What SmartRent records on a walk

Overview

A SmartRent unit walk produces a complete photo record and no opinion about it. The photo requirement on a question, the photo icon on a task, the annotated image saved to an inspection: all of it is captured on purpose, and it arrives faster than any regional can page through it. RapidEye reads that set. It takes the photos on a SmartRent task, project, inspection or audit, along with the property, the unit and the date, and returns a finding per unit that names the room, the problem and its severity, with the earlier photo next to the current one.

How it works with SmartRent

SmartRent splits the work across products, and a unit passes through more than one of them in a single tenancy. The checks follow that path rather than inventing a new one.

  • Notice to vacate and move out. The photos taken on the move-out walk are read against the photos from the same unit at move-in. A scorched countertop, a door with a fist through it, carpet that will not clean: each comes back as a finding with both images and the dates between them, which is the form a deposit deduction has to take when a resident disputes it.
  • Make ready. A make ready project closes when its tasks close. RapidEye reads the photos attached to those tasks and says whether the unit in them looks rent ready, including the things a punch list rarely has a line for: a dead bulb, paint that stopped at the closet, a filter nobody photographed.
  • Recurring and regional inspections. Where the same unit is walked again and again, the earlier walk is the comparison. RapidEye reports what changed since the last one and what has been sitting unfixed across several.
  • Work orders. Photos attached to a maintenance task get read as evidence of the repair rather than proof somebody visited: the leak stopped, the drywall was closed and painted, the appliance actually went in.
  • Due diligence and lease file audits. On an acquisition walk, the interior photos across hundreds of units are read as one set, so the condition pattern by floorplan surfaces while the team is still on site.

Each finding names the property, the unit and the spot, the type of problem, how serious it is, the two photos, and a next step. It lands in the RapidEye dashboard and, if you want, a Slack channel or the inbox your regional already watches. What happens in SmartRent afterwards is yours to decide. If your teams document with video walkthroughs, 3D scans or a form of your own instead of photographs, that is something we set up with you rather than a limit of the product.

How to connect SmartRent to RapidEye

  1. Your properties and units in SmartRent, with the templates your teams already use for turns, move-outs and due diligence. Nothing in the template needs to change for RapidEye to read what it produces.
  2. The photos where they are taken now. The photo requirement on an inspection question, the photo icon on a task in Rapid Mode, or photo and video capture on an audit. If a particular walk carries no photo requirement yet, RapidEye can send a capture link that opens on any phone with nothing to install, and the walker keeps their SmartRent routine.

What SmartRent records on a unit walk

SmartRent, a public company founded in 2017 and best known for smart access and hub hardware, also sells the smart operations software a site team lives in: Work Management for tasks and projects, Inspection Management for unit and due diligence inspections, and Audit Management for lease file and move-in and move-out audits. The field apps are SMRT Operations Manager and SMRT Inspection Manager, both iOS and Android, and the inspection app is built to work offline, which matters in a vacant unit with no wifi.

According to SmartRent's help centre documentation (sightplan.com), an inspection opens as a room list per unit, each room showing how many questions are answered, and each question can carry requirements the walker cannot skip. In the mobile app a project can also be closed in Rapid Mode, a condensed list where every task shows the one icon that closes it. Those closing requirements are what a walk leaves behind:

PhotoOpens the camera on the spot and saves the image to the question or task. As many per question as the walker wants, and the camera roll works too.
Photo markupText, shapes and drawings added on the saved image, so a hairline crack is circled instead of described.
RatingGood, fair or poor, sometimes carrying a score. A poor rating can be set up to demand a photo and a cost estimate before it will close.

SmartRent also logs a reopened or edited task to the project's activity feed with the name and the time, and for recurring projects it can show the walker the prior instance to compare against.

Do SmartRent inspections include photos?

Yes, and required ones. That is the unusual part: most of the platforms an operator asks this about answer no, and SmartRent's documentation instead describes a photo requirement that can be attached to any question, annotation on the saved image, and a set of reports at the end of a due diligence inspection. Those reports are listed as an Inspection Summary, an Inspection Details report of every question and answer, an All Comments report, an All Data report with inspector and timestamp, a Unit Status report, and one more:

So the material is all there, in one place, downloadable. What no report does is look at the images: nothing in the documentation compares this unit's photo to the same unit six months ago, and the photos and comments live in separate reports, which is why the reading tends to stop at a spot check. That is the step RapidEye adds. It reads the whole set the way a regional would read ten of them, and it reads the history first, so the account's existing photos become the baseline before your teams take a single new one.

Does RapidEye integrate with SmartRent?

Yes. RapidEye reads the photos your site teams attach to SmartRent tasks, projects, inspections and audits, along with the property, the unit and the date, and returns a condition finding per unit with the earlier photo beside the current one. Your templates, task statuses, ratings and reports in SmartRent are not changed.

Do SmartRent inspections include photos?

Yes, and they can be made mandatory. SmartRent's documentation describes a photo requirement that can be attached to any question, a camera that opens from the question itself, markup with text and shapes on the saved image, and an All Photos report that gathers every photo taken on an inspection. RapidEye reads that set rather than asking anyone to shoot it again.

Can RapidEye compare a move-out walk to the move-in condition?

That is the main thing it does on a long-term rental. The move-in photos on the earlier task become the baseline for that unit, and the move-out photos are read against them, so a finding says what is different now and shows both images with the dates on them. What the resident is charged stays a decision you make in your own system.

Will RapidEye change tasks, ratings or templates in SmartRent?

No. SmartRent stays the system of record for the work. RapidEye reads photos and reports condition; whether a task is reopened, a rating is revised or a cost is added is left to the person who owns that unit.

We run 4,000 units on SmartRent and nobody reads the photos. Where does RapidEye start?

With the photos already in the account. RapidEye reads the existing history to learn what each unit looked like before, which means the first week produces findings on turns that already happened rather than asking your teams to start capturing something new.
