Overview

An Agilysys stack knows precisely who was asked to do what, and nothing about how the room came out. Agilysys PMS holds the rooms, the reservations and the room status; Agilysys Service takes housekeeping, maintenance and guest requests and routes them as tasks to a phone or a tablet, driven by arrivals, departures, lockouts and room readiness coming out of the PMS. Between the two, a room moves from dirty to sellable on the strength of somebody marking a task done. RapidEye reads the room list, room status and stay dates from Agilysys and the photos your housekeepers take, then returns a finding per room with the photos attached, so the closed task and the actual room finally agree or visibly do not.

How it works with Agilysys

Service already organises the property by department, so the checks follow the departments rather than a category we made up.

  • Housekeeping tasks on departure. The stay that just ended sits between the last set of clean photos and today's. A burned worktop, a torn headboard, a missing robe comes back as a finding with both photos and the dates between them, which is the version a folio charge or an insurance claim survives.
  • Room readiness before an arrival. Agilysys moves a room back into sale on room readiness. RapidEye reads the photos taken just before that and names the dead bulb, the stained cushion, the amenity nobody replaced, while the room can still be fixed rather than apologised for.
  • Inspection tasks. Agilysys lists inspections among the workflows Service streamlines. A completed inspection task tells you it was done; the photos taken during it tell you what the inspector was looking at, and RapidEye reports the difference between that room and the standard your property holds.
  • Maintenance and engineering. A repair task carries a description and a completion. RapidEye keeps a dated photo from before the work and one from after, so a recurring fault is visible as a pattern rather than a hunch in the reporting.
  • Guest requests that turn into condition. A two-way SMS thread about a broken shower becomes a request, then a task, then a closure. The photo is what tells you whether the shower is actually fixed.
  • Brand standards. Agilysys frames consistency as every task meeting brand standards. RapidEye scores the room against the standard rather than against the task, which is the version an auditor asks about.

Each finding names the room, the spot inside it, the kind of problem, how serious it is, the before and after photos, and a suggested next step. Findings land in the RapidEye dashboard, and for groups in a Slack channel or an inbox per property. What happens next in Agilysys is your supervisor's call: whether the room goes back into the queue, whether engineering gets a task. If your team documents rooms another way, with video walkthroughs, 3D scans, or an inspection format your brand already runs, that is a setup conversation rather than a limit; photos are simply the most common input, not the boundary of one.

How to connect Agilysys to RapidEye

  1. The rooms, and which system holds them. The property or properties, and which Agilysys systems you run, since Service is listed as integrating with Versa, Stay, LMS and InfoGenesis POS. RapidEye needs the room list, room status and stay dates, and takes them from whichever of those holds them.
  2. Where the photos are taken. If your housekeepers already photograph rooms in an app on the phone or tablet they carry, RapidEye reads those. If they do not, RapidEye sends a capture link that opens on any phone with no app to install, a fixed set of angles per room, lights on, taken before the task is completed.
  3. The access, set up with us. Agilysys does not publish a self-serve way to add an outside user, so this step is a short conversation rather than a form. Send us the account and we arrange read access with your team.

What Agilysys Service holds, and what it leaves out

Agilysys sells an ecosystem rather than a single application, and rooms operations sit across two parts of it. According to Agilysys product documentation (agilysys.com), Agilysys PMS is a cloud property management system for hotels, resorts, casinos and multi-property groups, covering reservations, front desk, housekeeping, night audit and accounting, with a housekeeping brief its own page states plainly: automate assignments and use mobile prioritization for faster, more efficient room readiness. Agilysys Service is the operations layer beside it, described as unifying housekeeping, maintenance and guest requests in one mobile-first platform.

What Service already reacts to

The useful thing about this architecture, and the reason an integration fits it well, is that Agilysys has already built the trigger surface. Its own description of PMS-connected service logic names the events Service can act on, which are the same events worth reading a room's photos against.

Agilysys also publishes what happens when that trigger surface is used well. Its Little River Casino Resort story describes real-time guest information and automatic task syncing letting teams resolve lockouts faster, start the day with clear priorities, and eliminate manual reporting for room inspectors. That last phrase is worth sitting with. The manual reporting that got eliminated was the paperwork about inspections, not the looking. The looking is still one supervisor, one floor at a time, on the busiest afternoon of the week.

Does Agilysys Service store room photos?

Its published feature set does not describe one. The six features Agilysys lists for Service are mobile task management across departments, real-time visibility across PMS and POS, intelligent scheduling and task prioritization, integrated two-way guest messaging, service reporting and performance insights, and automated service and maintenance workflows covering rooms, inspections, repairs and recurring tasks with real-time alerts. Every one of those is about routing work and recording that it closed. None of them is about an image of the room, and the reporting Agilysys names, completion times and workloads and trends, is reporting on labour rather than on condition. So the record of a room's state is whatever the person who closed the task chose to type. That is the gap RapidEye fills, and it fills it without asking your housekeepers to leave the app they already work in.

Does it matter that we run Versa rather than Stay or LMS?

Not for this. Agilysys answers its own question here: Service integrates with Agilysys Versa, Stay, LMS, InfoGenesis POS and third-party systems. Which of those holds your rooms changes where RapidEye reads the room list, the room status and the stay dates from, and changes nothing about what comes back. Multi-property groups get the same answer, since Agilysys states Service scales across properties with centralized task and communication management, and RapidEye keeps findings scoped per property inside a portfolio view.

Does RapidEye integrate with Agilysys?

Yes. RapidEye reads the room list, room status and stay dates from Agilysys PMS and the photos your housekeepers take against a Service task, then returns a finding per room: damage, a missed clean, a missing item, or something engineering should see, with the photos attached. Nothing in Agilysys changes. Tasks, assignments, room status and reservations stay as your teams left them.

Does Agilysys Service hold room photos?

Agilysys describes Service as mobile task management across housekeeping, engineering and service teams, with task automation, two-way SMS tied to service requests and work orders, and reporting on completion times and workloads. Its published feature list is about routing work and recording that it closed, not about images of the room. Photos come from wherever your housekeepers already take them, or from a RapidEye capture link that opens on any phone.

Agilysys Service says it covers inspections. What does RapidEye add?

Service treats an inspection as a task: it can be created, prioritized, assigned, completed and reported on, which is the scheduling half of the problem solved well. What a completed inspection task does not carry is what the inspector saw. RapidEye supplies the other half by reading the room's photos and returning findings, so the closed task has evidence sitting next to it.

We run Versa. Does that change anything?

No. Agilysys lists Versa, Stay and LMS alongside InfoGenesis POS as the systems Service integrates with, and RapidEye works from the same room, status and stay information whichever of them holds it. Tell us which one you are on and we set it up around it.

Can findings be scoped per property across a group?

Yes. Agilysys is built for multi-property operations with centralized task and communication management, and RapidEye scopes findings the same way. A corporate director of rooms sees the portfolio, an executive housekeeper sees one property. Groups usually route findings into a Slack channel or an inbox per property as well as the dashboard.

Will RapidEye close a task or change a room status in Agilysys?

No. Agilysys stays the system of record for room status, tasks, work orders and reservations. RapidEye reads and reports; your supervisor decides whether the room goes back into the queue and whether engineering gets a task.
