How a Rentroom ticket works

Overview

A Rentroom maintenance ticket is a record of a request, not a record of a unit. It carries a category, a description, a priority, a status, an assignee, a chat thread and any files you attach, and it does its job the moment somebody fixes the thing and closes it. What it is not built to do is tell you that the wall behind the resident in the third photo has a hole that was not there in March. RapidEye reads your Rentroom property and unit list and the photos on those tickets, and returns a finding per issue with the room, the severity, and the dated pictures on either side of it.

How it works with Rentroom

Rentroom tickets get opened at the moments somebody is actually standing in the unit, which makes them the best condition record a small operator has. Each of those moments is a different question, so the checks follow them.

  • The resident-opened ticket. Somebody photographs a leak under the sink and adds a sentence about it. RapidEye reads the whole frame, not the leak: the swollen cabinet floor beside it, the missing cupboard door, the scorch on the counter. Findings come back attached to that unit, not to the plumbing.
  • The repair visit. A tech opens the ticket, does the work, uploads a photo and a receipt. That photo becomes both proof the job was done and the newest picture of that room, so the next comparison starts from a truer baseline.
  • The turn. Between one lease and the next, the unit gets walked. RapidEye lines the walk-through photos up against everything the unit has accumulated and returns what is new since move-in, which is the only part a deduction can rest on.
  • The quiet drift. Blinds that never got replaced, a smoke detector nobody has looked up at, a bulb out in the same hallway for three visits. Nothing generates a ticket for these, so nothing catches them. Reading every photo does.
  • Multi-property patterns. With every unit checked the same way, the dashboard shows which properties keep producing the same finding, which is usually a vendor or a spec problem rather than a resident one.

Each finding names the unit, the room or spot, the kind of problem, how serious it is, the before and after photos with their dates, and a suggested next step. It lands in the RapidEye dashboard, and in a Slack channel or an inbox if that is where your team looks. What happens next in Rentroom, a new ticket, a charge, a note to the owner, stays entirely your call. If your team documents units some other way, a video walk-through, a 3D scan, a condition form of your own, that is a setup conversation rather than a limitation.

How to connect Rentroom to RapidEye

  1. A Rentroom account with your units set up. Findings are filed against the property and unit Rentroom already knows, so the property settings screen where those records live is the only thing that has to be in order first.
  2. Somewhere for the photos to come from. Rentroom tickets already take photos, receipts and any other file, so RapidEye reads those. Where a visit happens without a ticket, a RapidEye capture link opens on any phone with no app to install and covers a fixed set of angles per room.
  3. Add RapidEye as a user in Rentroom. User Settings, Add User, then the name, email, role and properties. The modal has the exact values.

What a Rentroom maintenance ticket actually holds

Rentroom is a property management platform aimed at landlords and smaller portfolios, spanning single-family, multi-family, student housing, mobile homes, condos, apartments and storage. Maintenance is one of its core features, and it is deliberately conversational: according to Rentroom's help centre documentation (rentroom.com), a new ticket opens a chat between the resident and the landlord or maintenance team the moment it is submitted, and every interaction after that is logged automatically against the tenant and the unit. These are the parts of a ticket, and what each one can and cannot tell you about the unit.

Description

Photo

Rentroom's maintenance documentation is explicit that files attached to a ticket also go into its centralized file system for later reference, which is the second place a unit's history accumulates. Between the two, most operators are already sitting on a photographic record of their portfolio.

Does Rentroom have a move-in and move-out inspection module?

Not as a separate record. Rentroom's feature set covers maintenance, payments, communication, file storage and sharing, accounting and QuickBooks sync, reporting, applications and eSign, screening, and listing syndication, and neither its feature pages nor its help centre describes an inspection object with rooms and line items the way a dedicated inspection app does. In practice that means condition on Rentroom lives in ticket photos and the file store, dated by when they were uploaded. That is a workflow shape, not a shortcoming, and it happens to be exactly the input RapidEye is built to read: unstructured photos of the same space over time, turned into a list of differences with dates attached. The baseline for a unit comes from its own history, so the longer you have been on Rentroom, the better the first run is.

Yes. Can you attach photos to a Rentroom maintenance ticket?

Yes. Rentroom's maintenance documentation says you can attach photos, receipts or any file to a maintenance ticket, and that those files also land in Rentroom's centralized file system. A resident opening a ticket in the tenant app is offered a photo too, though the help centre marks it as not required.

Does Rentroom have a move-in or move-out inspection module?

Rentroom's own feature pages and help centre describe maintenance tickets, work orders, files, payments, accounting, leasing and screening, and do not describe a separate inspection record with rooms and line items. In practice the ticket and the file store are where unit condition is documented, which is exactly what RapidEye reads.

How does this help with a security deposit deduction?

A deduction survives on dated evidence. RapidEye keeps a baseline of what each unit looked like from the photos already in your Rentroom tickets and files, and when the move-out photos arrive it returns the difference: what is new, where it is, and the two pictures with their dates. You decide what to charge.

Will RapidEye change anything inside Rentroom?
