How Infor HMS housekeeping works

Overview

Infor HMS defines Clean as cleaned and inspected, and then leaves the inspecting to whoever is on shift. A room in HMS carries three values at once: a room status, a housekeeping status and a service type, plus an assigned attendant, a points weighting and any open work order. All of it describes what should happen and who is responsible, and none of it describes what the room looks like. RapidEye reads the room list, those statuses and the guest stay dates from Infor HMS, plus the photos your attendants take, and returns a finding per room: damage, a missed clean, a missing item, or something engineering needs to see, matched to the stay it belongs to.

How it works with Infor HMS

Infor HMS already sorts the day by service type, so the checks follow the kind of clean the room was scheduled for rather than inventing a category of our own.

  • Check-Out service. The departing guest's stay sits between the last set of clean photos and today's. A scorched nightstand, a cracked shower screen or a missing robe comes back with both photos and the stay dates between them, which is the version of the story a folio charge survives.
  • Check-In service. The room a pre-registered arrival is blocked into, often a VIP one. RapidEye compares it against what that room looked like the last time it was signed off and flags the dead bulb, the missing kettle and the amenity nobody replaced.
  • Full, Light and Touch Up. Three grades of clean, three different bars. A Touch Up on an occupied room is not held to a departure standard, so a finding on it names what the touch up itself missed rather than everything in the room.
  • Turndown. Evening service is the pass with the least supervision on the property and the one a guest walks into last. The photos taken at turndown get read the same as any other.
  • Work orders. The photo that would justify raising one, or closing one. A repair on an Out of Order room gets a dated photo from before the outage and one from after, so the room goes back on sale with a record rather than a memory.
  • Lost and Found. An item left in the room shows up in the departure photos whether or not anybody logged it at the front desk.

Each finding names the room, the spot inside it, the kind of problem, how serious it is, the before and after photos, and a suggested next step. Findings land in the RapidEye dashboard, and for larger groups in a Slack channel or an inbox per property. What happens next in Infor HMS is your supervisor's call: whether the room goes back to Dirty, whether a work order is raised, whether it is Minor. If your team documents rooms some other way, with video walkthroughs, 3D scans, or an inspection format your brand already runs on, that is a conversation rather than a limit; the photos are the common case, not the boundary.

How to connect Infor HMS to RapidEye

  1. The rooms on Room Status Update. An Infor HMS account with the rooms you clean showing on the Housekeeping Room Status Update screen. Rooms configured not to display in housekeeping stay out, and so do component rooms of a suite that are not set to display there.
  2. Where the photos are taken. Infor's housekeeping screens hold statuses, notes and work orders, not images, so the photos come from your side. If your attendants already photograph rooms in another app, RapidEye reads those. If they do not, RapidEye sends a capture link that opens on any phone with no app to install, a fixed set of angles per room, lights on, taken before the status action is sent.
  3. The user in Infor HMS. Add RapidEye as a user under Administration, Security, User Setup, with the user group you use for reporting access. The Connect Infor HMS button has the name and email to use.

How Infor HMS describes a room

Infor HMS is a cloud property management system aimed at hotels, resorts and casino resorts, and its Housekeeping module is a full module rather than a tab: room status, assignments, work orders, employees, home sections and about a dozen reports. According to Infor's help centre documentation (infor.com), a room does not carry one status. On the Room Status Update screen it carries three values that move independently, which is exactly why supervisors on this system live in reports rather than in a single list.

Room status

Two of those definitions carry the whole problem. Clean means the room has been cleaned and inspected, so the status claims an inspection happened. Inspect means the room requires inspection, and Infor notes it displays as dirty in the front desk room assignment until somebody moves it. Nothing in either definition records who looked, when, or what they found. Meanwhile the Room Status Update screen shows an orange diamond on any row that changed and an orange indicator on each changed column, so the screen is precise about which value moved and silent about whether the room deserved it.

Assignments, points and home sections

Rooms reach attendants three ways. A housekeeping home section is a set of rooms attached to a section code, assigned to rooms in Room configuration and to employees in Employees configuration, then pushed out through Auto Assignment. Manual assignment happens on the Assignment tab, where each employee shows a Total Rooms count and a Total Points workload, and rooms sort to housekeepers by Housekeeping Rank, lowest number first. Room Points and Points Adjustment let a supervisor weight a suite heavier than a standard king. That is a well-built model of effort, and it means a room's difficulty is already quantified before anyone cleans it. What no field records is whether the heavier room came out better or worse than the light one, which is the comparison a director of housekeeping actually wants and the one RapidEye returns.

Work orders, and the three states of a broken room

Work orders live in the same module, under Housekeeping, Work Orders, and they exist to take a room out of service. Infor documents two out of service types and one modifier, and the difference between them is money.

OOI
Out of InventoryPlanned closures: renovation, off-season inventory reduction. The room cannot be sold and is not counted as inventory in occupancy calculations.
OOO
Out of OrderShort term outages for repair. The room cannot be sold, but it is still counted as inventory in occupancy calculations.
Minor
Minor, on an OOO orderSimple repairs such as changing a light bulb. The guest room can still be sold, and the work order exists for tracking and assigning. Only Minor orders can go on leased rooms with a definite lease status.

A work order carries a reason code, an Urgent flag that Infor describes as informational and included in reporting, a start date, a planned end date, an assigned employee and a free-text note. It carries no image. So the evidence for whether a repair was needed, and whether it was done, is a sentence typed by whoever raised it. Infor also documents a Work Order Template that blocks a room for a set number of days before and after a stay, precisely so rooms are not sold back to back without time to clean, which tells you how seriously this system takes the gap between a status and a ready room.

Does Infor HMS store room photos?

No, and its reports show what fills the space instead. The Housekeeping Room Status Report prints room, room type, room points, both statuses, service type, last cleaned, employee assigned, guest name, VIP level, loyalty level, arrival and departure dates, rate plan, turndown time, cleaning time, preferences, and optionally reservation notes and housekeeping notes. The Discrepant Room Report lists every room where the front desk room status and the housekeeping room status disagree, and Infor is direct about what it is for: the report serves as a list of which rooms must be physically checked. There is also a Housekeeper Activity Report and a Housekeeper Action Log Report. Every one of these is a report about statuses, timings and people. None is a report about condition, because no screen in the module accepts a photo.

What the Infor HMS Housekeeper app does and does not do

Infor ships a dedicated phone app for attendants. Its App Store listing (apple.com) describes it plainly: an attendant sees the list of rooms assigned to them for the day, views guest details, updates the room status of each room in their section, and flags a room Do Not Disturb so it can be serviced later. Release notes add the rest of the vocabulary an attendant works in, including a Due Out icon for departing guests, status icons on the room list, Priority Clean where employee configuration allows it, and a set of actions that reads Cleaning Started, Inspection Started, Do Not Disturb, Priority Clean, Return Later and Service Refused. Inspection Started becomes available when the current action is Occupied Cleaned or Vacant Cleaned and the room status is Inspect. The app also reaches Work Orders, where Minor is now selected by default on an occupied room, and Lost and Found, where the Found screen opens first for housekeepers. It is a genuinely well-shaped tool for moving a room through its states. What it never asks for is a picture, so Inspection Started and the sign-off that follows are both assertions. That is the seam the integration sits in: your team keeps the app, the section and the actions, and the photos they take go to RapidEye to be read against the room's own history.

Does RapidEye integrate with Infor HMS?

Yes. RapidEye reads the room list, the room and housekeeping statuses, the service type and the guest stay dates from Infor HMS, together with the photos your attendants take in each room, and returns a finding per room: damage, a missed clean, a missing item, or something an engineer needs to see. Nothing in Infor HMS is changed. Room Status Update, Housekeeping Assignments and Work Orders stay exactly as your team left them.

Does Infor HMS store room photos?

Infor's housekeeping documentation describes room status, housekeeping status, service type, assignments by points and rank, work orders, notes and reports, and does not describe attaching a photo to a room, a clean or a work order. The Infor HMS Housekeeper app listing describes a room list, guest details, status actions and a Do Not Disturb flag, not a camera. Photos come from wherever your team already takes them, or from a RapidEye capture link that opens on any phone.

What does the Inspect room status actually check?

Nothing on its own. Inspect is a room status meaning the room requires inspection, and it shows as dirty to the front desk until a supervisor changes it. Whether anybody walked the room, and what they saw, is not recorded. RapidEye reads the photos for that room and returns what a supervisor would have written down if there had been time to walk it.

Can RapidEye tell me why a room is on the Discrepant Room Report?

The Discrepant Room Report compares two statuses, the front desk room status and the housekeeping room status, and lists the rooms where they disagree so somebody can go and look. RapidEye works on the other axis: it reads the photos and reports condition. Run together, one report says which rooms to physically check and the other says what was wrong in them.

Does this work across a portfolio on one Infor HMS instance?

Yes. Infor HMS is multi-property, and a work order, a user and a role all carry a property. RapidEye keeps findings scoped the same way, so a regional director sees every property and a general manager sees one. Larger groups usually take findings into a Slack channel or an inbox per property rather than only the dashboard.

Will RapidEye change a room status or close a work order in Infor HMS?

No. Infor HMS stays the system of record for status, assignment, inventory and work orders. RapidEye reads and reports; your supervisor decides whether a room goes back to Dirty, whether a work order gets raised, and whether it is Minor.
