Where a RentWorks photo ends upOverview
A RentWorks vehicle photo inspection is a complete record of the car at one moment; what it cannot do on its own is compare that moment to the last one. Bluebird built the capture end well: an agent runs the inspection on a phone or tablet at the car, adds the photos there, and the report lands in RentWorks without being uploaded twice. The set then waits with the agreement. RapidEye reads it: the unit and the rental dates from RentWorks, the photos from where your agents take them, and back comes a finding per check-in, with the check-out photo of the same panel next to it and the rental in between.
How it works with RentWorks
A rental operation photographs the same car over and over, always at the same two moments, which makes it one of the cleanest change-detection problems there is. The checks follow the shape of the rental rather than a shape of ours.
- Check-out, at the car. The set the agent takes before the keys change hands is the baseline for that rental, and it is the frame that answers a customer who says the mark was there when they collected it. RapidEye reads it, holds it against the last known state of that unit, and tells you if the car went out with something that should have kept it off the line.
- Check-in. The same angles, at the end of the window. A dent low on a door, a curbed wheel, a cracked lens, a burn on a seat, a windshield chip that was not there on Friday. Each comes back as a finding with the two frames and the rental dates between them.
- What is missing rather than what is damaged. A parcel shelf, a charging cable, a floor mat, a spare wheel cover. These are the losses that never make it into a claim because nobody notices until three rentals later. RapidEye knows what your units look like when they are complete.
- Interior condition and readiness. Smoke residue, pet hair, stains on upholstery, a boot that was never emptied. Read at check-in, this is a charge; read after the valet, it is the difference between a clean handover and a complaint at the counter.
- The set that is too thin to argue from. Three photos of the nearside and none of the offside is not a record. RapidEye reports the gap on that unit while the car is still in the lot, which is the only moment when the gap is still fixable.
- Movements between locations. Bluebird tracks non-revenue fleet movement from one location to another. Photograph the unit at each end and the transporter is inside the chain of custody rather than a blank space in it.
Every finding carries the unit, the spot on the car, the type of issue, how serious it looks, the two photos, the times, and a suggested next step. It is filed in the RapidEye dashboard, and Slack or email can carry it too for the counter or the fleet office. What happens next in RentWorks is yours: a note on the agreement, a hold, a claim opened in Claims Manager. The photo set is the default input, not the ceiling. - Keep taking the same photos. Your agents keep running the vehicle photo inspection in RentWorks Mobile at check-out and check-in. Those photos are what RapidEye reads. Where a location is not on the app, a RapidEye capture link opens in any phone browser, with a fixed set of angles per unit.
- Tell us you run RentWorks. Email support@rapideyeinspections.com with your company name and your locations. We set the connection up with your team and email you when the first findings are ready. Nothing changes at the counter.

Bluebird Auto Rental Systems has been building this software since 1982, was spun out as its own company in 1993, and has been part of Valsoft since 2018, with RentWorks service packs shipping through the current 4.1 line. According to Bluebird's own product documentation (barsnet.com), RentWorks Mobile started life as an add-on module and is now an iOS and Android app, launched at World Travel Market in London, built so an agent can serve a customer at the vehicle instead of at the counter. Bluebird lists seven things it does there, and one of them is the reason this page exists: vehicle photo inspection, described as conducting the inspection and adding photos on the device, with the inspection report available in RentWorks rather than written up on paper and typed in a second time.
That is the capture problem solved. The reading problem is what is left, and it is a workflow problem, not a software one. Both ends of a rental are photographed by an agent who is standing outside in the weather with a customer waiting, and the two sets they produce are never put side by side by anyone until money is at stake.

Does anything in the Bluebird stack look at the photos?
Only after a claim exists, and by design. Bluebird's Claims Manager module is a serious piece of work: it pulls contract and fleet information out of the RentWorks database so a claim does not have to be retyped, tracks user-definable claim statuses and types, reports on billed, collected, insurance and legal action, keeps a subrogation ledger, produces aging reports on uncollected funds, lets you inquire by renter, claim number, car number or accident date, and reports total damage by car. It also, in Bluebird's own words, lets you view documents associated with claims including photographs. Bluebird Recovery Services sits behind it for operators who would rather hand the pursuit off, chasing repair costs, loss of use, administrative fees and diminished value.
Look at the order of operations, though. Every one of those tools starts after somebody has already noticed the damage, decided it is chargeable, and opened a claim. The photograph is evidence in a case that already exists. Nothing in that chain is looking at the thousands of photographs attached to rentals where nobody opened a claim, and those are where the losses actually live: the dent that got past a tired agent at 7pm, the missing charging cable, the panel that was already damaged when the car went out and got charged to the wrong renter. Claims Manager is the right tool for a claim. The question of which check-ins should have become claims is a different job, and it is the one RapidEye does.
What RapidEye adds because of it
RapidEye sits ahead of Claims Manager rather than beside it. It reads every check-out and check-in set in the order they were taken, pairs them by unit and rental, and returns the short list of cars where something changed, with both frames attached and the dates between them. Your team decides which of those become claims, and the ones that do arrive with the evidence already assembled. The ones that do not still make the fleet report, because a car accumulating small damage over four rentals is a story only a machine that reads every set can tell you.

Yes. How does RapidEye tell new damage from damage that was already on the car?
By reading the check-out set and the check-in set as a pair on the same unit. A rental is a closed window with a photographed panel at each end, which is a cleaner comparison than most industries get. If a scuff appears on the rear quarter between the two, it is attributable to that rental. If it was there at check-out, the finding says so, and that answer is worth as much as the other one.
Do my counter agents have to learn a new app?
No. They keep running check-out and check-in in RentWorks Mobile the way they do now, at the car rather than at the counter. The one habit worth holding is the same set of angles on every unit, every time, because a consistent set is what makes a comparison across two rentals meaningful.
Will RapidEye change an agreement, a vehicle status or a claim in RentWorks?
No. RentWorks stays the system of record for the agreement, the fleet and the claim. RapidEye reads and reports. The RapidEye dashboard collects the findings, with optional Slack or inbox copies for the counter or the fleet office. Whether a finding becomes a claim in Claims Manager is a decision your team makes.
We are a dealership running loaner cars rather than a rental fleet. Does this still apply?
Yes, and the incentive problem is sharper there. A loaner goes out to a service customer with nobody at the counter to inspect it, and it comes back in a queue of cars nobody has time to walk. If your agents photograph the unit at issue and at return, RapidEye reads those two sets against each other the same way it reads a rental.
