How protel housekeeping worksOverview
In protel, a clean room is a number somebody typed. The housekeeping dialog holds the room status tab, the room maid report, the discrepancy view, the printed housekeeping report and the room maintenance list, and it moves rooms between cleaned, dirty, checked, touched and out of service in bulk. None of those records carry a picture of the room. RapidEye reads the room list and the stay dates from protel plus the photos your floor takes, and returns a finding per room, tied to the room number and the stay it belongs to.
How it works with protel
protel's housekeeping dialog is a set of tabs, and each one describes a moment where a photo would settle an argument that today gets settled by memory.
- The room status tab. Rooms move to cleaned, dirty or out of service in bulk, several at a time, from a right-click. A bulk action is fast and blind. RapidEye reads the photos from each room in that selection and tells you which one should not have been in it.
- The room maid report. The floor types a room number, a status digit and an occupancy digit. RapidEye keeps the picture the digit was meant to summarise, so a 1 that should have been a 2 is visible the same afternoon.
- The discrepancy view. protel shows the rooms where its own status and housekeeping's status disagree, in red. RapidEye tells you which of the two was right.
- Room maintenance. A task carries a room, a reason, a description and an estimated time, and gets flagged cleared when the work is done. RapidEye holds the photo from before the task was raised and the photo after it was cleared, so cleared has evidence.
- Out of service. A room can be blocked for a set number of days. RapidEye records what the room looked like going into the block and coming out of it, which is the pair of photos an owner or an insurer asks for.
Each finding names the room, the spot in it, the kind of problem, how serious it is, the photos on both sides of the stay, and a suggested next step. It lands in the RapidEye dashboard, and in a channel or inbox for the housekeeping office if you want one. Nothing moves in protel unless a person moves it. If your floor shoots video walkthroughs instead of stills, or you keep 3D scans of suites, or you inspect against a brand standard of your own, that is a setup conversation rather than a limit: RapidEye reads the documentation you already produce and scores it against the standard you care about.
How to connect protel to RapidEye
- The rooms on the housekeeping report. A protel account where the rooms you clean appear on the report. Housekeeping departments you already use to split the day carry through, so findings arrive grouped the way your floor is.
- Room photos from the floor. protel attaches an image to a work order or a Lost and Found item, never to the clean, so RapidEye sends a capture link that opens on any phone with nothing to install. A fixed set of angles per room, lights on, taken before the status goes to cleaned. Rooms already photographed in another tool are read from that tool.
- A user in protel for RapidEye. Added under System, User administration, Users, with a role that carries the housekeeping report right. The connect box has the exact details to paste.

protel is a hotel property management system, now part of Planet, and its housekeeping work happens in one dialog reached from the front office reports menu. According to protel's help centre documentation (protel.net), the room maid report tab takes three keystrokes per room: the room number, the room status as a number, and the occupancy status as a number, where 0 is vacant and 1 is occupied. Six status digits do all the work on the floor.
protel also lets housekeeping flag a room vacant or occupied without touching availability, and marks an occupied room the system believes is empty with an X in the housekeeping status column. Access to each tab is controlled by its own right: the housekeeping report, the room status tab and the discrepancy tab are separate permissions, and the three room maintenance actions, new, edit and delete, are three more.
What the discrepancy tab compares, and what it leaves out
protel's discrepancy tab exists because two people can hold different beliefs about the same room. It shows conflicts between the status held in the system and the status housekeeping reported, lists the rooms in red, and leaves you to walk up and decide. Both lanes are claims. Only the third one is evidence.

Can protel attach a photo to a room?
Only to a problem, never to a clean. protel documents pictures in exactly two places, both in the Housekeeping App: a work order takes a photo, either from the camera or one taken earlier, and it can be edited later along with the description; and a Lost and Found item takes a document or an image as an attachment, which its help notes is easiest to add straight from the app. Both attach to something a person already found and wrote up. The room that gets a 1 and no work order leaves no image at all. That is the room RapidEye photographs, reads and reports on, and it is where the misses live: the light nobody switched on, the linen swapped out before the walkthrough, the second remote that has quietly gone missing from a floor.

Does RapidEye integrate with protel?
Yes. RapidEye reads the room list and stay dates from protel and the room photos your floor takes, then returns a finding per room: damage, a missed clean, a missing item, or something the room needs before the next arrival, with the photos behind it. The housekeeping report, the room statuses and the maintenance list in protel are left exactly as they are.
Can protel attach a photo to a cleaned room?
Not to the clean itself. protel documents photos in two places, both in the Housekeeping App: a picture on a work order, taken with the camera or chosen from the phone, and a document or image kept with a Lost and Found item. Both are attached to something a person already noticed and wrote up. The room that gets set to cleaned and nothing else carries no image, which is where RapidEye adds one.
What does room status 4, checked, actually prove in protel?
That somebody entered a 4. protel's room maid report accepts the room number, a room status number and an occupancy number, with 1 clean, 2 dirty, 3 out of service, 4 checked, 5 touched and 6 cleaning in progress. Checked is the supervisor's word for inspected, typed as a digit. RapidEye reads the photos from the same room and says whether the condition matches the digit.
How does this relate to protel's discrepancy tab?
The discrepancy tab compares the status held in protel against the status housekeeping reported and shows the rooms that disagree in red. It is a comparison of two claims about a room, made by two people. RapidEye adds a third lane that nobody has to type: what the room looked like when the photos were taken.
Will RapidEye change room statuses or maintenance tasks in protel?
No. protel stays the system of record for the housekeeping report, every room status, the out of service block and the room maintenance list. RapidEye reads and reports; your housekeeping office decides whether a room goes back to dirty or a work order gets raised.
We run protel across several hotels. Does that work?
Yes, and it is the case worth doing. protel groups the day's rooms by housekeeping department and lets you spread the workload across them, but a regional manager still cannot see the floors. RapidEye reads every property's photos against the same standard, so one dashboard shows which hotel, which floor and which attendant the findings cluster around.
