What fills the Photos tool

Overview

The Photos tool is an archive, and an archive is only worth what somebody reads out of it. Procore describes it as a way to capture, store and share project photos in a secure online archive, from a phone, a tablet or a computer, with unlimited storage, albums, location stamps and per-team access. It fills from every direction at once: a photo added to an Observation or an Inspection populates there, punch items carry photos, and photos can be sent on to the Daily Log. On a live job that is thousands of frames a month against one project engineer's attention. RapidEye reads all of them and returns findings.

How it works with Procore

Because everything drains into the Photos tool, one connection covers the tools your team is actually using. What differs is the question each kind of photo was taken to answer.

  • Daily site photos. The largest pile and the least read. RapidEye works through it by location, so the thing nobody noticed on the day, a stripped section left unsheeted, standing water at a slab edge, comes back with the date it first appeared.
  • Observation photos. Observations cover quality, safety, commissioning, warranty and work to complete, and the photo attached to one is a person's answer to a specific question. RapidEye reads the same frame for everything else that is in it.
  • Inspection photos. A photo added to an Inspection populates in the Photos tool, which means the evidence behind a pass is readable. Where the frame does not support the response beside it, that surfaces as a finding rather than as a surprise at closeout.
  • Punch items. Photos attached to punch items from the mobile app are read as before and after: the item as raised, and the item as photographed when it was closed. A punch item closed on a photo that shows the same defect is exactly the sort of thing that only shows up under a deadline.
  • Safety on ordinary photos. Missing edge protection, an unbraced ladder, a blocked egress, caught in a progress photo taken for another reason entirely.
  • Handover and claims. Dated site evidence is what a delay or damage argument turns on. The findings give you the last day an area looked one way and the first day it did not, both frames attached.

Each finding names the project and the location, where in the frame, the kind of issue, how serious it is, both photos, and a suggested next step. It lands in the RapidEye dashboard and, if you want it, a Slack channel or an inbox for the project team. Whether that becomes an Observation, a punch item or a phone call to a sub is your team's decision, made in Procore. Photos are the common input and not the only one: if a job is captured on 360 walkthroughs, drone imagery or video, that is something we set up with you.

How to connect Procore to RapidEye

  1. Pick the projects. Most teams start with the one job where the archive is largest and least read, then add the rest once the findings prove out.
  2. Keep photographing into the Photos tool. Including everything that populates there from Observations, Inspections and punch items. Location stamps and albums make the comparisons sharper, but nothing needs reorganising first.
  3. Add RapidEye to the Project Directory. Read Only on the Photos tool is the permission this needs. The modal has the name, the email and the path.

What fills the Photos tool on a Procore project

Most people picture the Photos tool as the place field staff upload from their phones, and it is, but that is a minority of what ends up there. According to Procore's help centre documentation (procore.com), the tool is fed by several other tools by design, which is the part worth understanding before you judge how big your archive really is.

Photos also travel the other way: Procore documents sending photos from the Photos tool to the Daily Log, which is how a day's record ends up with pictures attached.

What about Analyze Photos with Assist?

It is a genuinely useful feature and it answers a different question. Procore documents Analyze Photos with Assist as a way for project and safety managers to summarize progress and assess safety hazards from selected images, up to forty per page, returning a Progress Summary of visible work completed or ongoing, or a Safety Summary highlighting visible hazards, PPE usage or unsafe conditions. It is the fastest way to write up a walk you just did, and Procore is direct that the output should be reviewed for accuracy. What it does not attempt is the archive as a whole, or the same location across time. RapidEye reads every photo without anyone selecting a set, holds each location's history, and reports the difference between this frame and the last one taken from roughly the same spot. Summarizing a set and detecting a change are two jobs, and a project that wants both is not being greedy.

Who can see a finding?

Whoever you decide, and Procore's own permission model is a good guide to it. The Photos tool has four permission levels, None, Read Only, Standard and Admin, plus granular permissions for things like creating an album or viewing private photos. RapidEye needs Read Only, which Procore describes as viewing and downloading, because reading is all it does. Findings go to the people you nominate, not to the whole Directory, which matters on a job where a subcontractor sits in the same project as the owner.

Does RapidEye integrate with Procore?

Yes. RapidEye reads the images in the Photos tool on the Procore projects you choose, including photos that populated there from Observations, Inspections and punch items, along with the location, the date and who uploaded them. It returns one finding per issue: damage, unfinished work, a missing item or a safety concern, with the earlier frame of the same location beside it. Observations, Inspections, punch items, RFIs and Daily Logs are not created or changed.

How is this different from Analyze Photos with Assist?

They answer different questions. Assist summarizes a set of images you select, up to forty per page, into a progress or safety summary: a good way to write up a walk you just did. RapidEye works the other direction, reading every photo on the project without anyone selecting anything, and comparing each location to how that same location looked on earlier dates. One tells you what is in these pictures. The other tells you what changed, and when.

Does RapidEye read photos taken inside an Observation or an Inspection?

Yes, because Procore already routes them. A photo added to an Observation or an Inspection populates in the Photos tool, and photos can be sent from the Photos tool to the Daily Log. RapidEye reads the archive, so anything that lands there is read, whichever tool it came from.

Can a finding be used in a claim or a backcharge?

That is what dated site evidence is for. Each finding carries the project, the location, the two frames it is drawn from and the dates on them, so the record shows the last day an area looked one way and the first day it did not. Whether that becomes a backcharge, a warranty item or a conversation with a sub is your decision, made in Procore.

Which Procore permission level does RapidEye need?

Read Only on the Photos tool is enough. Procore documents four permission levels for Photos: None, Read Only, Standard and Admin. Read Only allows viewing and downloading and nothing else, which matches what RapidEye does. If your team also wants findings on private photos, that is a separate granular permission and worth a conversation first.

Do field teams have to change how they take photos?

No. They keep photographing from the phone, the tablet or the computer, into the same albums, with the same location stamps. RapidEye reads what arrives. Consistent locations and albums make the comparisons sharper, but nothing has to be reorganized first.
