What the Ready column tracks

Overview

Room readiness in Sirvoy is a switch, not a check. Turn it on and every room carries one of two states in the Ready column on the Rooms page: green for ready, red for not ready. Checkout flips a room to red on its own; a person clicks it back to green. Sirvoy stores no photo of the room behind that click, and it will only warn you if you try to check a guest into a red one. RapidEye reads the room list and booking dates from Sirvoy and the photos taken in each room, then returns a finding per room, tied to the stay it belongs to.

How it works with Sirvoy

Sirvoy already tells you which rooms are in play today and what kind of clean each one is owed. The checks follow the tabs on the Rooms page.

  • Check-outs. The room goes red the moment the guest leaves, and the photos taken during the clean sit against the last set from before the stay. A chipped basin, a burn on the desk, a missing kettle comes back as a finding with both photos and the booking that ran between them.
  • Check-ins. A room that has been empty for a week is not the same room you last saw green. RapidEye compares today's photos against what stocked and ready looks like at your property, so the dead bulb and the missing hairdryer surface before the guest opens the door.
  • Stayovers. Rooms nobody walks. RapidEye reads whatever photos your team takes mid-stay and flags a bathroom that was skipped or a bed left unmade, while the guest is still there to fix it for.
  • Your scheduled tasks. The columns you added for sheet changes, mattress rotation or a weekly deep clean are clicked complete by the person doing them. RapidEye reads the photos from that room on that date and says whether the linen actually changed.
  • Rooms you keep out of tracking. Campsites, pitches and spaces you excluded from readiness still get walked sometimes. Photos from them are read the same way, even though Sirvoy holds no state for them.

Each finding names the room, where in it, the kind of problem, how serious it is, the photos behind it, and a suggested next step. It lands in the RapidEye dashboard, and an inbox or a channel if you want one. Nothing in Sirvoy moves: you decide whether that room goes back to red. Photos are the common case, not the limit. If your team shoots video walkthroughs, runs 3D scans, or works to an inspection standard of your own, that is something we set up with you.

How to connect Sirvoy to RapidEye

  1. A Sirvoy account with readiness tracking on. Settings, then Housekeeping, then Track Room Readiness set to Yes, with the rooms you clean selected underneath. Spaces you excluded there stay excluded.
  2. Room photos from whoever cleans. Sirvoy has no photo field, so RapidEye sends a capture link that opens in any phone browser, nothing to install. A fixed set of angles per room, lights on, taken before the icon goes green. If your cleaner already photographs rooms somewhere else, RapidEye reads those instead.
  3. Add RapidEye as a user. Settings, then Users, then Create New User Account. Sirvoy asks you to assign permissions and limited ones are enough. The connect box has the details.

What the Sirvoy Rooms page actually tracks

Sirvoy is a property management system for hotels, B and Bs, guest houses, hostels, glamping sites and rentals, and housekeeping in it is a handful of columns on one screen rather than a module of its own. According to Sirvoy's help centre documentation (sirvoy.com), readiness is switched on under Settings, Housekeeping, Track Room Readiness, and you can pick which rooms are tracked, which matters for spaces like campsites that need no clean between guests. Readiness shows on both the Rooms page and the Calendar page, but it can only be changed from the Ready column on the Rooms page.

Sirvoy's own two readiness states and a custom scheduled task, drawn as they sit on the Rooms page. Tabs, columns and filters come from Sirvoy's documentation; the room numbers are an example.

The tabs switch between all rooms and just the check-ins, check-outs or stayovers for a chosen date, and there is an evacuation list tab that prints every occupied room in real time. Filters narrow the list by cleaning status and by room type or category, and each column sorts. Custom scheduled tasks are created in the same Housekeeping settings: name one Sheet change and it appears as its own column, with a clickable icon on any room that has that task due today, which the cleaner clicks to mark completed. You choose how often each task runs and whether it falls on the day of arrival, the day of departure or through the stay, and if you switch on optimised occurrences you can reschedule one from the calendar icon in its column.

Can you attach a photo to a room in Sirvoy?

No, and that is the whole gap. The readiness article, the custom tasks article and the Rooms page article between them describe icons, columns, filters, tabs, staff permissions and a warning when you try to check someone into a room that is not ready. None of them describes attaching a photo to a room, a clean or a task. Sirvoy is also explicit that it offers no open API, supporting iCal for availability and a booking event webhook that sends booking details as JSON when a booking is created, modified, cancelled or restored, which is why the room list and the stay dates are what RapidEye works from.

What green tells you

Somebody with a Sirvoy login decided the room was done and clicked the icon. Sirvoy records the state, and warns the front desk if a guest is being checked into a red room.

What the photos tell you

Whether the bed is made right, the bulbs are alive, the towels are stocked, and what is different from the last time this room was green. That is what RapidEye returns, room by room.

Sirvoy also documents creating a user with limited permissions so housekeeping staff can update readiness without reaching the rest of the account, and adding its pages to a phone home screen as a shortcut rather than shipping a separate cleaner app. So the person setting green is usually working from a browser on a phone, in the room, with a camera already in their hand.

Does RapidEye integrate with Sirvoy?

Yes. RapidEye reads the room list and the booking dates from Sirvoy and the photos your cleaner takes in each room, then returns a finding per room: damage, a missed clean, a missing item or a maintenance issue, with the photos behind it. The Ready column, your scheduled tasks and every booking in Sirvoy stay exactly as they are.

Can you attach photos to a room in Sirvoy?

No. Sirvoy's housekeeping documentation covers turning on room readiness tracking, the green and red icons in the Ready column on the Rooms page, and custom scheduled tasks that staff mark as completed. None of it describes attaching a photo to a room, a clean or a task. Photos come from your cleaner's phone through a RapidEye capture link, or from whatever app they already use.

What does the green icon in Sirvoy actually prove?

That someone clicked it. Sirvoy flips a room to not ready automatically after checkout, and a person clicks the icon to turn it green again. It is a claim about completion, not a record of condition, which is why the photos taken in that room are the only evidence of what the next guest walks into.

Does Sirvoy have a housekeeping app for cleaners?

Not a separate one. Sirvoy documents adding its own web pages to a phone home screen as a shortcut so staff can work from a device, and it lets you create a user with limited permissions so a cleaner can update readiness without seeing the rest of the account. RapidEye works the same way: a capture link opens in the phone browser with nothing to install.

Will RapidEye change room readiness or bookings in Sirvoy?

No. Sirvoy stays the system of record for rooms, readiness, scheduled tasks, rates and channels. RapidEye reads and reports, and you decide whether to send someone back to a room.

Is RapidEye worth it for a nine-room guest house on Sirvoy?

That is the size it fits. At a small property the owner is also the inspector, and the rooms get turned in the same afternoon window as everything else on the list. RapidEye reads the photos from all nine and points you at the one that needs your eyes before the arrival.
