What Landlord Studio stores about conditionOverview
Landlord Studio is where the money and the paperwork of a tenancy live, and condition arrives as an attachment. The maintenance request carries up to five images and a priority. The lease's Documents tab is where a move-in or move-out inspection report gets filed once you have made one. Reminders will tell you a quarterly inspection is due. None of those things looks at a picture, and at move-out that is the whole argument: what the room looked like on the day the tenant got the keys, against what it looks like now. RapidEye reads your properties and lease dates from Landlord Studio and the photos from those walkthroughs and requests, then returns a finding per room with both dated frames attached to it.
How it works with Landlord Studio
A tenancy in Landlord Studio has a shape: a lease with a start and an end, documents filed against it, maintenance requests raised during it, reminders that fire on a schedule. RapidEye reads condition at each of those moments.
- The move-in walkthrough. This is the baseline, and everything later is judged against it. RapidEye keeps the room-by-room set for that lease, so at move-out there is a matching frame for the scuffed hallway wall rather than a general memory that the flat was fine.
- Maintenance requests during the tenancy. A request holds up to five images, whether you created it or the tenant raised it from the tenant portal, and it is dated. A photo of a dripping trap sent in March is also a photo of the cabinet floor in March. RapidEye reads the whole frame, not just the thing the request is about, and dates what it finds to that month.
- The periodic inspection you set a reminder for. Landlord Studio will remind you quarterly. RapidEye turns the visit into a comparison: what has changed since the last visit, what has not been repaired since the last request, what is missing from the room that was there at move-in.
- The move-out walkthrough. Each room comes back as a short list rather than a folder. New damage, cleaning that was not done, an item gone, each one paired with the move-in frame of the same spot and both dates.
- The gap between tenancies. Photos taken after a turnover clean and before the next tenant arrives become the next baseline, which is what stops last year's damage becoming this tenant's problem.
A finding names the property, the room, the spot, the kind of issue, how severe it looks, the two frames it came from with their dates, and a suggested next step. It lands in the RapidEye dashboard, and in your inbox if you want it there. What you do with it in Landlord Studio is yours: a maintenance request, a document filed on the lease, a line in the deposit correspondence. Photos are the usual input and not the only one. A landlord who films a walk through the property on their phone, or a manager who wants findings scored against a condition report of their own design, gets that set up with us on the first call.
How to connect Landlord Studio to RapidEye
- Your properties and leases. The lease start and end dates in Landlord Studio are what a condition change gets attributed to, so a scratch that appeared in the last tenancy stays with the last tenancy.
- The walkthrough photos. Landlord Studio stores an inspection as a document on the lease rather than as a photo set, so RapidEye sends a capture link that opens on any phone with nothing to install: a fixed run of angles per room at move-in, the same run at move-out. The images on maintenance requests are read alongside them, and so are photos from an inspection app you already use.
- Add RapidEye as a user. In Landlord Studio, go to MORE, then Settings, then Users and Permissions, and invite Rapid Eye as a Standard User. The modal has the details.
What Landlord Studio stores about a property's condition

Landlord Studio is built for independent landlords around accounting, rent collection, screening and tax reporting, and the condition of the property shows up in three places around the edges of that. According to Landlord Studio's help centre documentation (landlordstudio.com), those three are the maintenance request, the Documents tab on a property or a lease, and the reminder. Each of them is well made for what it does; none of them is a record of what a room looks like.

- Up to five per request. A tenant raising a request from the tenant portal can attach up to five photos of the problem too, and you are notified by email.

What it can prove on its own: that somebody reported something and that somebody later moved the card to Completed. The five images are the only evidence in the record, and nothing in the product reads them.
- Property documents
- Ownership records, insurance, property maintenance reports and compliance certificates such as gas safety and electrical inspections. These carry across every lease on the property.
- Lease documents
- Lease agreements, move-in and move-out inspection reports, proof of renter insurance, tenant correspondence. Tied to the one lease.
- How they arrive
- Uploaded as files with an optional description, from a device or from cloud storage.
What it can prove on its own: that a report exists and which lease it belongs to. This is the one place Landlord Studio's documentation names a move-in and move-out inspection, and it names it as a file you produced somewhere else.

Does Landlord Studio have property inspections?
Not as a feature of its own, and it is straightforward about that. The help centre describes inspections in three ways: as a document category on the lease, as an example of what to set a recurring reminder for, and as a purpose you might be driving to the property for in the mileage tracker. Its own landlord tools article, which points readers at the software landlords use for each job, lists Landlord Studio for financials, screening and rent, and lists separate inspection apps under property inspections. So the shape of a Landlord Studio tenancy is that the inspection happens outside the app and the resulting file comes back in. That is a reasonable division of labour for a product built around accounting, and it leaves one thing unresolved. A PDF filed on a lease is a record that an inspection happened. The photographs are the record of what the property was like, and reading them at move-out, against the ones from move-in, is the work RapidEye does.

Yes. Your transactions, documents, maintenance board and reminders in Landlord Studio stay exactly as they are.
Does Landlord Studio have a built-in property inspection feature?
Not as its own module. Landlord Studio's help centre describes storing move-in and move-out inspection reports as documents on the lease, setting recurring reminders for inspections, and attaching up to five images to a maintenance request. Its own landlord tools article points readers at separate inspection apps. So the inspection is something you run outside the software and file inside it, which is the seam RapidEye fills.
Can RapidEye tell tenant damage from normal wear and tear?
It gives you what that argument is actually decided on: the same spot photographed at move-in and at move-out, side by side, with both dates and the lease they sit between. RapidEye reports what changed and how severe it looks. Whether a change counts as wear and tear is a judgement call and your local law's call, and RapidEye does not make it for you.
What happens to the five images on a maintenance request?
They get read. A maintenance request in Landlord Studio holds up to five images, whether the tenant raised it in the tenant portal or you created it yourself, and those photos are a dated record of the property mid-tenancy. RapidEye compares them to the move-in set, so a request about a leaking trap that also shows a swollen cabinet floor comes back with the second problem named.
I only own four rentals. Is this overkill?
Four rentals is four move-outs where the deposit conversation is one person's memory against another's. The work is not reading the photos of one unit; it is being sure at move-out that you have the matching move-in frame, in the same room, from the same angle, dated. That is the part RapidEye keeps for you.
Will RapidEye change anything in my Landlord Studio account?
