Overview

RENTALL records the damage your counter staff report, not the damage on the vehicle. The system holds the reservation, the rate, the agreement and a damage history per unit, and the mobile app lets staff photograph condition at CheckOUT and CheckIN in the same few clicks that close the contract. What ends up in the damage record is whatever the person holding the phone noticed while a customer waited. RapidEye reads the vehicle, the contract dates and those same photos, and returns a finding for each new dent, scratch, interior mess or missing item, matched to the contract it appeared under.

How it works with RENTALL

A rental in RENTALL is a contract with two ends, and almost everything worth catching sits in the difference between them. The checks follow that shape.

  • CheckOUT. The photos taken as the customer drives off become the baseline for that contract. RapidEye also compares them against the last CheckIN on the same unit, which is where a body-shop repair that never happened, or a dent that appeared in the lot overnight, shows up.
  • CheckIN. The return is the two-minute window everything depends on. RapidEye reads the return photos against the CheckOUT and names what is new: a bumper scuff, a kerbed alloy, a cracked windscreen chip, a burn in the seat fabric, a stain on the headlining nobody looks up at.
  • Interior and inventory. The spare wheel, the charging cable, the child seat, the second key, the parcel shelf. RapidEye learns what a ready unit looks like in your fleet and says when this one came back short.
  • Cleanliness and readiness. A unit can be undamaged and still not rentable. Sand through the boot carpet, a full ashtray, smeared glass, rubbish under the seats: findings that decide whether the car goes back on the line or through valeting first.
  • Disputed damage. When a customer says the scratch was already there, the answer is a pair of dated photos from the same panel on the same unit, not an argument about who remembers what.
  • Maintenance you can see. RENTALL sends service and maintenance alerts on a schedule. Photos catch the other half: tread down to the markers, a cracked light lens, a wing mirror taped on, corrosion spreading along a sill.

Each finding names the unit, where on it, the type of problem, how serious it is, the pair of photos it came from, and a suggested next step. It lands in the RapidEye dashboard, and in a Slack channel or an inbox per branch if you want one. Nothing in RENTALL changes: your counter decides whether a finding becomes a charge, a repair or nothing at all. And if your fleet documents itself differently, with video walkarounds, a 360 lap, or an inspection format of your own, that is something we set up with you rather than a limit of the product.

How to connect RENTALL to RapidEye

  1. A RENTALL account with the vehicles you rent on the fleet list, each one carrying the unit number your counter staff already use. Units you do not rent out, such as staff cars, stay off the list.
  2. CheckOUT and CheckIN photos. Your staff keep using the RENTALL mobile app to document condition at both ends of the contract. If a branch has no photo habit yet, RapidEye sends a capture link that opens on any phone, no app to install, with a fixed lap around the vehicle.
  3. A conversation with us. Tell us you run RENTALL, how many units and how many branches. We connect it with your team, and the counter keeps the same five-click contract flow.

RENTALL is a cloud rental management platform used by operators in more than 70 countries, and it runs far more than cars: its own solution pages cover motorcycles and scooters, coaches and buses, RVs, boats, planes, electric vehicles, buggies, construction machinery, car sharing and dealership loaners. According to RENTALL's product documentation (rentallsoftware.com), the auto rental system pairs single-screen checkout and check-in with vehicle damage management that keeps track of dents, scratches, accidents and repairs, alongside automatic service and maintenance alerts. Condition, though, does not enter through one door. It arrives through several, each with its own habits.

All four end in the same place: an image attached to a unit and a contract, and a damage record that reflects a judgement made in a hurry. RENTALL is doing its job when it stores that faithfully. The judgement is the part no software was ever asked to make.

Does RENTALL check the photos it stores?

It stores and shows them, which is the right job for a system of record. RENTALL's product pages describe real-time updates of contracts, damage and maintenance, a damage history per vehicle, and capture surfaces in the mobile app, the add-on modules and the consumer app. None of them describes anything reading an image and deciding whether the vehicle in it matches the vehicle in the last one. That comparison is what RapidEye adds, and because it runs off the contract, the finding arrives already attached to the rental it belongs to.

A worked example, not a promise: a compact returns on a Friday evening, the CheckIN photos go up as the customer walks to the terminal, and the counter marks no new damage. Reading the pair against the CheckOUT set surfaces a scraped nearside sill that is only visible in one frame. The unit goes to the body shop instead of straight back out, and the claim has a dated photo either side of the contract.

Does RapidEye integrate with RENTALL?

Yes. RapidEye reads the vehicle, the contract dates and the CheckOUT and CheckIN photos taken in the RENTALL mobile app, then returns a finding for each new dent, scratch, interior mess or missing item, with the earlier photo and the later one side by side. The contract, the damage record and the rate in RENTALL are not changed.

Does RENTALL already record vehicle damage?

Yes. RENTALL describes vehicle damage management that keeps track of dents, scratches, accidents and repairs, and its mobile app has a Snap a Dent feature for photographing vehicle condition before and after a rental. What RENTALL records is what the person at the curb chose to record. RapidEye reads the same photos again and reports what the walkaround did not.

Can RapidEye compare a CheckIN against the CheckOUT for the same contract?

That is the core of it. RENTALL holds the contract, so RapidEye knows which CheckOUT photos belong in front of which CheckIN photos. A finding names the panel, the type of damage and how bad it is, and shows the pair of photos with the contract that sits between them.

Will RapidEye change a contract or a damage record in RENTALL?

No. RENTALL stays in charge of the reservation, the rate, the agreement and the damage record. RapidEye reads and reports, and your counter staff decide whether a finding becomes a charge, a repair order or nothing at all.

We rent boats and RVs, not cars. Does this still work?

Yes. RENTALL runs car, motorcycle, bus, RV, boat, plane and construction machinery fleets, and RapidEye reads photos of whatever the unit is. What changes per fleet is the standard being checked, which is something we set with you: hull and fenders on a boat, awnings and holding tanks on an RV, interiors on a shuttle bus.

Our staff take video, not photos. Can RapidEye use that?

Yes. RapidEye reads video walkarounds as well as stills, and gets more out of them because a slow lap around the vehicle covers panels a fixed set of angles misses. If your team already records video at the counter, tell us and we read that instead.
