What an Avail ticket actually holds

Overview

The Avail maintenance ticket is the only place condition photos live, and nothing ever reads them again. Avail's ticket carries a category, a title, a description, attached photos, documents or short video clips, a time-stamped message log, a cost, and a status that moves from Pending to Complete. That is a good repair record and a poor condition record: it captures the problem someone chose to report, on the day they reported it, and nothing about the rest of the room or the rest of the lease. RapidEye reads those photos plus the unit and date on each, reads the move-in and move-out sets Avail has no field for, and returns a finding for every problem visible in either.

How it works with Avail

A DIY landlord on Avail has no inspector, no ops team, and no reason to drive over twice. The checks follow the four moments where a photo of your unit actually exists.

  • The tenant-submitted ticket. Avail says a tenant can submit a request whenever they need to and attach photos so you can understand the issue without visiting the property. That photo is the earliest and most honest image of the problem. RapidEye reads all of it, and a ticket about a faucet comes back with the faucet plus the cabinet base and the ceiling stain underneath.
  • The ticket you open yourself. Avail documents logging a request on the tenant's behalf, for a phone call, a walkthrough, or something you spotted. Attach what you photographed and RapidEye grades the whole set rather than the one thing you were looking at.
  • Before you mark it Complete. Pending to Complete is a dropdown, not a verification. RapidEye reads the photos the contractor or the tenant sent back and says whether the repair looks done, before you close the ticket and file the cost.
  • Move-in and move-out. Avail's move-in checklist is a form, not a camera. RapidEye holds the move-in set for each room and puts the matching move-out photo beside it with both dates, so the deposit conversation starts from evidence instead of memory.
  • The turn between tenants. You paid someone to clean and you took their word for it. RapidEye names the oven, the tub ring, the vents and the trim before the listing photos are shot.

A finding is one problem: the unit, the room, the exact spot, the type of issue, how serious it looks, the earlier photo of the same spot beside the current one with both dates, and a suggested next step. Findings land in the RapidEye dashboard, and in your email if you want them there. Nothing is written back to Avail, so you decide whether a finding becomes a ticket, a cost, or a line on the deposit statement. How to connect Avail to RapidEye

  1. Your units and leases in Avail. The units you rent listed under Properties, so every photo RapidEye reads already carries a unit and a date. Avail's ticket sits on the unit, which is exactly the level a finding needs.
  2. Decide where the condition photos come from. Photos already on your maintenance tickets are read as they are. For move-in, move-out and turn photos, which Avail has no field for, RapidEye sends a capture link that opens on any phone, nothing to install, a fixed set of angles per room, lights on.
  3. Add RapidEye to the maintenance CC field. Avail documents a setting that copies an outside address on maintenance activity so you do not forward each ticket by hand. The Connect modal on this page has the path and the address.

What an Avail maintenance ticket actually holds

Avail is landlord software for people who manage their own rentals: listings, applications, TransUnion screening, leases, rent collection, accounting and maintenance tracking, in one account. Maintenance tracking is the only part of it that touches physical condition. According to Avail's help centre documentation (avail.com), the request form lives under the unit, on a Maintenance tab in the unit's own sub-navigation, and it takes the following.

Below the form the ticket keeps a built-in messenger whose conversations Avail describes as time-stamped and preserved, a cost field that pushes the expense to the accounting dashboard, and a visibility rule worth knowing: every tenant on the lease can see the ticket for the length of the lease. There is one more documented route out of the account. In Account Settings, under Additional Settings, Avail offers a Maintenance Notifications field that copies a contractor's email on all maintenance activity, which Avail frames as a way to share the description, the urgency and the uploaded photos without giving anyone your dashboard.

Does Avail do move-in and move-out inspections?

Not as a feature. Avail's own education pages are unusually direct about it: the move-in checklist they recommend is a form you send the tenant roughly two weeks ahead, ask back within 72 hours of the move, then review and sign if you agree with what they noted. Condition on that form is recorded with a letter key, and the letters are the whole vocabulary.

An S written by the person whose deposit is at stake is an opinion, and a dispute over it comes down to two people remembering a room differently. Avail's move-out guidance says as much when it tells tenants to send photos of the issues so they are not charged for damage they did not cause. That is the gap: the platform holds leases, rent, tickets and costs for the whole tenancy, and holds no dated picture of the unit at either end of it. RapidEye supplies the picture and the comparison, and leaves everything else in Avail exactly as it is.

Does RapidEye integrate with Avail?

Yes. RapidEye reads the photos, documents and short video clips attached to your Avail maintenance tickets, plus the unit and the date on each one, and returns a finding for every problem visible in them. Your tickets, statuses, message log, leases and payments in Avail are untouched.

Does Avail have a move-in or move-out inspection with photos?

Not as a product feature. Avail's own guidance describes a move-in checklist as a form you send your tenant ahead of the move, filled in with a letter key such as S for satisfactory and NR for needs repair, returned to you and signed. The photos on the maintenance ticket are the only condition images Avail's help centre documents. RapidEye covers the gap with a capture link that opens on any phone.

What does the Category field on an Avail maintenance ticket do for RapidEye?

It gives the finding a starting point rather than an answer. Avail's help centre lists categories such as Plumbing, Electrical, Appliances, HVAC and Structural, chosen by whoever opened the ticket. RapidEye reads the photo itself, so a ticket filed under Plumbing can still come back with a finding about the cabinet base underneath the leak.

Can RapidEye check a ticket that was already marked Complete?

Yes. Avail's two ticket statuses are Pending and Complete, and Complete means someone changed a dropdown. RapidEye reads the photos on the ticket and says whether the picture supports the status, which matters most when a contractor closed the job and nobody drove over to look.

Do my tenants have to do anything different?

No. They keep submitting maintenance requests from their own Avail account with photos attached, exactly as Avail describes. All tenants on the lease can still see the ticket during the lease period.

I only own a few units. Is this worth it?

It is the case Avail landlords ask about most, because a small portfolio has no inspector and no slack. One missed leak behind a cabinet or one deposit case lost for want of a dated pair of photos costs more than a year of reading every picture you already have.
