Overview

A picture attached to a work order is evidence, and evidence only counts if somebody looks at it. MaintainX makes the capture part easy: a technician standing at the asset takes the photo on the phone, annotates it, and it lands on the work order with the asset, the location and the time already attached. What no maintenance office has is the hour a day it would take to open every one of them. RapidEye reads them instead, and returns a finding for each thing it sees, tied to the asset and location MaintainX already recorded.

How it works with MaintainX

MaintainX sorts work by where it came from and what kind it is, so the checks follow the same shape. These are examples rather than limits: RapidEye reads whatever a team already produces, photos, video walkthroughs or 3D scans, and reports against whatever standard you hold your sites to.

  • Reactive work orders. Something broke, someone fixed it, three pictures went on the record. RapidEye reads them for what the repair did not cover: the water staining above the replaced valve, the ceiling tile that came down to reach it and never went back.
  • Preventive work orders. A recurring work order returns to the same asset on a schedule, which means the same asset photographed from the same angle month after month. That is a time series, and drift shows up in it long before a failure does.
  • Procedures. A Picture/File Field on a procedure step is the tightest evidence in the system, because you know exactly which step the technician was standing on. RapidEye reads the image against the step it belongs to and says whether the picture supports what was recorded.
  • Work requests from a portal. Anyone with the link or the QR code can file a request, usually with a photo of the problem. RapidEye reads the request photo, sizes the problem, and says whether it is the same problem the building reported in March.
  • Assets and locations. Because every work order carries one location and one asset, findings roll up by building, asset and asset type with nobody tagging anything. Rooms and spaces work the same way as machines.

Each finding names the asset, the location, what kind of problem it is, how serious it is, the pictures it came from and what we would do about it. It lands in the RapidEye dashboard, and in a Slack channel or an inbox for the maintenance office if you want it there. Nothing is written back to MaintainX: your team decides whether a finding becomes a new work order or a corrective action. If your inputs are not photos, or your standard is a checklist of your own, that is a conversation we have with you at setup rather than a limit on the product.

How to connect MaintainX to RapidEye

  1. A MaintainX organization with your locations and assets set up. A work order takes one location and one asset, and MaintainX sets the location automatically when the asset lives somewhere else. That pairing is what a finding gets filed against.
  2. The pictures your technicians already take. Add or take pictures on the mobile app, the Files field on the work order, and any Picture/File fields in your procedures. If a site does not photograph its work yet, RapidEye sends a capture link that opens on any phone, with no app to install.
  3. An invite. In MaintainX, Teams / Users, then Invite Users, with the Full User account type. The modal has the exact details.

MaintainX is a cloud CMMS built around the phone in the technician's hand, and the work order is its unit of everything. According to MaintainX's help centre documentation (getmaintainx.com), the only mandatory field on a work order is the title, and every other field is there to be filled in when it is worth filling in. Two of those fields carry images, a third arrives with the procedure, and all three are where an inspection's real evidence ends up.

Where do the pictures go after the work order is Done?

Onto the asset's history, and then nowhere. MaintainX gives a work order four statuses, Open, On Hold, In Progress and Done, and its documentation notes that a work order moves itself to In Progress when someone starts updating procedure steps. Done is the one a person chooses. After that the record is searchable and the pictures sit inside it, which is exactly right for an audit and no use at all for catching the problem in the corner of the frame. That is not a gap in MaintainX; it is a gap in every maintenance workflow, because reading photographs at portfolio scale is not work a person can do.

Does MaintainX score inspections?

Yes, step by step. A procedure field can be an Inspection Check, and MaintainX documents three values for it:

  • Pass
  • Flag
  • Fail

Flag or Fail prompts the technician to create a corrective action, and MaintainX's Completed with Inspection Check report classifies a whole work order by its worst result: Pass when at least one check passed and none failed, Flag when a check was flagged and none failed, Fail when any check failed. Procedure scoring works the same way at the form level, with points on fields and a goal score that triggers a corrective action when the total falls short.

All three values are what the person holding the phone selected. The picture attached to that same step is unread, and it is the only thing on the record that did not pass through anyone's judgment. RapidEye reads it: a Pass with a photo that shows the leak is still there comes back as a finding, and so does a Fail whose photo shows the problem is worse than the code recorded.

Does RapidEye integrate with MaintainX?

Yes. RapidEye reads the pictures attached to your MaintainX work orders and procedures, along with the asset, the location and the time, and returns a finding for each issue it sees: damage, wear, a missed step, a missing part, a safety hazard. Your work orders, procedures, asset statuses and schedules in MaintainX are not changed.

Where do pictures live on a MaintainX work order?

In two places. The work order form has an Add or drag pictures field for images and a separate Files field for documents, and MaintainX's documentation lists gif, jpg, png and mp4 among the supported formats. Procedures add a third: a Picture/File Field a technician fills in on a specific step. RapidEye reads all three.

Can RapidEye check a work order that was already marked Done?

Yes. Done is a status a Full User or Administrator selects when they decide the work is finished. RapidEye reads the pictures on that work order and says what the pictures show: a panel left off, corrosion beside the repair, a guard not put back. The finding names the asset and the location from the work order itself.

Does RapidEye change anything inside MaintainX?

No. MaintainX stays the system of record for work orders, procedures, assets, parts and schedules. RapidEye reads and reports, and your team decides whether a finding becomes a new work order or a corrective action in MaintainX.

What about the pictures already sitting on years of closed work orders?

Those are the most useful thing you have. On first connection RapidEye reads the picture history already attached to your work orders and builds a baseline for each asset and space, so the first findings include drift nobody noticed: a leak that has been spreading for three quarters, an access panel missing since spring.

Does this work across a portfolio of buildings?

Multi-site is where it pays for itself. A MaintainX work order carries one location and one asset, so findings roll up by building, by asset and by asset type without anyone tagging photos. A regional manager sees which sites are drifting instead of which sites filed the most work orders.
