AI photo review for Maintenance Care
RapidEye reads the photos your techs take in the iMCare app and file in the Space Center, and returns a finding for every work order, PM task and audit that closes.
Where the pictures liveOverview
Maintenance Care collects the photographs that would settle almost every argument about a building, and then gets on with the next request. Requests arrive through custom web forms and become work orders, the duplicate checker keeps the queue clean, techs work them on a phone in the iMCare app, and photos of the fault and the fix go into the Space Center, the cloud store Maintenance Care describes as good for asset images and before-and-after photos of maintenance tasks. That library grows every day and nobody has an hour to open it. RapidEye is the part that looks: it reads those photos with the building, area, asset and dates attached, and returns one finding per issue, with the earlier frame beside the later one.
How it works with Maintenance Care
A request in Maintenance Care runs from a web form to an assigned tech to a closed job, and photographs get taken at several points along that line. RapidEye reads each of them for a different question. These are the ones senior living operators ask for first, and they are examples rather than the boundary of what can be read.
- The intake photo on a request. Maintenance Care lets staff, residents or families submit requests from a desktop, a tablet or a kiosk with the details your techs need. The photo attached at that moment is the honest before, dated and tied to the building and area, and it is what the closing photo is measured against later.
- The closing photo on a work order. Read for whether the work holds up: a wall patched but not sanded, a threshold strip screwed over a lifting tile, a handrail refitted into the plug that failed the first time, a ceiling stain that has spread since the leak was called fixed. A finding names the building, the area and the asset so the follow-up job writes itself.
- Everything else in the frame. A tech photographing a radiator valve also photographs the corridor behind it. RapidEye reads the whole picture and reports what nobody logged: the chipped door frame, the dead bulb over the fire door, the trolley parked across an exit route.
- Custom audits and room safety checks. Maintenance Care's inspection tooling supports custom audits, real database field types with history tracking, questionnaires attached to scheduled tasks, and photo capture from the app. RapidEye reads the photos on a room safety check or an equipment inspection against your standard, so a completed audit and a clean room are the same statement rather than two.
- Preventive maintenance rounds. A quarterly PM on a boiler, a generator or a lift comes back with a set of frames. Read against the last set, they show drift: corrosion creeping along a joint, a filter housing that has been leaking for two visits, insulation coming away where nobody wrote a note.
- Rooms turning over between residents. An apartment between residents is the one time a unit can be photographed properly. RapidEye reads the set and lists what needs doing before the unit is shown, then holds it as the baseline that unit is compared to next time.
A finding names the building, the area and the asset, what kind of problem it is (damage, unfinished work, cleaning, safety), how serious, the earlier photo beside the later one, the time, and a suggested next step. It lands in the RapidEye dashboard and, if you want it there, in a Slack channel or the facility manager's inbox. Photos are the usual input, not the only one: crews that film a walk-through, sites with a 3D scan, or an operator who wants findings scored against their own environment-of-care form get that set up with us.
How to connect Maintenance Care to RapidEye
- Buildings, areas and assets set up in Maintenance Care. The work order dashboard already lets you filter by technician, priority, status and location, and that location is what a finding gets filed against, so a director over six communities gets six lists rather than one long one.
- Photos coming off the iMCare app. A photo of the fault at intake and a photo of the same spot at close is all RapidEye needs, and the Space Center is where they already go. If a crew does not photograph work today, a RapidEye capture link goes out with the job instead: it opens on any phone, nothing to install, a fixed set of angles.
- Add RapidEye as a user. Maintenance Care does not limit the number of users on an account, so the extra login costs nothing. Add Rapid Eye with the email in the modal, scoped to the buildings you want read. Your techs keep working iMCare exactly as they do now.
Where the pictures live in Maintenance Care, and who reads them
Checked against Maintenance Care's product pages and FAQ, September 2026.
Maintenance Care is a CMMS, a computerized maintenance management system, and it is fully web based with the iMCare app on Apple and Android for the crew. According to Maintenance Care's product documentation (maintenancecare.com), a request comes in through a customizable web form from a desktop, tablet or kiosk, a duplicate checker stops the same fault becoming three tickets, and the work order dashboard tracks the job from submission until a technician marks it complete, with statuses covering active, waiting on parts and ready for final review. Notifications fire automatically on assignment and on priority changes, and replies to those notification emails are pulled back into the work order's own history rather than sitting in somebody's inbox. Here is that run, and the frame that gets taken at each point.
- IntakeA request is submittedStaff, a resident or a family member fills in a request form from a desktop, tablet or kiosk, and the duplicate checker keeps the queue clean.A photo here is the strongest before you will ever have of that fault. RapidEye reads it as the baseline for the area.
- AssignmentThe work order is assignedA tech is picked from the dashboard and notified by email or push the moment the job lands, or the moment its priority changes.
- On siteThe tech works it in iMCareThe app carries the task list, priorities, attachments from the task list and from the asset list, and asset transaction history, so nobody walks back to the office.Photos taken here go straight into the Space Center. RapidEye reads them for the work and for everything else in the frame.
- CommunicationReplies land on the recordThe requester answers the notification email from their own inbox and the reply is attached to the work order's history automatically.
- CloseThe technician marks it completeThe status moves to complete and the job joins the searchable history, printable and exportable for reporting. The closing photo is read against the intake photo of the same spot, and the finding says whether the fix shows.
- AfterwardsThe history is searched, not viewedRecords are found by keyword, date, asset type or technician for reports and vendor handoffs.

What the Space Center holds
The Space Center is Maintenance Care's cloud storage, and its documentation is unusually clear about what goes in it, which is why this integration is a short conversation rather than a project.
| What Maintenance Care documents | What that means for reading condition |
|---|---|
| Any file type: videos, schematics, MSDS forms, training documents, images | Whatever your crew captures is already in a place RapidEye can read, including walk-through video rather than stills. |
| Described as good for asset images and before-and-after photos of maintenance tasks | The before-and-after pair is the exact shape a finding is built from. Most teams already have it and have never compared the two. |
| Files linked to work requests, preventive maintenance tasks, assets and other records | A photo arrives with its building, area, asset and date attached, so a finding can be filed rather than just flagged. |
| Photos taken in the iMCare app and uploaded straight to the Space Center, including snapshots of invoices and estimates | The tech's phone is the capture device, so nothing new is asked of the crew. |
| Images of incidents such as floods or fire damage, kept for later reference or insurance claims | Dated frames of the same space over time are what turns a claim from a story into a record. |
| 500 MB of cloud storage included per facility, on Amazon S3, with more available | Worth knowing before a video-first programme: a photo-first team rarely notices the ceiling, a video-first one should plan for it. |
Can a CMMS tell you the work was actually done?
Not on its own, and no CMMS claims to. A completed status is set by the person who did the job, so it faithfully records that the tech says it is finished; the notifications fire on assignment and priority, which are facts about the ticket rather than about the wall. Maintenance Care goes further than most toward closing that loop: its inspection tooling can trigger a follow-up task automatically when an audit records a poor result, which is a real check on the standard, and its preventive maintenance scheduling exists so a senior living operator is ready for a scheduled or a surprise inspection rather than scrambling for one. What no maintenance system does, because it is a different kind of work, is open the photographs and say what they show. In senior living the photographs matter more than almost anywhere else: families judge a community by the corridor they walk down, surveyors judge it by the state of the environment, and both of them are looking at exactly the surfaces your techs have already photographed. RapidEye reads that library, every frame, and hands back the short list.
Maintenance Care integration FAQ
Does RapidEye integrate with Maintenance Care?
Yes. RapidEye reads the photos your technicians take in the iMCare app and file in the Space Center, along with the building, the area, the asset and the dates they carry, and returns one finding per issue: the repair that did not hold, damage nobody logged, a safety problem visible in the frame. Your work orders, preventive maintenance schedules, audits, assets and notifications stay exactly as they are. RapidEye writes nothing back to Maintenance Care.
Does Maintenance Care store photos on work orders?
Yes. Maintenance Care documents the Space Center as cloud storage for any file type, describes it as suited to asset images and before-and-after photos of maintenance tasks, and says files can be linked to work requests, preventive maintenance tasks and assets. The iMCare app lets a tech photograph a piece of equipment or a repair and upload it straight to the Space Center. The photos exist. Reading all of them is the part that has no owner.
Can RapidEye tell whether a closed work order was actually done?
From the photos, yes. In any CMMS a completed status is set by the person who did the work, so it records that the tech says the job is finished. RapidEye reads the closing photo against the earlier photo of the same spot and reports what it shows: a patch that was painted but not filled, a rail refitted into the same loose plug, a leak stain that has spread rather than dried. When the photos do not cover the work at all, that is reported too.
Does RapidEye read photos from custom audits and preventive maintenance tasks as well?
Yes. Maintenance Care's inspection tooling lets you build custom audits with real database fields, attach questionnaires to scheduled tasks, and capture photos of the inspection process from the iMCare app. RapidEye reads the photos attached to a room safety check, an equipment inspection or a monthly PM the same way it reads work order photos, and scores them against the standard you set rather than a generic one.
Will RapidEye create or close work orders in Maintenance Care?
No. RapidEye reads and reports. It does not raise a request, assign a tech, change a status, edit a PM schedule or touch an asset record. Findings land in the RapidEye dashboard, and in a Slack channel or the facility manager's inbox if you want them there. Whether a finding becomes a new work order in Maintenance Care is the facility manager's call.
