How an Optii housekeeping job runs

Overview

An Optii housekeeping job is a record of who cleaned which room, when, and whether an inspector passed it; it is not a record of what the room looked like. Optii builds the day's Departure, Stayover, Touch-up and Turndown jobs from your PMS reservations, predicts how long each will take, routes the room attendants, schedules the inspection, and sends the room status back to the PMS. Pictures enter Optii when staff report an issue from the app or when a manager puts a reference picture on a checklist task; a passed inspection is a button press. RapidEye reads the day's jobs from Optii, the room, the job type, the reservation and who did the work, together with the photos your attendants and inspectors take in the room, and returns a finding per room: damage, a missed clean, a missing item or a maintenance issue, with the before and after photos.

How it works with Optii

Optii organises the day by job type, colour-coded on the Timeline View, and each type is a different moment to point a camera at a room. RapidEye follows Optii's own categories.

  • Departure jobs (orange). The full clean after checkout, and the one job where a guest's whole stay sits between the last photos and today's. RapidEye compares the room against its own baseline and the last clean, so a cracked bathroom tile or a stain on the carpet is attributed to the reservation on the job card, not to whoever cleaned last. If a 3-night stay in a king suite ends with a scorch mark on the nightstand, the finding would show the nightstand before that arrival and after, with the reservation dates between them.
  • Stayover jobs (green). The lighter daily service, and the job many hotels choose not to inspect at all. RapidEye reads the stayover photo for the things a checklist tick cannot prove: a bed made over a stained sheet, a bin not emptied, towels not refreshed. It also notices condition changes mid-stay, so damage is dated to the day it appeared rather than discovered at departure.
  • Touch-up and Turndown jobs (blue and purple). Short jobs with a guest in house. RapidEye checks the small standard those jobs exist for: the turndown amenity placed, the towels replaced, the lights set the way your standard says.
  • Inspection and Check jobs (dark cyan and dark crimson). When an inspector taps Complete and Pass, RapidEye reads the same room and says whether the photos agree. When a Check job closes a Correction, RapidEye shows the spot that failed, before and after, so the correction has a record instead of a status.
  • Jobs staff add from the room. An attendant who finds a broken toilet taps Add Job, picks an Action like Repair or Replace, a Job Item and a Location, and can attach a picture. RapidEye reads those pictures too, so every reported issue becomes a dated photo record of that room, and a Deliver job for a missing crib tells RapidEye what the standard for that room was supposed to include.
  • Rooms nobody photographs. A room with no photos on any job today is itself a finding, because a skipped room is the most common way a missed clean stays hidden.

A finding names the room, where in the room, what kind of problem it is (damage, cleaning, missing item, maintenance), how serious, the before and after photos, the time, and a suggested next step. It lands in the RapidEye dashboard and, if you want, in a Slack channel or the housekeeping office inbox. What happens next in Optii is yours: a Correction job for the attendant, a Repair job for engineering, a note on the reservation for the front desk. Photos are the default input, not a requirement. A hotel whose inspectors film a walkthrough instead of shooting stills, or that wants findings scored against its own brand-standard inspection form, gets that set up with us on the first call.

How to connect Optii to RapidEye

  1. An Optii account with housekeeping jobs on the Timeline View. Optii builds the day's Departure, Stayover, Touch-up and Turndown jobs from your PMS reservations and shows them on the Timeline View. Those job cards are what RapidEye reads: the room, the job type, the reservation and who cleaned it.
  2. Room photos from your attendants. Optii's app attaches pictures to jobs staff add to report an issue, and RapidEye reads those. For the finished room itself, RapidEye sends a capture link that opens on any phone, no app to install: a fixed set of angles per room, lights on, taken before the attendant taps Complete. Where room photos already exist in another app, RapidEye reads them from there.
  3. Invite RapidEye as a user. In Optii, open Settings, then User Management, then Invite Users, and send an invite to Rapid Eye at support@rapideyeinspections.com. We accept the invite and email you when the first findings are ready.

Attendants keep the same app and the same job list. Inspectors keep the same scoring checklist. The only new habit is a few photos per room before Complete.

How an Optii housekeeping job runs, from Departure to Inspected

Optii is a housekeeping and service operations platform for hotels, and its Housekeeping module is built around the job rather than the room. According to Optii's Learning Center documentation (optiisolutions.com), the two-way PMS integration generates the unassigned job list from reservation updates and sends room status updates back to the PMS; Optii then distributes cleaning and inspection jobs across the team by credit quotas, working hours and preferred locations, and predicts how long each clean will take. The Timeline View shows every job as a colour-coded card whose length is the predicted duration. A room attendant works the day from My Jobs in the mobile app, and an inspector works the inspections Optii schedules behind those cleans. The run for a departure looks like this.

Job types and colours as Optii documents them. The dashed line in each card is what RapidEye does at that stage. Optii's Getting Started FAQs note that the room status should be updated by pressing Complete on the job card immediately, which is also the last moment a photo of the finished room can be taken.

The Self-Checker cadence, and what it means for coverage

Not every room gets that inspection. Optii's Learning Center describes a setting under Job Settings, Job Scheduling, Inspection, where a cadence is set per role: at 0, Optii schedules no inspection and the room goes straight from Dirty to Inspected when the attendant completes the job; at 1, every job is inspected and the room moves to Clean first; at 2 or more, only every nth job is inspected and the rest go directly to Inspected. Optii's own example is a cadence of 5, where five departures reach Inspected on the attendant's word and the sixth is inspected. Optii recommends that only Hotel Administrators can change it, because it takes effect immediately. It is a sound labour decision, and it means Inspected does not always mean inspected. RapidEye reads the photos from every one of those rooms regardless of cadence, so the five uninspected departures get the same check as the sixth.

Room statuses, and what each one can tell you

Optii's status codes are how housekeeping and the front office agree on whether a room can be sold. The table is the honest version of what each status proves on its own.

Optii also documents OO (Out of Order), OOS (Out of Service) and VP (Vacant Pickup, a check required before the next guest). RapidEye keeps the photo from before an OO or OOS and the photo after, so the repair has a dated record.

Does Optii take photos of rooms?

Not of the finished room. Optii's product page says the housekeeper app lets staff capture notes, pictures and log issues, and the documentation shows where those pictures live: on a job. Lesson 6 for room attendants and Lesson 7 for inspectors both describe the same path, Add Job, choose an Action such as Replace or Deliver, choose the Job Item, the Location, an optional note and an optional picture "to help the maintenance team understand the issue". The Add Job guide for Optii Service lists Notes, Attachments and Pictures (Mobile) as optional fields on a job, and a job can be edited later to add more pictures or files. The checklist articles describe pictures and notes placed on a checklist task by a manager, as a visual explanation of what is needed from the team. The Optii Housekeeping app's own App Store listing describes reporting observations and defects from the floors, and one of its release notes fixes a crash when adding a defect with an attached photo. None of these pages describes a photo taken as part of completing a cleaning job or passing an inspection, and none describes anything in Optii that looks at the pictures once they are attached.

So Optii's pictures are generous and precise about one thing: what a person noticed and chose to report. They are a record of the exceptions someone caught. What they cannot show is the room nobody flagged, which is nearly all of them, and that is the gap the integration fills. RapidEye reads every picture on every job Optii already has, adds a photo set of the finished room through a capture link, and reads that against the room's baseline. The reported defect gets a dated before and after. The unreported one gets found.

Does RapidEye integrate with Optii?

Yes. RapidEye reads the day's housekeeping jobs from Optii, the room, the job type and the reservation it came from, together with the photos your room attendants and inspectors take in each room, and returns a finding per room: damage, cleaning that was missed, an item that is gone, or a maintenance issue, with the before and after photos. Nothing in Optii changes. The Timeline View, the job cards, the inspection cadence and the room status sent to your PMS all stay exactly as they are.

Does Optii take photos of rooms?

Not of the finished room. Optii's documentation describes pictures in two places: attached to a job a room attendant or inspector adds from the app to report an issue, and as reference pictures on checklist tasks to show the team what is needed. Completing a cleaning job and passing an inspection are button presses, not photos. Can RapidEye check a room that Optii already marked Vacant Inspected?

Yes. In Optii, Vacant Inspected means an inspector tapped Complete and Pass, or a Self-Checker role completed the job with a cadence that skips the inspection. RapidEye reads the photos from that room and confirms or contradicts the status: a scuffed headboard, a streaked mirror, a missing kettle. The finding names the room and the job so the supervisor knows which door to open.

Does RapidEye replace the Optii inspection?

No. The Optii inspection is a person standing in the room with a scoring checklist, and Optii schedules it well. RapidEye covers the rooms that inspection never reaches: the Self-Checker rooms that go straight to Inspected, the departures outside the cadence, and the stayovers your hotel chose not to inspect. It also reads every photo on every job, which no supervisor has time to do.

Will RapidEye change job statuses or room statuses in Optii?

No. Optii stays the system of record for the Timeline View, every job card, the inspection cadence and the room status it sends to your PMS. RapidEye reads and reports. Whether a finding becomes a Correction job, a maintenance job or a note on the reservation is the housekeeping office's call, made in Optii.

Our hotel runs Optii Service and Optii Housekeeping. Does RapidEye read both?

Yes. Housekeeping jobs tell RapidEye which rooms were cleaned and inspected today and which reservation the clean sits between. Service jobs carry the pictures staff attach when they report an issue, and RapidEye reads those the same way, so a Repair job on a bathroom light and a Deliver job for a missing crib both become dated photo records of that room.
