Overview

Rentec Direct is built to be the durable record of a property, and it keeps that record faithfully. A finished inspection lands in the account File Library and in the property's own File Library, shows up under Quick Access on the Summary page, and can be opened from the Inspections tab. A work order carries its own uploaded files. A tenant reporting a repair from the portal can attach photos to it. All of that is stored, permissioned and retrievable years later, which is exactly what a system of record should do. What no record system does is open the files and look. RapidEye reads the property and unit list from Rentec Direct so a finding lands on the right address, reads the media itself, and returns one finding per issue with the spot, the type, a severity and the photos.

How it works with Rentec Direct

Rentec Direct already sorts a property's life into a handful of records that hold pictures. The checks follow those records.

  • The inspection report on the property. A finished report is the fullest view of a unit anyone will produce that quarter. RapidEye reads its photos against the same unit's earlier reports and returns what is new: a crack that was a hairline last time, a smoke detector that has come off the ceiling, an appliance that is not in the frame any more.
  • Move-in and move-out. Two reports on the same unit with a tenancy between them are a deposit case. RapidEye returns each difference as its own line, with both photos and their dates, which is what a deduction has to stand on if it is ever questioned.
  • Work order files. A work order has a Files section, so the before shot and the vendor's after shot can sit on the same record. RapidEye compares them and says whether the work in the invoice is the work in the photo.
  • Tenant-reported issues. A tenant clicks Report an Issue in the portal, describes the problem and uploads a photo. RapidEye reads that photo for what the description left out, and for what the same unit looked like the last time anyone documented it.
  • The File Library as history. Because Rentec Direct keeps reports at both the account and the property level, a unit accumulates a real timeline. That timeline is the baseline every later read is measured against, and it gets better the longer you have been on the platform.

Each finding names the unit, the room or spot, the kind of problem, how serious it is, the photos with their dates, and a suggested next step. It lands in the RapidEye dashboard, and in a Slack channel or an inbox for the office if you want it there. Nothing is written back: whether a line becomes a work order assigned to a vendor, a deposit deduction, or nothing at all, is your decision inside Rentec Direct. How to connect Rentec Direct to RapidEye

  1. Your properties and units on the Properties screen. Rentec Direct supports multi-unit properties and lets you combine or separate units, so make sure the unit split matches the doors you actually walk. That is what a finding gets attached to.
  2. Wherever the media already is. Inspection reports and their photos, work order files, tenant-reported issue photos, or a folder of walkthrough video. For a unit nobody photographs today, a RapidEye capture link opens on any phone with no app to install and walks whoever is on site through a fixed set of angles.
  3. Add RapidEye as a user. Settings, then Users under Account on a Pro account or Managers and Users on a PM account, at the Limited read-only level. The Connect panel on this page has the exact path and the details to paste.

Where a photo can live in Rentec Direct

There are three records in Rentec Direct that can hold an image, and they behave differently enough that it is worth knowing which one you are standing in. A completed inspection report is saved to both the account File Library and the individual property's File Library, is flagged under Quick Access on the Summary page, and can be opened from the Inspections tab under Properties. According to Rentec Direct's help centre documentation (rentecdirect.com), right-clicking a report gives you View Inspection, from which you download the PDF, edit the report, or create a maintenance work order; renaming, deleting and sharing to the tenant or owner portal are handled from the File Library instead, and the documentation notes plainly that inspection reports are commonly retained as permanent records.

The second record is the work order, and it is the most structured place a photo can land. Its form is divided into named sections, and which section a thing goes in determines who ever sees it.

The third record is the tenant's own. By default a tenant or co-tenant can open Repairs in their portal, click Report an Issue, describe it, say whether entry is okay, and upload photos; an email then goes to a manager, or to the assigned Maintenance Manager on a PM account. That photo is often the earliest image of a problem anyone will ever have, taken weeks before a vendor sees it.

Does Rentec Direct inspect the photos it stores?

No, and that is the correct division of labour rather than an omission. Rentec Direct's own documentation is clear about where inspections come from: capture happens in zInspector, its long-documented partner app, and the finished report syncs back so the record lives with the accounting, the ledgers, the tenants and the owners. Each half does what it is good at. What neither half is built to do is form an opinion about the contents of an image, and at portfolio scale that is where the work piles up. A hundred units inspected quarterly is four hundred reports a year, each with dozens of photos, filed permanently and opened almost never. RapidEye is the third piece: it reads the images the capture app produced and the record system stored, and hands the manager the short list, with Rentec Direct still holding the file that proves it.

Does RapidEye integrate with Rentec Direct?

Yes. RapidEye reads the property and unit list from Rentec Direct so every finding lands on the right address, plus the photos behind your inspection reports, work orders and File Library, and returns a finding per issue with the room, the kind of problem, a severity and the photos. Property records, tenant records, ledgers and reports in Rentec Direct are not changed.

Where do inspection photos live in Rentec Direct?

In the finished report and in the File Library. Rentec Direct's help centre documentation says a completed inspection report is saved to both the account File Library and the individual property's File Library, appears under Quick Access on the Summary page, and can be opened from the Inspections tab on the Properties screen. Separately, a work order has its own Files section where photos and documents are uploaded, and a tenant reporting an issue from the Tenant Portal can upload photos with it.

Does Rentec Direct have a built-in inspection app?

Inspections are delivered through zInspector, its documented partner, and the finished report syncs back into Rentec Direct. That is a deliberate architecture: Rentec Direct is the accounting and record system, and the capture app is the camera. RapidEye sits at neither of those points. It reads whatever media the workflow produced and returns findings against it.

Can a finding become a work order?

You make that call, in Rentec Direct. Its documentation describes creating a maintenance work order directly from a finished inspection report and assigning it to a team member or vendor. RapidEye gives you the short list of what is actually in the photos; which lines become work orders, which become deposit deductions, and which are nothing stays with you.

What permission does RapidEye need on a Rentec Direct account?

The least you can give it. Rentec Direct documents three default permission levels for a subuser, Limited, Financial and Full, where Limited creates a read-only account with optional overrides. Read-only is the right shape for RapidEye, because nothing it does writes back to your account.

We use video walkthroughs rather than photo sets. Does that work?

Yes, and it usually works better. Video gives fuller coverage of a room than a fixed set of stills, and RapidEye reads video walkthroughs the same way it reads photos. If your team captures something else again, floor plans, 3D scans, or an inspection format of your own, that is a setup conversation rather than a limit.
