What an iGMS cleaning task holdsOverview
An iGMS cleaning task is a work order and a checklist, not a record of condition. It carries the property, the checkout day and its time frame, the assigned cleaner, the number and type of beds, the standing and one-off instructions, and a checklist the cleaner ticks item by item. It moves through five statuses, all of them set by a person, and the last one is Completed. RapidEye supplies the half iGMS does not have: it reads the turnover photos your cleaners take, matched to the iGMS property and the dates on the task, and returns one finding per problem, with the before and after frames that prove it.
How it works with iGMS
iGMS builds the turnover around the booking: a confirmed reservation produces a cleaning task on the checkout day, the auto-assign list picks the cleaner, and the cleaner works it off the task card. Each of those parts is a place where RapidEye has something to read.
- The photos behind a Completed task. Held against the last known state of the same spots, so a scorch on the worktop or a split blind that appeared during this stay is attributed to this booking and not the one before it. The finding carries both frames and the checkout date off the iGMS task.
- The rooms the photos skipped. A turnover set that never shows the second bathroom is a finding of its own. Skipping a room is the cheapest way for a rushed clean to disappear, and it is invisible on a task that only records ticks.
- The checklist items you can see. Beds made, towels out, bins lined, hob wiped, bulbs lit. RapidEye does not read the tick, it reads the photo of the thing the tick refers to, and says when the two disagree.
- The bed setup on the card. The task tells the cleaner how many beds and what type, so the photo can be checked against it: a sofa bed left unmade, a twin split when the booking needed a king, linen that came back stained.
- Handyman jobs. iGMS keeps handyman work in the same Tasks section and creates those by hand. Photos from a repair visit are read the same way, so a loose stair rail or a slow leak is caught on the day it is photographed.
- Vacant days. When nobody is checking in, iGMS shows the checkout time as Vacant on the card. Those are the turns that slip, and they are read exactly like the same-day ones.
A finding names the property and the room, the type of problem, how serious it is, the before and after photos with their times, and a suggested next step. It lands in the RapidEye dashboard, with a Slack post or an email as an optional nudge. What happens next in iGMS is yours: a handyman task, a note to the cleaning company, a charge. Photos are where most teams start, not the limit. If your crews film a walkthrough instead of shooting stills, or you have a 3D scan of each unit, or you want findings scored against an inspection form of your own, that gets set up with us on the first call.
How to connect iGMS to RapidEye
- Cleaning tasks on the properties you care about. Open the Tasks section and confirm cleaning tasks are appearing for those units. iGMS creates one automatically on the checkout day of an approved booking using the task parameters set for that property, so the task already carries the unit and the dates a finding attaches to.
- Turnover photos from the cleaner. iGMS documents no photo field on a cleaning task, so tell us where your photos are taken today. If your cleaners already shoot into an album or a chat, RapidEye reads those. If nobody is shooting them, a RapidEye capture link opens in any phone browser with nothing to install: a fixed set of angles per room, lights on, taken before the cleaner presses Complete.
- Add RapidEye as a team member. Team & Members, then New Member. Add Rapid Eye with the email in the panel, pick the role on the Permissions tab, and on the Access tab hand it the properties you want checked, all of them or a single label.
That is the whole setup. Cleaners keep the same job list, the same checklist and the same Complete button, and the first findings arrive once the first tasks close.
What an iGMS cleaning task holds, and what each part can prove

iGMS is short-term rental software built around a channel manager, guest messaging and a Tasks section that holds every cleaning visit and handyman job. According to iGMS's help centre documentation (igms.com), the cleaning task is created automatically on the checkout day of an approved booking from the parameters you set for that property, and can also be raised by hand with the New Cleaning button. This is the card the cleaner works from.

The five statuses, and who moves them
iGMS documents five statuses on a task, and a manager reading the Tasks section is reading a sequence of human declarations rather than a sequence of checks.
- UnassignedNobody yetNobody on the cleaning team is on it. If every auto-assigned cleaner on the property is unavailable, iGMS stops auto-assignment and the task sits here.
- AssignedManager or auto-assignA cleaner is on the task. The cleaner gets a text and an email straight away, and a second reminder the evening before.
- AcceptedCleanerThe cleaner has agreed to the job. Rejected is the other branch, and iGMS makes the cleaner give a reason for it.
- CompletedCleanerThe cleaner has switched Started, ticked the subtasks and pressed Complete. This is the status the whole operation leans on, and it is a statement about the cleaner's own work.
- Read by RapidEyeThe photosNot an iGMS status. This is where the integration sits: the turnover photos for that task get read and the findings for that property follow.
Can you attach photos to an iGMS cleaning task?
Not on the task itself. iGMS's cleaning and task management article walks through the Tasks section, the statuses and every field on the task card; its checklist article walks through building, copying and editing checklists on the property's Cleaning tab; its instructions for cleaners walk the cleaner from the invitation email through opening the job, switching Started, ticking subtasks and pressing Complete. Across all of them, the artefacts are instructions, ticks, statuses and notifications, and none of them describes attaching a photo to a cleaning visit. iGMS's own product pages back this up: the cleaning and team management page sells scheduling, permission-based access, Labels for property-level access and smart checklists, and the operations mobile app page sells assigning and tracking tasks and filtering them by team and date.
So the photos exist, they just do not live in iGMS. They are in a camera roll, a WhatsApp thread, a shared album, and once the task is Completed nobody opens them again. That is the gap this integration fills: RapidEye reads them wherever they are, ties each one back to the iGMS property and the checkout dates on the task, and tells you what they show.
Who can see what, and why it matters here
iGMS documents eight roles, up to six kinds of permission on top of a role, and an Access tab that scopes a person to all properties, a label, a connected account or single units, with the Administrator and Head of Cleaners authorised to set up auto-assign by default and everyone else needing Task Management permission. Cleaners see the task description, the checklist and their own status buttons. That structure is why an outsourced cleaning company can be invited into your team and confined to its own set of properties, and it is also why nobody in that structure is looking at the photos: seeing a task is not the same as seeing the unit. RapidEye is scoped by the same Access tab, so it reads exactly the properties you hand it.

Does RapidEye integrate with iGMS?
Yes. RapidEye reads the property, the checkout and check-in dates, the assigned cleaner and the checklist from your iGMS cleaning tasks, together with the photos your cleaner takes on the turnover, and returns a finding for every task marked Completed: new damage, cleaning that was skipped, an item that is missing, a maintenance issue. Your Tasks section, statuses, checklists, auto-assign rules and team roles stay exactly as they are. RapidEye writes nothing back to iGMS.
Can you attach photos to an iGMS cleaning task?
iGMS documents the cleaning task as instructions, a checklist, bed counts, hours and a status. Its cleaning and task management articles, its checklist article and its instructions for cleaners describe creating the task, ticking subtasks and pressing Complete, and none of them describes attaching a photo to the task. So the photos your cleaners already take live somewhere else: a phone camera roll, a group chat, a shared album. RapidEye reads them from wherever they are, or supplies a capture link that opens in the phone browser with nothing to install.
Does a Completed status in iGMS mean the property is guest ready?
It means the cleaner pressed Complete. iGMS documents five task statuses and every one of them is set by a person: the manager assigns, the cleaner accepts, starts, ticks the subtasks and completes, or rejects with a reason. Nothing in that sequence looks at the property. RapidEye reads the turnover photos behind that Completed status and reports what they show, room by room, including rooms the photos never covered.
Does RapidEye read the iGMS cleaning checklist?
It uses the checklist as the standard, not as the evidence. An iGMS checklist is built in the Property Editor on the Cleaning tab and is applied automatically to every upcoming cleaning task for that property, so it is the clearest written statement of what your standard is at that unit. RapidEye holds the photo up against it: a ticked box says the cleaner ticked the box, the photo says whether the towels are on the rail.
Will RapidEye change my iGMS tasks, statuses or team roles?
No. RapidEye reads and reports. It does not create or edit tasks, move a status, tick a checklist item, reassign a cleaner, alter auto-assign priority or change anyone's role or property access. Look for findings in the RapidEye dashboard, or have them delivered to Slack or an inbox. Whether the task goes back to the cleaner is your call, made in iGMS.
Is RapidEye useful if a cleaning company works my iGMS account?
That is the case it was built for. iGMS lets you invite a cleaning company into your team and give it access to a set of properties, which means the people photographing your units are not on your payroll and are not standing next to you. RapidEye reads every turnover the same way regardless of who worked it, so you can see which properties and which crews come back clean and which ones need a walk.
