Where photos live in Flexkeeping

Overview

Flexkeeping already collects the evidence; what it does not do is look at it. A room in Flexkeeping moves from red to green with stripes when the housekeeper sets it to clean, and to solid green when a supervisor marks it inspected. Along the way the app can capture a live Photo Proof the moment an assignment is marked as done, a photo or video on any checklist item that fails, a picture on a cleaning flaw a supervisor raises, and photos and videos on a repair. Those photos sit in the assignment details, the checklist record and the analytics, one room at a time, waiting for someone to open them. RapidEye reads them, along with the room, the space type, the reservation status and who completed the work, and returns one finding per problem: new damage, cleaning that was missed, an item that is gone, a repair nobody raised, with the earlier photo of the same spot beside the new one.

How it works with Flexkeeping

Flexkeeping is built around the room and the assignment: the PMS feeds reservation status, the morning allocation puts rooms in a housekeeper's My Rooms list, and everything that happens in the room (cleaning, minibar, linen, a task, a repair, a checklist) hangs off that room tile. RapidEye follows the same shape. Each place a photo can be taken in Flexkeeping is a place RapidEye can read.

  • Photo Proof at Mark as Done. When a task, repair, cleaning flaw or room order is configured for Photo Proof, the housekeeper presses Mark as Done, the camera opens, and the live photo lands in the Photo Proof section of the assignment. RapidEye reads that photo against the last photo of the same spot in the same room. A hypothetical: a "turndown" task on room 412 closes with a Photo Proof of the bed, and the frame also shows a scorch on the nightstand that was not in Tuesday's photo. That comes back as a damage finding tied to room 412 and the reservation that was in it, with both photos side by side.
  • Checklist items with Add photo/video. Flexkeeping's room checklists let the person filling one out mark an item OK or Not OK, set a severity, add a comment and attach a photo or video. RapidEye reads the attachment against the item it belongs to. A photo attached to "Bathroom mirror and glass" that shows a streaked shower screen behind a clean mirror is a missed-cleaning finding, whichever way the item was answered.
  • Cleaning flaws raised at inspection. A supervisor in Room view can press Cleaning Flaw, pick an assignment code such as dust under the bed or smudged shower glass, and take a picture. RapidEye reads that picture and everything else visible in it, so a cleaning flaw about the glass can also surface the cracked soap dish nobody logged.
  • Repairs, with pictures and videos. Repairs carry a code, a space, a priority and, under Add photos, pictures and videos. RapidEye reads them at Submitted and again at Done, so you see the state before the technician arrived and the state after, and a repair closed with a photo that does not show the repair comes back as a finding.
  • Rooms that never appear. The most common way a missed room stays hidden is that nobody photographed it. When a room reaches green with no photo of a space that is usually covered, that is a finding too.

A finding names the room and the spot, the kind of problem (damage, cleaning, missing item, maintenance), how serious it is, the earlier and later photos, the time, and a suggested next step. It lands in the RapidEye dashboard and, if you want them there, in a Slack channel or an inbox for the housekeeping manager and the head of maintenance. What happens next in Flexkeeping is yours: a cleaning flaw that sends the housekeeper back, a repair for maintenance, a note on the checklist. The photo is the usual input; it is not the boundary of what RapidEye can read. How to connect Flexkeeping to RapidEye

  1. Photos on your Flexkeeping assignments. In Flexkeeping, have Photo Proof configured for the assignment types and user groups you want checked, so that marking a task, repair, cleaning flaw or room order as done prompts a live photo. Room checklists with Add photo/video on their items work the same way. If neither is in use yet, a RapidEye capture link supplies the photos: any phone, no app, a fixed set of angles per room.
  2. Decide what RapidEye should read. Tell RapidEye which properties and which photo surfaces to read: Photo Proof on completed assignments, checklist attachments, cleaning flaw photos, repair photos, or all of them. RapidEye reads those along with the room, space type, reservation status and the user who completed the work.
  3. Add RapidEye as a user in Flexkeeping. On the Flexkeeping web app, go to the Administration menu, then Users, click + Add new user, and add Rapid Eye with the email support@rapideyeinspections.com. Assign a user group that can see all rooms, tasks, repairs, cleaning flaws and checklists, and select the properties RapidEye should read. Flexkeeping emails the new user to set a password; RapidEye takes it from there.

That is the whole setup. Housekeepers change nothing, the room status page changes nothing, and findings begin with the next assignments that close.

How a room goes green in Flexkeeping, and where the photos live

Flexkeeping is a hotel housekeeping and operations platform, a Mews company since 2025, with its documentation hosted on the Mews help centre. According to Flexkeeping's help centre documentation (help.mews.com), the room status page under HK Management shows every room as a colour for cleanliness and an icon for reservation status, with the icon fed by the PMS. Housekeepers see their allocated rooms in My Rooms, tap a room, and choose Start cleaning, DND, Towel change, Add ECO or, for supervisors and managers, Room view. While cleaning they can record minibar, linen and cosmetics consumption and add a task or a repair. Setting the room to clean turns it green with stripes: cleaned, ready for inspection. Solid green means inspected and ready for check-in. The colours in the ladder below are Flexkeeping's own.

Purple is a seventh colour, for rooms a houseman has stripped, and properties can add their own colour-coded status types on top. Every colour is set by a person or by the PMS; none is set by looking at the room.

Flexkeeping is unusually generous with photo surfaces for a housekeeping platform, and each one was built to answer a different question. The map below is where they are, who takes them, and what Flexkeeping does with them once taken.

Does Flexkeeping check the photos it collects?

Not by itself. Flexkeeping's Photo Proof article describes the photo as instant visual validation "so teams can chase less and trust more," and its cleaning flaw, checklist and repair articles describe how a photo gets attached and where it is displayed: in the assignment details, in the checklist record, in the analytics dashboards with completion counts and success rates. A supervisor who opens a record sees the photo. Nothing in the documentation describes anyone, or anything, reviewing the photos as they arrive, or comparing today's photo of a room with last week's. Its analytics count what was completed, how long it took and how many checklist items failed; they do not look inside the frame. So a green room in Flexkeeping means a housekeeper said done and a supervisor agreed, backed by photos that exist and, at 200 rooms a day, are mostly never opened. That is the gap this integration fills: Flexkeeping already asks for the one thing that can settle whether the room is right, and RapidEye is the part that looks at all of it, every time, and tells you what it shows.

Does RapidEye integrate with Flexkeeping?

Yes. RapidEye reads the photos your team already puts into Flexkeeping: the Photo Proof taken when an assignment is marked as done, the photos and videos attached to checklist items, cleaning flaws and repairs, along with the room, the space type, the reservation status and who completed the work. It returns one finding per problem: damage, a missed clean, a missing item or a maintenance issue, with the earlier photo of the same spot beside the new one. Your room statuses, assignments, checklists, assignment codes and analytics in Flexkeeping stay exactly as they are. RapidEye writes nothing to Flexkeeping.

Does Flexkeeping store photos of completed rooms?

Yes, when Photo Proof is configured. Flexkeeping's help centre documents that pressing Mark as Done on an assignment prompts a live photo, the camera opens, gallery uploads are not allowed, and the photo lands in the Photo Proof section of the assignment details, visible on desktop through assignment details and analytics. Photo Proof can be configured for tasks, repairs, cleaning flaws and room orders, and administrators choose which user groups must provide it for each assignment type. Photos and videos can also be attached to individual checklist items, to cleaning flaws and to repairs. Those are the photos RapidEye reads.

Can RapidEye check a room that Flexkeeping shows as Inspected?

Yes, from the photos. In Flexkeeping a room turns green with stripes when the housekeeper sets it to clean and solid green once a supervisor marks it inspected, and both are decisions a person makes. RapidEye reads the photos taken in that room and reports what they show: a streaked shower screen, a bed made over a stained sheet, a bin not emptied, a lamp that is out. If the photos never show a room at all, that is a finding too. The supervisor's inspection is not replaced; it is applied to every room instead of the ones there was time for.

Do housekeepers need another app alongside the Flexkeeping mobile app?

No. They keep working in the Flexkeeping app: Start cleaning, set the room to clean, Mark as Done with a Photo Proof, fill out the checklist, report a repair. The one thing that helps is a consistent set of angles per room so the same spots are photographed every time. If a team has not switched Photo Proof on yet, RapidEye can supply a capture link instead: any phone, nothing to install, a fixed set of angles taken before the room is set to clean.

Will RapidEye change room statuses, assignments or checklists in Flexkeeping?

No. RapidEye reads and reports. It does not change a room's cleanliness status, create or complete assignments, raise cleaning flaws, edit checklists or touch assignment codes. The RapidEye dashboard holds every finding, and a Slack channel or inbox can receive them as well. Whether a finding becomes a cleaning flaw, a repair or a note for the housekeeping manager is decided by your team, in Flexkeeping, the way it is today.
