which guest caused the damage?

It can tell you what changed and when. RapidEye holds the last known state of each spot in a room and compares the new photos to it, so a scuff that was there three stays ago is not attributed to last night's guest and a new burn on the desk is. Guestware supplies the stay dates that sit between the two photos, which is what turns a finding into something you can put in front of a guest or an owner.

Will RapidEye create or close requests and work orders in Guestware?

No. Guestware stays the system of record. RapidEye does not open a guest request, dispatch anyone, close a work order, edit a preventive maintenance schedule or change an inspection record. Findings land in the RapidEye dashboard and, if you want them there, a Slack channel or an inbox for the department that owns the fix. Whether one becomes a Guestware work order is your decision, made the way you make it now.
