Overview

A closed Spacewell work order proves the job was done, and the photo attached to it is filed rather than read. The Asset App collects notes, photos and digital signatures on site, online or offline, and syncs them into Spacewell Asset against the right asset and the right job. That is a clean, dated record of condition sitting in your registry, and in most facilities offices nobody opens it again. RapidEye reads that record: the images on your work orders and inspections, plus the site, the asset, the date and who did the work, returned as one finding per issue with the earlier photo of the same spot beside it.

How it works with Spacewell

Spacewell Asset produces several kinds of job, and each one leaves a different kind of photograph behind. RapidEye reads all of them, because the value is in the pairing: this frame against the last frame anybody took of the same asset.

• Corrective work orders. A ticket comes in from a mobile app, a QR code, a floorplan or a kiosk, and a technician closes it with a photo. RapidEye compares the closing frame to the reported one and reports the leak still weeping, the panel put back with a screw missing, the repair photographed from the angle that hides it.
• Preventive rounds. The same assets, on a schedule, photographed by whoever was rostered. Over three cycles a seal perishing or a filter housing corroding shows as drift rather than as a surprise on the day it fails.
• Structured forms. Spacewell documents the Asset App's forms as built with GoCanvas, so a form can ask for a photo at a specific step. RapidEye reads that photo against what your standard says should be there, and reports the step that was answered without being done.
• Condition surveys. Inspection photos attach to a building element, not to a job. RapidEye keeps them as a run per element, so the facade you scored last cycle has visual evidence behind this cycle's number.
• Supplier work. Where suppliers close jobs in your system, their photos read on exactly the same terms as your own team's, which is the whole point of holding both in one platform.

A finding names the site, the asset and the job, where in the frame the problem is, what kind it is, how serious it looks, both photographs, and a suggested next step. It lands in the RapidEye dashboard and, if you want, a Slack channel or an inbox for the facilities office. What happens next in Spacewell is the planner's decision. How to connect Spacewell to RapidEye

1. The sites and assets to start with. A Spacewell Asset account with the buildings and assets you maintain in the registry. Tell us which sites to begin with, and whether you want corrective work, preventive rounds, or both.
2. The photos you already capture. The Asset App already collects photos, notes and signatures on the job, so nothing new is asked of a technician. Where a round closes without a photo of the same spot afterwards, a RapidEye capture link supplies it from any phone, with nothing to install.
3. The invite. Add RapidEye as a user in Spacewell, in the same place you manage contacts, users and suppliers. The details are in the Connect Spacewell box.

What a Spacewell field record actually holds

Spacewell is a Nemetschek company whose Asset line runs facility management, asset management, maintenance planning, vendor management and compliance for building portfolios; its own pages put it at 2,000 customers and more than 10,000 buildings managed. According to Spacewell's product documentation (spacewell.com), the office side of that is workflow configuration, automated ticketing with skills-based dispatch, a visual planning board showing each team member's availability, and a compliance dashboard that tracks inspections. The field side is two mobile apps, and they capture two different things.

That second app is the more interesting one, because Spacewell has already solved the hard half of the problem most facilities teams have: it makes condition a number rather than an opinion. Spacewell's documentation describes registering a defect along three dimensions, from which the condition score follows.

Spacewell states the score is calculated automatically once the defect is identified, and that priorities and risks for the component and its maintenance are processed immediately with it. Maintenance Planning, formerly O-Prognose, then carries that into a multi-year plan; Spacewell says over 1,400 organisations in the Netherlands and Belgium use it for exactly this.

Does Spacewell read the photo itself?

It captures it, links it and files it, which is what a field platform is for and what it says it does. The Asset App's own documentation describes executing work orders, capturing photos, notes and signatures, generating PDF completion reports, using structured forms and syncing everything back instantly; the Inspection app's describes photos and notes added directly to assets alongside the defect registration. Both are statements about collecting and attaching the image. Neither describes anything opening it and saying what it contains, and neither claims to.

So the photograph is evidence that has never been examined. That is not a fault of the software, it is arithmetic: a preventive schedule across a portfolio produces more images every month than a facilities office has hours in the week, and the ones worth seeing are indistinguishable from the ones that are not until somebody looks. RapidEye looks at all of them. Spacewell has already done the part nobody else manages, which is getting a dated photograph of a specific asset taken by the person who was standing in front of it, thousands of times a month, filed where it belongs.
