How an AutoVitals inspection is built

Overview

An AutoVitals inspection is a rich, well-structured record of what one technician saw and photographed on one vehicle; it is not a second opinion on that photo set. The inspection sheet holds sections, topics, conditions and recommended actions, the technician shoots the topics on a tablet or phone, and the service advisor marks the pictures up before the results go to the customer. AutoVitals asks the advisor to review the photos on every inspection, which is the right standard and the first thing a busy Saturday takes away. RapidEye reads the same photo set, plus the vehicle, the repair order and the date, and returns a finding per inspection, so the review happens on all of them.

How it works with AutoVitals

AutoVitals already gives the photo set a structure: an inspection sheet, topics inside it, statuses on each topic, and pictures hanging off the topics the technician marked. RapidEye follows that structure, so a finding arrives with the vocabulary your advisor uses at the counter rather than a vocabulary of ours.

  • Topics with a status and no photo behind them. A topic set to a status that means immediate action, with nothing attached, is the version of the inspection that loses an approval. RapidEye reports it as an evidence gap on that topic, on that repair order, before the results go out.
  • The standing shot list. Four corners, the VIN tag in the door jamb, the instrument cluster with the mileage, fluids on the drip tray, all four tire treads, the battery test result. RapidEye reads what is present against what your shop expects and names the gap. Nobody has to open twenty inspections to find the one that is thin.
  • Pictures that do not match the topic they hang on. AutoVitals' own review standard asks the advisor to check that every picture is pertinent to the item it is attached to, and to remove the poor quality ones. That is a read of the image, which is exactly what RapidEye does: blur, a dark frame, a shot of the wrong corner, a picture that ended up on the wrong topic.
  • Intake and delivery condition. The four corners on the way in and the four corners on the way out are a before and after pair, whether or not anyone treats them that way. RapidEye holds them together, so a customer who calls on Tuesday about a scuff gets an answer from the photo taken on Monday rather than from memory.
  • The same vehicle, visit over visit. Because the inspection carries the vehicle and the repair order, RapidEye reads this visit's photos against the last visit's for the same unit. A leak that was seeping in March and pooling in September is a finding with two frames and the dates between them.
  • Consistency across technicians and locations. Guided Mode pushes every technician through the sheet the same way. RapidEye reports on the output: which sheets come back complete, which topics get photographed and which get skipped, and whether the second location holds the standard the first one does.

A finding names the vehicle and the repair order, the topic it belongs to, what kind of problem it is, how serious it looks, the photos that prove it, and a suggested next step. It reaches the RapidEye dashboard first, then Slack or email if you choose for the service desk. What happens next in AutoVitals is yours: reassign the inspection, add a note, ask for one more picture. Still photos are merely where most shops begin. How to connect AutoVitals to RapidEye

  1. Name the inspection sheets you run. Tell us which sheets your shop actually uses, and which point of sale AutoVitals is connected to. The sheet's sections and topics are the structure RapidEye reports against, so a finding lands on the topic your advisor already knows.
  2. Keep shooting the same photo set. Your technicians keep working the inspection in the AutoVitals.X app on their tablet or phone, attaching photos to topics and marking them up in the image editor. Those photos are what RapidEye reads. If part of the shop is still on paper, a RapidEye capture link opens on any phone with nothing to install.
  3. Tell us you run AutoVitals. Email support@rapideyeinspections.com with your shop name and your point of sale. We set the connection up with your team and email you when the first findings are ready. Nothing changes for the technician.

How an AutoVitals inspection is built, from sheet to results

According to AutoVitals' help centre documentation (autovitals.com), the inspection sheet is built in the Inspection Builder, reachable from the Today's Vehicle Page menu or from the Inspection tab in shop settings, and a shop can start from a sheet in the AutoVitals library or build its own. Every sheet is the same four-level shape, and knowing the shape is the difference between an inspection that sells work and one that generates questions at the counter.

  • SectionsThe blocks of the sheet, in the order a technician walks the vehicle. This is what makes Guided Mode possible: a fixed route through the car, the same one every time.
  • TopicsThe individual item inside a section. Topics are what photos attach to, what statuses are set on, and what a finding should be reported against.
  • ConditionsWhat the technician observed on that topic, in the shop's own words rather than free text.
  • ActionsThe recommended action that follows from the condition. These are what feed the customer's results, and what AutoVitals can carry into service reminders as recommendations for the next visit.

Statuses sit on top of that. A shop names its own statuses, picks an icon and a colour for each, and then tells AutoVitals what each one means, which is the part that matters downstream: only one status can carry the Good meaning, several can mean future attention or immediate action, and anything set to Hidden is kept off the customer's report entirely.

AutoVitals publishes a DVI photo best practices article, and it is more specific than most vendor guidance in this category. It is a shot list, and a shop that follows it produces a photo set that is genuinely readable. It is also the list RapidEye checks an inspection against, which is why it is reproduced here rather than paraphrased.

Who is supposed to review those photos, and what happens when nobody can

The service advisor is, and AutoVitals says so plainly. The same article gives the advisor four jobs on every inspection: confirm the technician's shots are all there, confirm each picture is pertinent to the item it is attached to, remove the poor quality and erroneous ones, and edit two or three for emphasis. If the pictures are not acceptable, the advisor reassigns the inspection to the technician. The Images and Notes Editor exists to make exactly that pass fast: it opens from the RO tile on the Work Order or Inspection Reports tab, and it holds the crop, rotate, arrow, callout circle, text and checkmark tools, an eye icon that hides a photo from the customer's report, and a red X that deletes one permanently. AutoVitals notes that every photo is approved and visible on the inspection report by default, and that images can be moved to the right topic or repair order one at a time.

Nothing about that is broken. It is a well-designed review station, and shops that use it well see it in their numbers: AutoVitals reports 19 percent higher average repair order with edited pictures and 45 percent higher with forty or more pictures. The problem is arithmetic. One advisor with a full board, a phone that keeps ringing and twenty inspections landing between ten and two is being asked to look at several hundred photographs and judge each one. On the day the shop is busiest, which is the day the photo set matters most, the review is the thing that gets skipped, and nothing in the software knows that it was skipped. That is the gap this integration fills. Who reviews the photos on an AutoVitals inspection today?

The service advisor. AutoVitals' own DVI photo best practices article puts the review on the advisor: check that every required shot is there, that each picture matches the item it is attached to, remove the poor quality ones, edit two or three for emphasis, and reassign the inspection to the technician if the pictures are not acceptable. That is the correct standard. RapidEye is what makes it survive a Saturday, because it applies the same read to every inspection instead of the ones somebody had time for.

Can RapidEye tell when a required photo is missing from an inspection?

Yes, and that is one of the more useful findings. AutoVitals shops usually run a documented shot list: four corners, the VIN tag in the door jamb, the instrument cluster with the mileage, fluids on the drip tray, the battery and its test result, all four tire treads. Do my technicians have to change how they use the AutoVitals.X app?

No. They keep logging in with their personal code, working the same inspection sheet, shooting the same topics and using the same image editor with its circles, arrows and captions. RapidEye reads what comes out. The only habit worth adding is shooting the same angles the same way each time, which is what Guided Mode is already pushing your team toward.

Will RapidEye change an inspection, a note or a repair order in AutoVitals?

No. AutoVitals stays the system of record for the inspection, the recommended actions and the customer-facing results. RapidEye reads and reports. Findings gather in the RapidEye dashboard; a Slack channel or inbox can mirror them for the service desk. Whether an inspection goes back to the technician is your call, made in AutoVitals.

Is RapidEye useful for a two-bay shop, or only for a multi-shop group?

Both, for different reasons. At a two-bay shop the owner is the quality control, and the photo review is the first thing that gets dropped on a busy day. At a group, the problem is that no two locations hold the same standard and nobody can prove it. Reading every inspection at both is the same job; the reporting is what changes.
