How a Q Ware work order carries photosOverview
Q Ware gives a photo a permanent home; it does not give anybody time to look at it. Attachments ride on the work order, images sit in a thumbnail reel on the asset record, and the audit log says who changed what and when. Two years in, a district with sixty buildings has a genuinely good photographic record of its own condition and no realistic way to read it. RapidEye reads the buildings, locations and assets in Q Ware together with those photos, and returns one finding per issue against the same asset the work order was tracked to.
How it works with Q Ware CMMS
Q Ware is modular, so the checks follow the modules a facilities team actually runs.
- Requested work orders. An occupant reported something through the request form and a technician closed it out. RapidEye reads the attachments and reports whether the repair is finished to standard and what else is visible in the frame: the water stain above the fix, the missing ceiling tile, the exit sign that is out.
- Scheduled PM work orders. Work Scheduling generates the same job against the same asset on a fixed cadence, which is the most valuable photo set in the building. RapidEye compares this round with the last several and reports the drift, not just today's picture.
- Checklists and task verifications. A verification is a checkbox, a dropdown or a typed value, and Q Ware logs who set it. The photos from that work order either agree with it or they do not, and the finding says which.
- Asset records. Q Ware tracks every work order against its asset and keeps the images in a reel at the top of the record. RapidEye reads that reel as a timeline: when the corrosion started, when the guard went missing, how the room around the asset has changed.
- Issues reported on an inspection. Q Ware lets a technician type an issue found into a task verification for an administrator to turn into a corrective work order. RapidEye adds the issues nobody typed, because they were photographed and not noticed.
Each finding names the building, the location, the asset, what kind of problem it is, how serious it is, the photos it came from and a suggested next step. It lands in the RapidEye dashboard and, if you want, a channel or an inbox for the maintenance office. Nothing writes back: your administrator decides whether a finding becomes a follow-up work order in Q Ware. And if what your team captures is not photographs, a video walkthrough of a mechanical room, a 3D scan of a wing, an inspection format your district wrote itself, that is a setup conversation rather than a limit.
How to connect Q Ware CMMS to RapidEye
- Your Q Ware locations and assets. Buildings, locations and asset records as they stand today. Assets that already carry photos give RapidEye a baseline on day one rather than in three months.
- The photos on the work. If your technicians already add attachments to work orders and asset records, RapidEye reads those. If they do not, RapidEye sends a capture link that opens on any phone with no install, and the photos come back against the same building and asset.
- A Q Ware user for RapidEye. Add RapidEye as a user in a group that can view work orders and asset records. Q Ware's user groups and privilege settings are configurable, so use whichever group already fits. The Connect button has the details.
How a Q Ware work order carries photos

Q Ware is a modular CMMS for facilities teams in schools, healthcare, municipalities, recreation and places of worship, and it runs in a browser on whatever device the technician is holding. Occupant

The manager's seat is the one that scales badly against photographs: bulk actions work on statuses and fields, and a report can count work orders, but no filter can tell you which of last month's attachments show a job that was not really finished.

Does Q Ware let you attach photos to work orders and assets?
Yes, in both places. Q Ware's documentation describes technicians adding attachments to their assigned work orders, an asset record with a designated area for documents and photos where images appear in a thumbnail reel at the top, and a document library holding images that can be assigned to work orders, assets and more. Its Asset Data Collection service even sends people on site to collect asset locations and photos for you, which tells you how much the product values a picture. What no CMMS does, by design, is form an opinion about what is in one. Q Ware's job is to make sure the photograph exists, is attached to the right asset, and can be found in two years. RapidEye's job starts there: reading them all, at the cadence your PM schedules already set, and telling you which ones deserve someone's attention.

Does RapidEye integrate with Q Ware CMMS?
Yes. RapidEye reads the photos your technicians attach to Q Ware work orders and the images on each asset record, along with the building, the location and the asset they belong to, and returns a finding per issue: damage, skipped work, a missing item or a safety risk, with the photos behind it. Your work orders, requests, schedules and asset records are not changed.
Can you attach photos to a Q Ware work order?
Yes. Q Ware's documentation says technicians can add comments, attachments, inventory and labor hours to an assigned work order, and that files in the Q Ware document library can be assigned to work orders, assets and more. On an asset record the images appear in a thumbnail reel at the top. So the pictures exist; what does not exist is the hour a week it would take to look at them.
What does RapidEye do with a task verification that was checked off?
It checks the checkmark. A Q Ware checklist task carries a verification field, a checkbox, a dropdown or a typed value, and Q Ware logs who set it and when. RapidEye reads the photos from the same work order and says whether what is in the picture matches what was verified, naming the building and the asset so a supervisor knows where to look.
Does this work for preventive maintenance work orders as well as requests?
Yes, and PM work is where it earns its keep. Q Ware schedules generate PM work orders automatically against an asset or location, which means the same asset is photographed on a fixed cadence.
