How Anytime Booking runs housekeeping

Overview

Anytime Booking tells your housekeeper which unit and when. It never asks what the unit looked like afterwards. The system notifies the cleaning team of arrivals, departures and changeovers, assigns properties to individual housekeepers, controls what each of them can see, and can give them a login with a simplified view of their tasks. Housekeeping sits in the reporting stack next to arrival and departure reports and owner statements. What none of it holds is a picture. RapidEye reads the unit list and the changeover dates from Anytime Booking together with the photos your cleaners already take, and returns one finding per problem, with the photo from the last changeover next to the one from this one.

How it works with Anytime Booking

Anytime Booking already knows the shape of your day: who is arriving, who is leaving, which units turn over, and which housekeeper has each one. RapidEye takes that same shape and adds the one thing missing from it, which is what the unit actually looks like.

  • Same-day changeovers. A family leaves at ten and the next arrives at four, and this is where standards quietly slip. RapidEye compares the photos from this changeover with the last set for the same unit, so a scorched hob, a chip out of the worktop or a torn blind is attributed to the stay that sat between them.
  • Units coming out of a gap. A pod nobody has slept in for a fortnight is not ready just because it was clean when it was closed up. Cobwebs, a dead bulb, a damp smell that shows as a mark on a wall: RapidEye reads the pre-arrival photo against the last one and names what changed.
  • Anything outside the walls. On a park the hot tub cover, the decking, the bin store and the fire pit are the parts a tired cleaner is least likely to mention at the end of a long day. Photograph them and they get read the same as a bathroom.
  • The extras the guest paid for. Anytime Booking sells hampers, travel cots, firewood and the rest at checkout. A finding can say the cot is not in the room it was booked into, which is the complaint you would otherwise hear from the guest at nine in the evening.
  • Properties you manage for owners. Agencies carry the awkward conversations about a sofa or a rug. A dated photo per property, taken every changeover, ends most of them in one message.

Each finding names the property and the spot, the type of problem, how serious it is, the photo from last time next to this one, the time it was taken, and a suggested next step. It lands in the RapidEye dashboard, and in a Slack channel or an inbox for whoever runs the changeovers. Nothing goes back into Anytime Booking: the booking, the calendar and the housekeeper's assignment stay exactly as your team left them. Photos are the usual input, not the only one. How to connect Anytime Booking to RapidEye

  1. The properties you clean. Confirm which units, pitches, pods or properties in Anytime Booking you want checked, and who each one is assigned to. RapidEye follows the same arrivals, departures and changeovers your housekeeping notifications already go out on.
  2. Where the changeover photos come from. If your cleaners already photograph a finished unit on their phones, RapidEye reads those. If they do not, a RapidEye capture link goes out with the changeover instead: any phone, no app to install, a fixed set of angles per room, taken before the unit goes back on the calendar.
  3. Add RapidEye as a user. Anytime Booking allows unlimited users, each with its own access level. Add Rapid Eye with the email support@rapideyeinspections.com at the access level you would give a supervisor, and we take it from there.

How Anytime Booking runs a changeover, and where it stops

Anytime Booking is a Cornwall-built booking and management system for campsites, glamping sites, holiday parks and self-catering accommodation, and housekeeping in it is a communication layer rather than an inspection one. According to Anytime Booking's own product documentation (anytimebooking.co.uk), you can notify the housekeeping team of arrivals, departures and changeovers automatically, assign properties to individual housekeepers, and customise what they can see, from guest departure times through to special notes. You can also create logins for housekeepers, giving them a simplified view of their tasks without sensitive guest or owner details. Scheduled arrival and departure reports go out to the team with no booking system access needed, and housekeeping reports sit in the same reporting set as cashlists, owner statements and DAC7 owner income reporting.

Which means three different people look at the same changeover through three different windows, and none of those windows shows the room.

  1. DepartureThe guest leaves. Anytime Booking has the departure time, and the housekeeper has been notified.
  2. The unit as it was leftThe first photos of the changeover. RapidEye compares them with the last clean set for that unit and attributes anything new to the stay that just ended.
  3. The cleanWorked from the assigned task, with whatever special notes you chose to share.
  4. The unit as it was finishedThe second set. RapidEye reads it for the things a checklist cannot verify: a bed made over a stained sheet, streaked glass, a bulb still out, a room with no photo at all.
  5. Back on the calendarThe unit is available again, and the next arrival is often the same afternoon.

Can you attach photos to a changeover in Anytime Booking?

No page describes it. Anytime Booking's product pages cover housekeeper notification and login, per-property assignment, control over what a housekeeper sees, task reminders, user access controls from wardens to booking managers, unlimited users with different access levels, and a full reporting set including housekeeping reports. Not one of them describes attaching a photo to a changeover, a property or a task, and the housekeeper's own view is explicitly a simplified list of tasks. The photos exist anyway, because cleaners take them: on a phone, in a WhatsApp thread, in a camera roll nobody opens until a guest complains. RapidEye reads them where they already are, or supplies a capture link that opens on the same phone with nothing to install, and gives the changeover the half it has always been missing.

Does RapidEye integrate with Anytime Booking?

Yes. RapidEye reads your unit and property list and the arrival, departure and changeover dates from Anytime Booking, together with the photos your cleaners take, and returns a finding per problem: new damage, a missed clean, a missing item, a maintenance issue, with the photo from the last changeover beside the one from this one. Your bookings, calendar, housekeeper assignments and reports are untouched.

Can housekeepers upload photos in Anytime Booking?

Anytime Booking's own pages describe housekeeper notifications, per-property assignment, control over what a housekeeper can see, and optional housekeeper logins with a simplified view of their tasks. None of them describes attaching a photo to a changeover. So the photos your cleaners already take on their phones live in a chat thread or a camera roll. RapidEye reads those, or supplies a capture link that opens on the same phone.

Does a housekeeper login prove the unit was cleaned?

It proves the job was seen and worked. The housekeeper login gives a simplified view of assigned tasks without sensitive guest or owner details, which is the right amount of information for the person doing the work and no information at all about the condition they left behind. The photo is the only part of a changeover that is evidence, and RapidEye is what reads it.

Will RapidEye change a booking or a report in Anytime Booking?

No. RapidEye writes nothing back. It does not move a booking, block a unit, edit a housekeeping report or alter a housekeeper's assignment. Findings land in the RapidEye dashboard, and in a Slack channel or an inbox if you want them there, and what happens next on the park is your decision.

Does this work for pods, huts and pitches, not just cottages?

Yes. Anytime Booking runs camping and touring pitches, glamping, holiday parks, self-catering properties and motorhome hire in the same system, and a pod, a shepherd's hut and a two bedroom cottage are all just spaces with a standard they are supposed to meet. RapidEye learns each unit from its own history, so a hut is judged against that hut.

We are an agency managing owners' properties. Does that change anything?

It makes the record more valuable. An owner asking what happened to their sofa is the moment an agency needs a dated photo and a finding, not a memory of a changeover eleven weeks ago. RapidEye keeps that per property, ready to send, while Anytime Booking keeps doing owner statements and the owner portal.
