How Sphera handles audit evidence

Overview

A photo on a Sphera record is evidence for the finding someone already wrote, not a second pair of eyes on the area. Sphera captures the nonconformance, routes the corrective action, and holds the audit trail. What it cannot do is look at the thousand other things in the frame that nobody typed into the form. RapidEye reads the photos on your Sphera audits, nonconformances and observations, together with the site, the area or asset and the date, and returns a finding for each issue it sees, with the photo it came from.

How it works with Sphera

Sphera's health and safety modules each produce a different kind of record, and each one carries a different kind of photo. The checks follow the module the photo came from, because that is what tells RapidEye what the person was looking at when they took it.

  • Audits and inspections. An auditor works a checklist through an area and logs the nonconformities they came for. The photos they take also show the pallet stacked past the line, the eyewash station with a box in front of it and the ceiling stain nobody wrote up. Those come back as findings against the same site and area, with the frame marked.
  • Nonconformance records. Sphera's audit management pages describe logging a nonconformance with photos from the mobile app, online and offline. RapidEye reads the photo next to the one on the last record for that area, so a repeat is named as a repeat rather than logged fresh.
  • First Report events and observations. Anyone on site can file an event or an observation, which means the photos come from people who are not auditors and did not know what to frame. That is exactly the input worth reading twice.
  • Behavior-based safety observations. A BBS observation is about an act, and the photo alongside it is about the place the act happened. RapidEye reads the housekeeping, the blocked access, the missing guard, and leaves the behavior coaching where it belongs.
  • Actions and closeout photos. When someone photographs the fix, RapidEye compares it with the photo that opened the action and says whether the area now looks the way it should.

Each finding names the site, the area or asset, where in the frame the issue sits, the type, how serious it looks, the photos before and after, and a suggested next step. It lands in the RapidEye dashboard, and in an inbox or a Slack channel for the EHS group if you want it there. Your team decides whether that becomes a nonconformance or an action in Sphera. If your sites capture something other than stills, such as phone video walkthroughs of a line or 3D scans of a warehouse, that is a setup conversation, not a limit: RapidEye reads the documentation you already produce.

How to connect Sphera to RapidEye

  1. Your SpheraCloud account and the sites. Sphera reports at global, national, local, team and functional level, so tell us which level you want findings grouped by. Most operators start with two or three plants and widen once the first month of findings is in.
  2. The photos on your records. Sphera audits, nonconformances and First Report observations already carry photos from the mobile app, and RapidEye reads those. Where one of your forms has no photo field, a RapidEye capture link opens on any phone with no app to install, and takes a fixed set of angles per area.
  3. Access for RapidEye. Tell us the account and we set up access with your Sphera administrator. Your crews keep the same forms, the same app and the same routine.

Can Sphera audits capture photos offline?

The behavior-based safety pages describe the same thing for observations, noting that mobile capture supports off-site and offline scenarios. So a crew in a cell with no coverage still captures what they saw, and the record syncs later with its photos attached.

What none of those pages describe, because it is not what the software is for, is anything reading the image itself. The photo is stored as evidence for the finding the person wrote; the finding is what the workflow acts on. That is the correct design for an audit trail, and it leaves one gap that belongs to volume rather than to the product: across every site, every shift and every contractor, more photographs arrive each week than an EHS team of any size can open.
