What a Mobile Working visit captures

Overview

Aareon is built to capture evidence on a visit, and it captures a great deal of it. What no part of the estate does is read it back. A housing officer or an operative opens the Mobile Working app, works through a form, photographs what they found, and the record updates against the property. That photo is now filed correctly and permanently, and from that moment nobody looks at it again unless a complaint, a dispute or an ombudsman case forces someone to go digging. RapidEye reads the property and tenancy list from your Aareon system so every finding lands on the right home, reads the photos those visits already produce, and returns a finding per home with the earlier photo of the same spot beside the new one.

How it works with Aareon

Aareon sells Mobile Working as module packages, so the checks follow the module the visit belongs to. The examples below are the ones housing teams ask about first; they are not the edge of what RapidEye reads. If your teams capture video walkthroughs or scans instead of stills, or you want findings scored against a standard of your own rather than ours, that is a setup conversation, not a limit.

  • Void properties. The gap between the last tenancy's photos and the void visit is where the whole recharge argument lives. RapidEye returns what changed in that window: a missing hob, a burnt worktop, a lifted vinyl, a bathroom signed off but not cleaned, each with both photos and the dates on either side.
  • Repairs. A job closed as complete comes back as a photo of the repair. RapidEye reads whether the work in the photo matches the work on the order, and flags the ones where the photograph shows the same defect it showed before the operative arrived.
  • Hazards. Damp and mould are the case where the photograph is the evidence and the delay is the liability. RapidEye reads the visit photos for spread against the earlier photo of the same wall, so growth between two visits is a finding rather than a memory.
  • Compliance. A safety visit photographs an appliance, a detector, a cupboard. RapidEye checks that the thing the form says was inspected is in the photograph, and that the photograph is of this property rather than a reused one from the round.
  • Stock and estate management. Communal areas, bin stores, stairwells, external areas. Nobody raises a job for a stairwell nobody was asked about, so RapidEye reads the estate photos against the last set and names what has degraded since.
  • Tenancy services. Sign-ups and settling-in visits are the only chance to record a home's condition at the start of a tenancy. RapidEye turns that set of photos into the baseline every later visit is read against.

Each finding names the property, the spot, the type of issue, how serious it is, the earlier photo beside the new one, and a suggested next step. It lands in the RapidEye dashboard, and in an inbox or a Teams channel for the housing office if you want it there. What happens next in Aareon is your call: RapidEye does not raise the job, hold the void or start the recharge.

How to connect Aareon to RapidEye

  1. The Aareon system that holds your homes. QL, ActiveH Web or HomeMaster, whichever one your organisation runs. That record decides which property each finding lands on, so the addresses and tenancy references need to be the live ones rather than a spreadsheet export.
  2. The photos your visits already produce. If your field teams run the Mobile Working app, or your contractors upload through the Contractor Portal, RapidEye reads what those visits produce. Where a visit type has no photos today, RapidEye sends a capture link that opens on any phone with no app to install: a fixed set of angles, taken before the job is closed.
  3. A conversation with us. Tell us you run Aareon, how many homes, and which visits you want read first. On first connection RapidEye reads the photo history you already hold to build a baseline for each home, so the first findings arrive with something to compare against.

According to Aareon's UK product documentation (aareon.co.uk), Mobile Working "enables teams to capture evidence, complete work and update records at the point of service", connected directly to the housing management system, and it is licensed as module packages rather than as one app. You buy the modules your services need and configure the forms and workflows behind them. Aareon names its customer Cross Keys as one that configures those modules for inspections and tenancy sign-ups, and One Manchester as one whose own experts build further with the forms and workflow designer.

Aareon describes the app as running on Apple, Android and Windows devices, working offline, and using standardised forms and workflows to reduce complexity. All six packages sit on the Versaa platform, which is also what the QL support portal is named after.

What happens to a photo after the visit

Aareon's own product pages describe the first three steps of the life of a visit photograph precisely, and stop.

The evidence exists and goes unread until a complaint, a dispute or a case makes someone go digging for it.

Does Aareon already review photos with AI?

Not condition, no. Aareon's UK product family includes two AI products it describes plainly: Aidenn Repairs, which its product menu calls video and AI repairs diagnostics and triage aimed at improving first-time fix, and Aidenn Compliance, described as a document assistant that reads compliance documents for block managers on the Fixflo platform. Both act at the front of the process, on what a tenant reports or what a certificate says. Neither is described as reading the evidence photographs a completed visit produced and telling you the home's condition changed. That is the seat RapidEye takes, and it is the one where the incentive problem lives: the person photographing the job is the person whose work the photograph is evidence of, and the person who needs the truth is back at the office.

Does RapidEye integrate with Aareon?

Yes. RapidEye reads the property and tenancy list from your Aareon housing management system, and reads the photos your field teams and contractors capture on a visit. It returns a finding per home: damage, a hazard, work that is not finished, a missing item, with the earlier photo of the same spot beside the new one. Nothing in Aareon is changed.

Does Aareon Mobile Working store photos against a property?

Yes. Aareon describes Mobile Working as letting teams capture evidence, complete work and update records at the point of service, connected directly to the housing management system. What its documentation does not describe is anyone reading that evidence afterwards. The photos are filed against the property and the job, and they stay there.

Can RapidEye check a void before it is signed off?

Yes. Void properties is one of the Mobile Working module packages. RapidEye reads the void visit photos against the photos of the same home from the previous tenancy and the last void, and returns what changed: a missing appliance, a damaged worktop, a lifted floor, a bathroom that was signed off but not cleaned.

Will RapidEye write anything back into QL, ActiveH or HomeMaster?

No. Your Aareon system stays the single source of truth for properties, tenancies, jobs and compliance records. RapidEye reads and reports. A housing officer or asset coordinator decides whether a job is raised, whether a void is held, and whether a recharge is pursued.

Does this work if our contractors take the photos rather than our own staff?

Yes, and it is the case where it matters most. A contractor closing a job has a reason to shade the report, and the housing officer is not on site. RapidEye reads whatever the contractor uploads through the Contractor Portal or a capture link and returns findings on the same home, with the earlier photo beside the new one.

We capture video walkthroughs rather than photos. Can RapidEye use those?
