How Facilio inspections hold photos

Overview

A Facilio inspection captures the answer a technician gave, and the photo that came with it. The questionnaire is scored, a failing answer can raise a work order, and the media sits on the record with the site and the asset attached. What nobody has time to do at portfolio scale is open those photos again, or line one up against the same riser cupboard as it looked two quarters ago. RapidEye reads them: every photo on every inspection record and work order, against a baseline for that space, and returns a finding per issue with the images behind it.

How it works with Facilio

Facilio already sorts the work by what kind of check it is, and the photo history arrives labelled with the site, the space and the asset. The reading follows the same shape.

  • Scheduled routines. A daily or weekly template runs against the same plant room for months. RapidEye holds that history as a baseline and flags what is different this time: a new stain under a pump, a cover left off, a bin of rags that was not there in June.
  • Condition assessments. Facilio's own category for judging the expected life of a property or asset. The photos carry more than the score does, and RapidEye turns them into a per-asset condition line you can put in front of a capital plan.
  • Compliance and safety rounds. An extinguisher photographed for the record can also show a blocked route or a damaged sign next to it. Those come back as separate findings, filed to the space rather than to the question that was asked.
  • Work order closures. When the after photo lands, RapidEye reads the whole frame, not only the repair: the wall the ladder rested on, the ceiling tile put back crooked, the leak two metres left of the valve.
  • Investigations and complaints. A tenant complaint gets a Facilio investigation. RapidEye pulls every earlier photo of that space so the history is in one place before anyone argues about when it started.

Each finding names the site, the space or asset, the type of issue, how serious it is, the photos it came from and a suggested next step, and lands in the RapidEye dashboard, with a Slack channel or an inbox if the maintenance office wants one. You decide whether it becomes a work order in Facilio. If your teams capture video walkthroughs, 3D scans or an inspection format of your own rather than stills, that is a setup conversation, not a limit; RapidEye reads whatever documentation the work already produces.

How to connect Facilio to RapidEye

  1. Your sites and assets, as Facilio already holds them. Findings are filed against the site, space and asset hierarchy in your portfolio, so whatever you have built there is what a finding points at.
  2. The photos your technicians already attach. Facilio's inspection app captures photos on site and attaches them to the record, so nothing changes for the technician. For spaces where no question asks for a photo, RapidEye sends a capture link that opens on any phone with no app to install.
  3. A user for RapidEye. Add RapidEye in the Users module with a role that reads Inspections and Work Orders. The Connect button has the details, and the first read covers the photo history already on your records.

How a Facilio inspection is put together

Facilio is a connected property operations platform, and its Inspection module sits next to Work Orders rather than off to one side. According to Facilio's help centre documentation (facilio.com), an inspection template defines a scope (a single space or asset, or multiple across sites), a category, the team or staff it is assigned to, and a trigger that is either manual, with a share permission, or scheduled at a frequency you set. The template is where the questionnaire lives; the inspection is the run of it.

The category is the part worth knowing, because it tells you what the photos on that record are likely to show.

Once triggered, an inspection appears in the list for the assigned inspector, who opens the questionnaire, answers it and submits. The record then keeps three things: a summary with the overall score and percentage and the response to each item, a Notes and Information section for notes and attached documents, and a history of the flow from initiation to completion. Facilio's mobile guide adds that inspections can be conducted offline, including new findings, with scores calculated once the device is back online.

The gap is not in the record. It is that a portfolio produces more media per week than any FM team can re-open, and a score of 94 percent looks the same whether the missing 6 percent was a burnt-out lamp or a cracked riser.

Does Facilio store photos on inspections and work orders?

Yes, on both. Facilio's product material says its property inspection app captures photos, videos and remarks on site and attaches them directly to inspection records, and that questionnaire items can be customised with conditional logic, scoring and attachments. On the work order side, Facilio's Photo Validator documentation describes before and after photos uploaded to a work order or an individual task, in JPEG or PNG, with the media shown in a Work Order Photos widget on the Summary page. So the pictures are there, attached to the right site and the right asset, which is exactly what makes a Facilio account worth reading.

Facilio has a Photo Validator. Where does RapidEye fit?

Different question, same photos. Facilio's Photo Validator compares a before and an after photo on one work order or task and returns a completion score for the manager approving it; the documentation is clear that it is assistive, that both photos are required, and that the score is calculated once at initial analysis. It answers whether this job looks done. RapidEye answers a longer question: what is the condition of this space and this asset now, compared to the last twenty times somebody photographed it, across every site you run and including the inspection photos that no approval ever hangs on.
