What a work order recordsOverview
An Asset Essentials work order is a record of what was requested and what a person said they did, and its photos are filed rather than examined. The record is thorough: a work order carries a status, a priority, a title, the work requested, and a work source that ties it to a site, a location or an asset, plus labor, parts and any photos attached in the field. Nobody has the hours to open thousands of those photos again. RapidEye reads them, holds each one against the earlier pictures of the same asset and the same room, and returns a finding when the picture and the closed work order disagree.
How it works with Asset Essentials
The work already produces pictures at four points in the life of a work order, and each one answers a different question. RapidEye reads all four and reports against them.
- The request. A requester attaches an image before they submit, which is the only picture of the problem before anyone touched it. RapidEye reads it as the starting condition, and it is what a later "no fault found" gets compared against.
- The technician's first look. The photo taken on arrival, often the one that carries an annotation drawn on the screen. RapidEye reads the state of the surrounding space too, not only the asset in the middle of the frame: the ceiling tile, the tripping hazard by the door, the missing extinguisher tag.
- The close-out photo. The picture that goes on before the status is changed to complete. RapidEye holds it against the earlier ones and reports what is still there: sealant not finished, the panel left open, debris left behind, a second fault visible in the corner of the frame.
- Preventive maintenance rounds. The recurring work orders that generate on a schedule are the most repeated photos in the account, of the same plant room month after month, and repetition is exactly what makes drift visible. Rust that grew, a filter that did not change, a fire door propped again.
- Audits and inspections. Where your account runs the audit and inspection programs, the pass, fail or unfinished mark on a task is a person's judgement. The photos next to it are evidence, and RapidEye reads them on their own terms.
A finding names the asset, the location and the site, what kind of issue it is, how serious it is, the before and after photos, and a suggested next step. It lands in the RapidEye dashboard and, if the facilities office wants it, a Slack channel or an inbox. You decide whether it becomes a new work order in Asset Essentials. If your teams document with video walkthroughs, 3D scans, or an inspection format of your own rather than photo attachments, that is something we set up with you rather than a limit of the product.
How to connect Asset Essentials to RapidEye
- Your sites, locations and assets, already set up. Every work order in Asset Essentials points at one work source, a site, a location or an asset, and that pointer is what tells RapidEye where a photo was taken. The tidier that register is, the sharper the reporting.
- Photos in the Attachments card. Technicians keep tapping Take Photo or Add Photo exactly as they do now, requesters keep attaching an image to the request, and nothing about the routine changes. For a job type that produces no photos today, RapidEye sends a capture link that opens on any phone with no app to install, a fixed set of angles taken before the work order is closed.
- Add RapidEye as a user. Add us under Admin and Users, then use Manage Permissions to grant site permissions for the sites you want read. The connect panel has the exact details.
What an Asset Essentials work order records

Asset Essentials is a maintenance management system for facilities, schools, government and infrastructure teams, and the work order is where nearly everything in it eventually lands. According to Brightly's help centre documentation (brightlysoftware.com), the new work order form is broken into sections that expand and collapse, with three required fields in Work Order Details: WO Status, Title and Work Order #. What follows is what each part of that record can prove about the condition of a building, and what it cannot.
Statuses are configurable rather than fixed. Brightly's documentation describes an administrator creating a status, giving it a status category, deciding with a Modifiable checkbox whether a work order can still be edited while in it, and defining which statuses are allowed to follow it. Email templates can then fire on a status change to the originator, to the responsible users, or to a named subscriber list. All of which moves the paperwork, correctly, and none of which looks at the picture.
Can Asset Essentials tell you whether the work was actually done?
It tells you what somebody said. On the mobile app, a technician marks a work order In Progress as they start and Complete when they finish, and Brightly's documentation notes that a completed work order can no longer be updated. That is a clean audit trail of assertions. The account can go further with the audit and inspection programs feature, where each task in an inspection carries a Done mark and a task type:
A task can be an instruction, a collect-reading task or a pass/fail review of an asset, and the record holds a result, an external inspector and any documents attached. Again, every one of those marks is a judgement typed by the person on site. The photographs sitting beside the marks are the only part of the file produced by the building itself, and until somebody opens them they prove nothing. Reading them is the whole of what the integration adds.

Does RapidEye integrate with Brightly Asset Essentials?
Yes. RapidEye reads the photos attached to your Asset Essentials work orders, along with the asset, location and site each work order is tied to, and returns a finding for every photo that shows damage, unfinished work, a safety problem or a missing item. The work orders, statuses, PM schedules and asset records in Asset Essentials are not changed.
Where do the photos on an Asset Essentials work order come from?
Two places, according to Brightly's help centre documentation. A requester attaches an image in the Upload Document/Image section before tapping Submit Request, and a technician adds photos from the Attachments card of the work order in the mobile app with Take Photo or Add Photo. Both kinds sit in the same Attachments card, and RapidEye reads both.
Can RapidEye tell whether a completed work order was actually finished?
It can tell you what the photos show. A technician marks a work order Complete by choosing a WO Status, and that status is a statement by the person who did the work. RapidEye compares the close-out photos against the earlier photos of the same asset and the same room and reports what is still broken, still dirty, still missing or newly damaged.
Will RapidEye create or close work orders in Asset Essentials?
No. Asset Essentials stays the maintenance record. RapidEye reads and reports; the facilities office decides whether a finding becomes a new work order, a callback to the technician or a note on the asset.
Does this replace the Audit/Inspection programs feature in Asset Essentials?
No. Audit/Inspection programs record a person's pass, fail or unfinished judgement on each task in an inspection. RapidEye works on the pictures rather than the judgement, so the two sit next to each other: the inspector says what they concluded, and the photo evidence is read independently.

Volume is the reason to do it. A portfolio that closes thousands of work orders a month produces a photo archive no supervisor can read, and the photos already in your history are what RapidEye uses to learn what each asset and each room normally looks like.
