Avantio already collects the photograph. What it does not have is a reader. An Operations task carries the accommodation, the booking it was generated from, the assignee, a description, a checklist with blocking items, and a comments thread where the person doing the work uploads photos as a progress update. Everything about that design is right, and at fifty accommodations on a Saturday nobody opens the thread. RapidEye reads those comment photos against the last known state of the same rooms and returns one finding per problem: what is damaged, what was not cleaned, what is missing, with both frames and the booking dates between them.
How it works with Avantio
Avantio's Operations module is a single list of the day's work across a mixed team of internal staff and external suppliers, and the task is the unit of everything. RapidEye follows that shape, task by task.
- Automatic tasks from an Extra. These are always associated with a booking, which is what makes attribution possible: a stain on the armchair that is not in the last set of photos belongs to the stay that just ended, and the finding carries those dates.
- Manual tasks across several accommodations. Avantio generates a separate task per accommodation when you create one for many, so a mid-season deep clean run across twenty apartments comes back as twenty independent reads rather than one summary nobody trusts.
- Reactive incidents. The yellow-highlighted ones. A photo posted to an incident about a leak or a broken blind is read against the same room from before, so you can see how far it has moved and whether the repair visit actually closed it.
- The checklist behind the closure. Blocking items stop a task being set to Completed until the mandatory steps are ticked. RapidEye reads the photos of the things those items refer to and says when a ticked item and the picture disagree.
- Instruction images versus result images. Avantio lets you attach images when you create a task to make the brief unmistakable. Those are the standard. The comment photos are the result. RapidEye keeps the two apart and compares them.
- Rooms with no photo. A supplier who posts four frames of a spotless kitchen and nothing from the second bathroom is the most common way a rushed clean disappears. A missing room is a finding.
Each finding names the accommodation and the room, the type of problem, how serious it looks, both photos with their times, and a suggested next step. It lands in the RapidEye dashboard, and in a Slack channel or an inbox for the operations team if you want it there. What happens next in Avantio is yours: raise an incident so it shows yellow in the operations list and the suppliers' intranet, add a comment, or let it go. Photos are where most teams begin rather than where the product stops. How to connect Avantio to RapidEye
- Cleaning work showing up as tasks in Operations. Open the Operations module and confirm the cleans are there against the right accommodations. Tasks generated from an Extra are always tied to a booking, and that association is what gives a finding its dates.
- Photos in the task comments. Ask your cleaners for a fixed set of angles per room with the lights on, posted to the comments before the task is set to Completed. Suppliers do this from their Suppliers Area, internal staff from the VRMS. If a crew posts nothing today, a RapidEye capture link goes in the task description and opens in any phone browser with nothing to install.
- Create the RapidEye user. Configuration, then Users, then Create, with the name and email in the panel and the Cleaning and services manager profile. Only an Administrator can create new user profiles.
That is the whole setup. Suppliers keep the same Suppliers Area, the same checklist and the same status dropdown, and the first findings arrive once the first tasks close.

Avantio is a vacation rental management system built for agencies, and its Operations module is where a mixed team of internal users and external suppliers gets coordinated. According to Avantio's support centre documentation (avantio.pro), a task is either generated automatically when a booking includes an Extra marked as requiring management, or created by hand from the Operations section for general work and incidents; automatic tasks are always associated with a booking, and manual ones can be attached to one accommodation, to twenty, or to none at all. Once it exists, the task is a set of tabs.
Tabs as documented by Avantio. Four of the five describe the job, the booking, the property record or the messaging around it. One holds the evidence.
Checklists, and what a blocking item really proves
Avantio's task checklists are the strongest quality control the module has, and they are worth understanding precisely. A checklist is a reusable template of up to 100 items and sub-items. It can be attached to an Extra so every task generated from that service inherits a copy, customised for a single accommodation without touching the general version, or dropped straight onto a manual task. During the work, the internal user or external supplier ticks items as they go, each tick saves itself, and the history records which item, by whom, and when. The task record shows a running count.

A blocking item is a real constraint: while it is unticked, Avantio refuses to move the task to Completed and names the pending action. What it constrains is the sequence, not the outcome. The person ticking the bulb item is the person paid to have checked the bulbs, at the end of a long day, alone in the apartment. That is precisely the shape of problem a photograph settles and a checkbox cannot, which is why the last line of a good Avantio cleaning checklist should be a photo item, and why something has to read what gets posted.
Who actually looks at the photos on an Avantio task?
Nobody, in most agencies, and Avantio does not claim otherwise. Its Operations Management Tool product page describes the photo capability plainly: images can be included when the task is written so instructions are clear to the service provider, and users can upload photos to the comments of any task to update on progress, with new tasks raised directly from those comments. That is a well-built channel for a supplier to report something. It is not a review process. Nothing in the operations list, the planning view, the CSV, Excel and PDF exports, the status filters or the supplier notification history involves a person opening the images and deciding whether the accommodation is ready. The operations list shows a status; the status is what a person set.
So an Avantio agency running two hundred accommodations across a Mediterranean summer accumulates a genuinely valuable archive of photographs, correctly filed against the accommodation and the booking, that nobody has ever looked at twice. RapidEye is the reader for it. On the first connection it goes back through the photo history you already hold to learn what each room looks like when it is right, and from then on every new set gets held against that.
Suppliers, users and who sees what
Avantio splits access in two. External service providers get their own Suppliers Area, which they can install as an app on a phone or tablet, keep signed in, and receive push notifications from when a task is assigned, changed or commented on; inside a task they open the checklist, tick and untick items and watch the progress bar, but cannot change what the checklist says. Internal people are users, created under Configuration, with roles that can be combined, and Avantio documents a Cleaning and services manager role whose remit is viewing and editing the Operations module and seeing the cleaning and services reports. Avantio also documents that the two are exclusive: a supplier and a user cannot share one email address, because a login email is unique and non-transferable. RapidEye goes in as a user, scoped by the role you give it, and reads the tasks the module holds.

Does RapidEye integrate with Avantio?
Yes. RapidEye reads the accommodation, the associated booking, the assignee and the checklist from your Avantio Operations tasks, along with the photos your suppliers upload to the task comments, and returns a finding for every task set to Completed: new damage, cleaning that was missed, an item that is gone, a maintenance issue, each with the before and after frames. Your Operations module, task statuses, checklists, Extras and supplier access stay exactly as they are. RapidEye writes nothing back to Avantio.
Where do photos live on an Avantio task?
In two places, for two different purposes. Images can be attached when the task is created, which Avantio documents as a way to make instructions clear to the supplier, and photos can be uploaded to the comments of any task as a progress update, with new tasks raised directly from those comments. The comment photos are the ones that describe the property after the work, and they are what RapidEye reads.
Does a Completed status in Avantio mean the accommodation is guest ready?
It means the person holding the task moved it to Completed. Avantio documents three statuses on a task, pending, in progress and completed, and the history records who changed what and when. Blocking checklist items make that stronger by refusing to let a task close before mandatory steps are ticked, but a tick is still a person saying the step was done. RapidEye reads the photos in the comments and reports what the accommodation actually looks like, including rooms the photos never covered.
Does RapidEye use the Avantio task checklist?
As the standard, not as the proof. Avantio checklists are reusable templates that can be attached to an Extra, customised per accommodation, or added to a manual task, and a template can hold up to 100 items and sub-items. That makes them the clearest written statement of your standard at each property, so RapidEye holds the photos up against them: the item says what should be true, the photo says whether it is.
Will RapidEye create, close or reassign Avantio tasks?
No. RapidEye reads and reports. It does not create tasks or incidents, move a status, tick a checklist item, change an assignee, touch an Extra or alter a supplier's access. Findings land in the RapidEye dashboard and, if you want them there, a Slack channel or an inbox for the operations team. Raising the incident in Avantio, marking it yellow so it stands out in the operations list and the suppliers' intranet, stays your decision.
Does RapidEye need supplier access or a user account in Avantio?
A user account. Avantio documents that a supplier and a user cannot share the same email address, and RapidEye reads across your whole portfolio rather than working assigned jobs, so it goes in under Configuration and then Users like any internal profile. The Cleaning and services manager role is the natural fit, since Avantio documents it as viewing the Operations module and the cleaning and services reports.
Does this work when external suppliers do the cleaning?
That is the case it was built for. Avantio hands external service providers their own Suppliers Area, installable as an app with push notifications, where they see their tasks and complete the checklist, and their photo comments flow back into the VRMS. The people documenting your accommodations are not on your payroll and nobody from your office is standing in the room, which is exactly the gap a camera can close and a status field cannot.
