How a HotSOS inspection order works

Overview

A HotSOS inspection order scores the room an Inspector walked; it says nothing about the rooms nobody walked. Every service order in HotSOS carries the location, the issue, the department and trade, the guest on the room with their stay dates, a remark history, and up to six photos taken in HotSOS Mobile. An inspection order adds a list of steps the Inspector answers Yes, No or N/A, and HotSOS turns those answers into a score for the room attendant. What HotSOS does not do is look at the photos. RapidEye reads every photo on every order, along with the room and the stay it belongs to, and returns one finding per problem it sees: damage, a clean that was missed, an item that is gone, a maintenance issue, each with the photos that show it. HotSOS stays the system of record for the work.

How it works with HotSOS

HotSOS organizes the day as orders: a work assignment that says what to do and where. Photos get attached in three places, and RapidEye reads each of them for what it can prove.

  • Photos on the inspection order, step by step. When an Inspector opens a guestroom inspection in HotSOS Mobile and taps a step, HotSOS lets them add remarks and attachments to that step. RapidEye reads the photo behind each answer. A step asking whether the pillows meet standard, answered Yes, with a photo showing a stained pillowcase, comes back as a finding on that room with the photo and the step named. A step answered No already did its job; RapidEye adds what else is in the frame that no step asked about.
  • Photos on service orders and incidents. Attendants and engineers attach a photo when they create or work an order: the dripping faucet, the scuffed wall. RapidEye reads the whole photo, not just the issue it was filed under. A photo of a leaking faucet that also shows a cracked tile behind it produces a second finding. It also compares the room against its last photos, so a repair order that closes with a photo of a repainted wall becomes the room's new baseline.
  • Photos on PM orders and rounds. A guestroom PM with steps and a photo per step is a full record of the room's condition, taken on a schedule. RapidEye reads the set against the previous cycle and reports what changed: a water stain that has spread, a grout line that has darkened, a mattress that has begun to sag.
  • The rooms with no inspection order at all. Inspectors reach a fraction of the rooms an attendant cleans. Where the attendant photographs the finished room, whether through HotSOS or a RapidEye capture link, RapidEye checks that room to the same standard the Inspector would have, and tells you which of the uninspected rooms need a person.

A finding names the room, the spot in the room, the type of problem, how serious it looks, the photos that show it, and a suggested next step. It lands in the RapidEye dashboard and, if you want it there, an inbox or a Slack channel. Whether it becomes a new service order in HotSOS, with the engineer's trade and a priority, is your team's decision, and HotSOS handles the dispatch as it always has. Photos are the starting point, not the limit: teams that film a walkthrough of each room, that have a 3D scan of their room types, or that want findings scored against their own brand-standards inspection form get that set up with us on the first call.

How to connect HotSOS to RapidEye

  1. The orders that carry photos. In HotSOS, your guestroom inspection issue and any PM or rounds issue with steps are the orders RapidEye reads. Check the issue in Configuration so its steps are the questions you want asked of every room; a step that says Are the lights working is a step whose photo RapidEye can check.
  2. Photos on the order. Your Inspectors and attendants attach photos to the order or to its steps in HotSOS Mobile, and those are what RapidEye reads. If a team does not attach photos today, or wants more than six per room, a RapidEye capture link goes in the order remarks instead: any phone, no app, a fixed set of angles per room, taken before the order is marked Complete.
  3. Add RapidEye as a user. In HotSOS, go to Configuration, then Personnel, then Create User, and add Rapid Eye with the email support@rapideyeinspections.com. We accept the login and email you when the first findings are ready.

Nobody on the floor learns a new app. Inspectors keep their steps, attendants keep their PIN and their order list, and the Inspection Log keeps filling the way it does now.

How a HotSOS inspection order works, from issue to score

According to HotSOS's help centre documentation (amadeus-hospitality.com), an inspection is a type of service order that evaluates the condition of a guestroom and the performance of the staff member who cleaned it, and it can also be used on meeting rooms, ballrooms and other common areas. It begins life as an issue in Configuration, where someone with the Unit Job Manager role gives it a name such as Guestroom Inspection or VIP Guestroom Inspection, a department, a trade such as Housekeeping Supervisor, an estimated time, a priority, and a list of steps. Each step is written as a question, and each carries three settings that decide how the score comes out.

The walk, in HotSOS Mobile

Inspections show up in the Inspector's Service Orders List with their own icon, and only a user with the Inspector role can perform one. The Inspector opens the order, sets the Service Status to Start, and, if the inspection is of a person's work, types the room attendant's name into the Person under Inspection field; left blank, it defaults to the Inspector's own name on completion. Every step starts set to Yes. The Inspector changes the ones that fail to No, marks the irrelevant ones N/A, and can tap any step to add remarks and attachments to it. Setting the Service Status to Complete produces the Inspection Summary.

Scores persist. The Inspection Log report lists every inspection performed in a period by room and attendant; the Inspection Order Form Details report shows the outcome of each step and is the one HotSOS recommends running weekly when an attendant's scores run low; the Inspection Frequency report shows which inspections are being performed most and which are being missed, and, switched to Failed Steps, which steps fail most often. HotSOS's own configuration example gives a guestroom inspection 20 minutes of estimated labor, which is the honest reason inspections are a sample: at that pace a supervisor inspects a handful of rooms out of the day's checkouts, and the rest are cleared on the attendant's word.

The rest of the order: statuses, guest, location, attachments

An inspection order shares its shell with every other HotSOS order. The Service Status runs from unassigned, to assigned but not started, to Start, with Stop for a pause (a part is missing, a shift ended), Defer for a later date and time, Complete, which removes the order from every workspace, and Void, which needs the SO Manager role and deletes the order with a remark. The Location section shows the room's Clean Status and Service Status when the location is a guestroom, plus the room's open orders and the ones closed in the past seven days. The Guest section shows the in-house guest's name, stay dates, adults and children, VIP status and special requests, and, for properties running HotSOS Housekeeping, the reservation status. Remarks keep a history of user comments, actions taken and system escalations. Attachments hold up to 6 photos or 10 MB per order, taken with the phone camera from inside HotSOS Mobile, and can be deleted by whoever added them or by a Unit Personnel Manager.

Does HotSOS review the inspection photos?

No, and it does not claim to. The Perform inspections article describes adding attachments to a step; the Service order details article describes the six-photo limit and who may delete a photo; the Create issues article describes how a failed step becomes a post issue. None of the three describes anything that looks at a photo once it is attached, and the three inspection reports are built from answers and scores, not images. The App Store listing for HotSOS Mobile says the app lets staff perform guestroom or public space inspections; the HotSOS Select product page says staff can inspect items and take pictures. So a photo in HotSOS is supporting documentation for a human reader who may or may not open it, and the score stands on the Inspector's answers. That is what the integration adds. HotSOS already collects the photo, on the order and on the step; RapidEye is the part that reads it, on every order, and says what it shows, including on the rooms where no Inspector ever opened an order.

Does RapidEye integrate with HotSOS?

Yes. RapidEye reads the photos your team attaches to service orders and inspection orders in HotSOS Mobile, along with the location, guest stay dates and department on each order, and returns a finding for every problem the photos show: damage, a missed clean, a missing item, a maintenance issue. Your orders, issues, inspection steps, scores and room statuses in HotSOS stay exactly as they are. RapidEye writes nothing to HotSOS.

Can you attach photos to a HotSOS inspection?

Yes. HotSOS documents attachments on every service order, up to 6 photos or 10 MB per order, taken with the camera in HotSOS Mobile. On an inspection order or a PM order, the Inspector can also tap an individual step to add remarks and attachments to that step. RapidEye reads all of those photos, whichever step or order they sit on.

Does RapidEye replace the Inspector role or the inspection score in HotSOS?

No. Your Inspectors keep walking rooms, answering steps Yes, No or N/A, and HotSOS keeps calculating the score and filing it in the Inspection Log. RapidEye reads the photos from the rooms your Inspectors reached and the rooms they did not, and reports what the photos show. It does not answer steps, change a score, or create a post issue.

What does RapidEye do with the 6-photo limit on a HotSOS service order?

It works within it. Six photos of a guestroom, taken from the same angles each time with the lights on, is enough for RapidEye to check the room against its last known state. For teams that want fuller coverage, a RapidEye capture link opens in the phone browser and takes photos or a video walkthrough with no attachment limit; the HotSOS order stays as it is.

Will RapidEye change room statuses, orders or scores in HotSOS?

No. RapidEye does not create, start, stop, complete, defer or void an order, answer an inspection step, change a clean status in HotSOS Housekeeping, or touch a score or a report. Findings land in the RapidEye dashboard and, if you want, an inbox or a Slack channel. Whether a finding becomes a new service order in HotSOS is your team's call.
