AI room inspection for Cloudbeds
Read your housekeepers' room photos against every row of the Cloudbeds Inspection table, so a room set to Clean or Inspected has evidence behind it, not just a dropdown.
How the Inspection table worksOverview
The Cloudbeds Housekeeping page is a room condition board, not a room inspection. Its Inspection table lists every accommodation with a condition (Dirty, Clean or Inspected), a front desk status (Check-in, Check-out, Stayover, Turnover or Not reserved), the housekeeper it is assigned to, a Do Not Disturb toggle and a comment field. The condition is set by a person from a dropdown, in the browser or in the Cloudbeds App, and Cloudbeds stores no photo of the room it describes. RapidEye supplies the missing half: it reads the room list, the reservation dates, the condition and the assignment from Cloudbeds, reads the photos your housekeepers take in each room, and returns one finding per problem for every room set to Clean or Inspected, tied to the reservation that just left it.
How it works with Cloudbeds
Cloudbeds sorts the day by front desk status, and each status is a different kind of clean with a different question attached. RapidEye reads the photos from each room against that question.
- Check-out rows. A guest left today and nobody is pre-assigned to arrive. The room's photos are compared to the last set from the same room, so a cigarette burn on the desk or a cracked bathroom tile is attributed to the reservation that just departed, with the arrival and departure dates from Cloudbeds between the two photos. Suppose a 3-night stay in room 214 ends and the housekeeper's photos show a new scorch mark on the nightstand: the finding names 214, the spot, the reservation dates and both photos, before anyone has decided whether to raise a charge.
- Turnover rows. The same room has a departure and an arrival on the same day, which is where a rushed clean hides. RapidEye reads the after photos for what a condition dropdown cannot see: a bed made over a stained sheet, hair in the shower drain, a bin liner not replaced, the desk lamp still out. A room whose photo set skips the bathroom entirely comes back as a finding too, because a missing photo is how a missed room stays missed.
- Stayover rows. The guest is in-house and the room gets a service clean. Cloudbeds' 2am reset puts every occupied room back to Dirty as a reminder; RapidEye reads the stayover photos so an untouched bathroom or an unmade bed is flagged before the guest is back from dinner, while respecting the Do Not Disturb toggle your team set in the table.
- Not reserved rows. Rooms that sat empty gather dust, a dead bulb, a kettle borrowed for another room. RapidEye tells you what is missing from the photo compared with the last time that room was ready.
- Out of Service rooms and comments. An Out of Service block is where a repair lives, and the Comments field ("Shower leaks" is Cloudbeds' own example) is where a housekeeper describes it. RapidEye keeps the photo from before the block and the photo after, so the repair has a dated record rather than a comment someone will delete.
A finding names the room, the spot in the room, what kind of problem it is (damage, cleaning, missing item or maintenance), how serious, the before and after photos, the time and a suggested next step. It lands in the RapidEye dashboard and, if you want it there, in a Slack channel or your housekeeping office's inbox. What happens in Cloudbeds is your supervisor's decision: set the room back to Dirty, add a comment, create an Out of Service block, or set it to Inspected with the evidence in hand. Photos are where most teams start, not where RapidEye stops. A team that films a walkthrough instead of shooting stills, that has a 3D scan of each room type, or that wants findings scored against its own inspection form gets that set up with us on the first call.
How to connect Cloudbeds to RapidEye
- The Housekeeping page, set up the way you run it. Housekeepers added from the Housekeeping page (they are a list of names, separate from Cloudbeds user accounts), rooms assigned to them each morning, and the Inspected condition enabled in the Inspection table settings if your supervisors sign rooms off. The Inspection table is the record RapidEye reads: room, condition, front desk status, arrival and departure dates, and who the room was assigned to.
- Room photos from your housekeepers. Cloudbeds housekeeping holds no photos, so RapidEye sends a capture link that opens on any phone with nothing to install. A fixed set of angles per room, lights on, taken before the condition is set to Clean. If your team already photographs rooms in another app, RapidEye reads those instead.
- A Cloudbeds user for RapidEye. In Cloudbeds, go to the Account menu, then Settings, then Users, and add a user named Rapid Eye with the email support@rapideyeinspections.com and a role whose Housekeeping privileges include Edit housekeeper assignments and room conditions, which is the privilege that opens the Housekeeping page. The Connect button above walks through it. RapidEye accepts the activation email and tells you when the first findings are ready.
Your housekeepers keep the Cloudbeds App, the printed housekeeping list and the same routine, plus a few photos per room.
How the Cloudbeds Inspection table works, condition by condition

Cloudbeds is a cloud property management system for independent hotels, hostels, B&Bs and multi-property groups, and housekeeping lives on one page reached from the Main menu. According to Cloudbeds' help centre documentation (cloudbeds.com), the Housekeeping page lets a property check room condition and front desk status, assign a housekeeper, print or export the day's housekeeping list, apply bulk actions, and show the condition in the calendar as an asterisk beside the room. Cloudbeds' own developer documentation describes the module as basic housekeeping functionality and invites complementary tools, which is a fair description: it is a status board, done well, with no evidence layer beneath it.
The three conditions
A room that is or was occupied, is under maintenance, or is simply not ready for new guests.
Set automatically at check-in, when an in-house guest is moved out of the room, and for every occupied room at about 2am each day. The front desk statuses, and where RapidEye reads
The Inspection table's Frontdesk status filter is Cloudbeds' sort of the day. Each status is defined by two facts about the room, whether a guest is checking out today and whether one is checking in, and those two facts decide what a photo of the room can prove.

Status definitions and the checking out / checking in columns as Cloudbeds documents them for the Inspection table filter. The last column is what RapidEye does with a room in that row.
The rest of the table is people and notes. Housekeepers are a list of names added from the Housekeeping page, separate from Cloudbeds user accounts; Cloudbeds' help centre draws the line itself, suggesting a Housekeeping role for the supervisor who issues room lists and blocks rooms, and the Housekeepers list for everyone who cleans. Assigned to shows Unassigned or the housekeeper's name, and a bulk action assigns a filtered set of rooms at once. Do Not Disturb is a manual toggle that stays on until someone turns it off. Comments is a free-text field per room for instructions like investigate bad smell or bring extra towels, and for flags like a VIP guest. In the redesigned calendar, currently a limited release, the same condition, assignment and an Accommodation Comments field sit in a Room Details drawer, so a supervisor can update a room without leaving the grid.
Can housekeepers attach photos in Cloudbeds?
Not as documented. The three articles in the Housekeeping section of Cloudbeds' help centre cover the page and its settings, the Inspection table filters and bulk actions, and the three room conditions; none of them describes attaching a photo to a room, a condition change or a comment. The Cloudbeds App article lists a housekeeping view of room status and condition and the ability to update room statuses and assign housekeepers, with no photo feature. The developer documentation for housekeeping partners describes reading and posting room condition and housekeeper notes, and mentions no images. So Clean in Cloudbeds means somebody chose it from a dropdown, and Inspected means a supervisor did, and the property has no record of what either of them saw. That is the gap this integration fills: RapidEye holds the photos Cloudbeds was never built to hold, reads every one of them, and hands your supervisor the evidence before they set a room to Inspected.

Does RapidEye integrate with Cloudbeds?
Yes. RapidEye reads the room list, the reservation dates, the room condition and the assigned housekeeper from the Cloudbeds Housekeeping page, and the photos your housekeepers take in each room, then returns a finding for every room set to Clean or Inspected: new damage, a missed clean, a missing item or a maintenance issue, with the before and after photos side by side. Nothing in Cloudbeds changes. Room conditions, assignments, blocks and reservations stay exactly as your team set them.
Can housekeepers attach photos to a room in Cloudbeds?
Not in the Housekeeping module as documented. Cloudbeds' help centre describes the Inspection table, its filters, bulk actions, housekeeper assignment, a Do Not Disturb toggle and a Comments field for notes such as investigate bad smell or bring extra towels. None of the housekeeping articles describes attaching a photo to a room, a condition or a comment, and the Cloudbeds App article lists a housekeeping view of room status and condition with no photo feature. Room photos for a Cloudbeds property come from a RapidEye capture link on the housekeeper's phone, or from a task app your team already uses.
What does Inspected mean in Cloudbeds, and does RapidEye replace it?
Cloudbeds defines Inspected as a vacant room that has been cleaned by a housekeeper and whose condition a supervisor has inspected, ready for new guests. It is off by default, a Property or Organization Owner or Administrator enables it in the Inspection table settings, and a role privilege controls who can set it. RapidEye does not replace it. It gives the supervisor the evidence: the room's photos, read against that room's last known state, so the person setting Inspected knows what they are signing off on without walking every room.
Do my housekeepers need a new app alongside the Cloudbeds App?
No. They keep working from the Housekeeping view in the Cloudbeds App, or from the printed or exported housekeeping list, exactly as now. The only addition is a few photos per room, taken through a RapidEye capture link that opens in the phone browser with nothing to install: a fixed set of angles, lights on, before the condition is set to Clean. If your team already photographs rooms in another app, RapidEye reads those instead.
Will RapidEye change room conditions, assignments or reservations in Cloudbeds?
No. RapidEye reads and reports. It does not set a room to Clean, Inspected or Dirty, does not reassign housekeepers, does not create room blocks and does not touch a reservation. Each finding lands in the RapidEye dashboard; teams that live in Slack or email can have it delivered there too. Whether a room goes back to Dirty, gets an Out of Service block or gets a comment in the Inspection table is your supervisor's call.
