AI room inspection for Stayntouch

Read the photos your attendants take on their phones and get a finding for every room that reached Inspected, matched to the room, the task sheet and the stay.

What Stayntouch records about a clean

Overview

In Stayntouch, Inspected is the judgement of one supervisor at the end of a shift. The housekeeping module builds the day into task sheets, pushes them to phones, and moves a room from Dirty to Clean to Inspected, with a log tab on each room recording who changed what. The photos Stayntouch keeps are the ones an attendant chose to take of a fault they already spotted. Nothing holds a picture of the finished room. RapidEye reads the room list, the housekeeping status and the task the room sat on, reads the photos your team takes, and returns a finding for each problem so the sign-off has something behind it.

Findings by room and attendantStayntouch already knows who held the task; the finding lands beside that name, with the photos.
Read only, by designNo room status, task sheet or reservation is written back. Stayntouch stays the record.

How it works with Stayntouch

Stayntouch splits the day into work types on a task sheet, so the checks follow the same split your board already uses. These are the common cases, not the boundary of the product: RapidEye reads whatever a team documents, photos, a video walkthrough, a 3D scan, and reports against the standard you set.

  • Departure cleans. The stay that just ended sits between the last photos of this room and today's. A chipped headboard, a scorched shade, a missing iron comes back as a finding with both photos and the dates between them, which is what a charge needs.
  • Stayovers and linen changes. Stayntouch treats the stayover and the linen change as two separate tasks, and a linen task can be skipped or rushed with the guest's things still in the room. RapidEye reads the photo and says whether the linen actually changed.
  • Rooms held at Clean. A room can sit at Clean for hours before anyone inspects it. RapidEye reads it the moment the photos land, so the inspector walks the rooms that need a person rather than the next room on the floor.
  • Rooms marked Inspected. The status that sells the room. RapidEye either agrees with it or names the one thing that was missed, before a guest is the one who finds it.
  • Rooms in and out of service. The log tab records that a room went out of order and came back. RapidEye keeps the photo before the fault and the photo after the repair, so the room has a visual history and not only a status history.

A finding names the room, the spot inside it, the type of problem, how serious it looks, the photos on either side, and a suggested next step. It lands in the RapidEye dashboard, and in a Slack channel or an inbox for the housekeeping office if you want it there. Your manager decides whether the room goes back to Dirty. If your property documents rooms in a way this page does not describe, that is a setup conversation, not a limit.

How to connect Stayntouch to RapidEye

  1. A Stayntouch property with its rooms. The rooms and floors your attendants work, as they appear on the Room Status screen. RapidEye follows the same list and the same task sheets, including the employee filter you already use.
  2. A source for the room photos. If your attendants photograph rooms on their device, RapidEye reads those. If the only photos are the maintenance ones, RapidEye sends a capture link that opens on any phone, no app to install: a fixed set of angles per room, lights on, taken before the room is marked Clean.
  3. A RapidEye user in Stayntouch. Add us from Settings, Hotel and Staff, User Setup, with one role that carries housekeeping access. The connect box on this page has the exact details.

How a room gets to Inspected in Stayntouch

Checked against Stayntouch's help centre and product pages, September 2026.

Stayntouch's housekeeping module is part of the PMS rather than a separate app, and the day is built at Housekeeping and then Task Management, on a Work Management board. According to Stayntouch's help centre documentation (stayntouch.freshdesk.com), unassigned tasks sit in one column and task sheets in another, an auto assign button spreads the work evenly across the sheets, and anything left over is dragged onto a sheet by hand. The board can be filtered by floor, front office status, reservation status, VIP, and arrival or departure time, and the finished sheets can still be printed for properties working on paper. Then the room walks this ladder.

  1. DirtyautomaticThe room is Housekeeping's. Stayntouch notes that a room a guest checks into does not go dirty immediately: it flips after end of day, once the guest has actually used the bed and the bathroom.
  2. In progressthe attendant taps StartWhile a clean is running, the room status dropdown is greyed out for everyone else, and the same attendant who tapped Start has to be the one who taps Done or the status never reaches the rest of the hotel.Access to Start and Done requires the Floor and Maintenance role.
  3. Cleanthe attendant taps DoneThe room becomes visible to everybody again. This is the point where the person with the most to lose from a slow clean is the person declaring it finished.
  4. Inspecteda supervisor signs offStayntouch describes the inspector reviewing the room and marking it passed from their own device, with the front desk seeing it available at the same moment across the PMS.One pass, one pair of eyes, no record of what they saw.

Alongside the ladder, statuses can be changed one room at a time from the Work tab, or in bulk by checkbox from the Room Status screen, right up to selecting every room on the page at once. Each room carries a Log tab listing its major changes, so a manager can see that a room went Out of Order, came out of it, and was put back in service, and who did each of those. Everything Stayntouch keeps about the clean is a status, a timestamp, and a name.

Does Stayntouch store photos of a room?

It stores the ones the attendant decided to take. Stayntouch's own housekeeping writing describes photo based maintenance logging: the attendant works a mobile checklist and photographs a maintenance issue from inside the room, and the request routes to the relevant team with a record attached to the room's history, instead of a paper chit sitting at the desk for hours. That is genuinely good, and it is a picture of a problem somebody already noticed.

The gap is the other direction.

Nothing captures the room that looked fine. A rushed clean produces no fault to photograph, so it produces no photo, and Inspected is the only record that the room was ever looked at. That is what RapidEye adds: it reads the room itself, on every task, and returns the findings that nobody logged because nobody saw them.

Stayntouch integration FAQ

Does RapidEye integrate with Stayntouch?

Yes. RapidEye reads the room list, the housekeeping status and the task the room sat on in Stayntouch, together with the photos your attendants and inspectors take, and returns a finding per problem: damage, a missed clean, a missing item, or a fault nobody logged, with the photos behind it. Stayntouch keeps every room status, task sheet and reservation exactly as your team left it.

Does Stayntouch store photos of a room?

It stores the ones an attendant chose to take. Stayntouch describes photo-based maintenance logging, where the housekeeper photographs a fault from the room and the report reaches the relevant team with a record attached to the room's history. That is a picture of a problem somebody already noticed. Nothing in the housekeeping documentation stores a photographic record of the finished room itself, which is the gap RapidEye fills.

Can RapidEye check a room a supervisor already marked Inspected?

That is the main use. In Stayntouch a room moves from Dirty to Clean to Inspected, and Inspected is one person deciding the room passed, at speed, near the end of a shift. RapidEye reads the photos of that room and either agrees or names what was missed: a bed made wrong, a stain on the chair, a bulb out, an item that is no longer there. The finding names the room so you know which door to open.

How does RapidEye handle rooms marked out of order or out of service?

Stayntouch keeps a log tab on each room that lists the major status changes, so you can see that a room went out of order and came back in service and who did it. RapidEye keeps the photos on either side of that gap, so the repair itself has a dated visual record rather than only a status history.

Will RapidEye change room statuses or task sheets in Stayntouch?

No. Stayntouch stays the system of record for room status, task assignment and reservations. RapidEye reads and reports back, and your housekeeping manager decides whether a room goes back to Dirty or whether an attendant needs a word.
