What an EZcare form can holdOverview
An EZcare form is a capture instrument. It is not a reader. EZcare, from HarmoniSoft, runs housekeeping, maintenance, inventory, linen and inspections for vacation rental and corporate housing operators, and almost everything the field does passes through a form built in its form builder: a format the vendor describes as flexible beyond a yes or no checklist, chosen from a library of hundreds or written for one property, carrying notes, photos and videos captured in an app that works whether or not the unit has signal. What comes back is a thorough field record and a growing pile of media whose meaning is still locked inside the images. RapidEye reads that media on every submitted form, compares each spot to how it looked the last time it was photographed, and returns the units worth walking.
How it works with EZcare
EZcare already ties each submission to a unit, a room and a person, so the checks follow the same divisions. These are the questions operators bring us most often, not the boundary of what can be asked.
- Turnover cleaning forms. The guest's stay sits between the media on the previous submission and the media on this one. A scorched worktop, a torn blind or a headboard scuffed to the wood comes back as a finding with the earlier photo of that exact spot beside the new one.
- Inspection forms. EZcare's builder can demand a photo on any field. RapidEye reads that photo against what the field was asking for, which is the part a tick can only assert: not that a photo of the shower exists, but that the shower in it is clean.
- Property attributes and room photos. EZcare stores rooms, amenities and property photos and notes for each unit, and staff can rename and reorder rooms to match how they work. That structure gives a finding a real address, so a report says which room in which unit rather than pointing at an image.
- Maintenance work orders. A tech photographs a repair before and after on the job. RapidEye reads both, so a completed work order carries a record of the condition it left behind and not only the parts and labour that were billed.
- Linen and inventory checks. EZcare tracks items by barcode or QR code from storage to unit. What a scan cannot see is the state of the thing that arrived: the stained duvet, the towel that has gone grey, the loaner appliance returned with a cracked lid. Those are photograph problems, and RapidEye reads them.
- Anything the owner is about to see. EZcare sends client-facing inspection reports and monthly activity summaries to owners. Knowing what is in the photos before that report goes out is the difference between sending proof and sending a surprise.
Every finding names the unit, the room, the spot, the type of problem, how serious it looks, the two pieces of media that prove it, and a suggested next step. Findings land in the RapidEye dashboard, and in a Slack channel or a shared inbox if your property care team wants them there. What happens next in EZcare, whether that is a new work order, a note on the form or a charge on a statement, stays your decision. And if your input is not a photo at all, a video walkthrough, a 3D scan or an inspection format your company already uses, that is something we set up with you rather than a reason the answer is no.
How to connect EZcare to RapidEye
- An EZcare account with your units and rooms set up. EZcare holds rooms, amenities and property photos per unit, and pulls reservation changes such as early check-outs and late check-ins from the PMS it is integrated with. What matters for RapidEye is that a submitted form carries the unit and the room it belongs to.
- Media fields on the forms you already run. The photos and videos your staff attach are what RapidEye reads. Consistency beats volume: the same handful of angles per room, lights on, every time. If a form carries no media field today, RapidEye can supply a capture link that opens in any phone browser with nothing to install.

What an EZcare form can actually hold

EZcare is property care and operations software for vacation rental, corporate housing and cleaning companies, and the form is the object everything else hangs off. According to EZcare's product documentation (ezcare.io), the form builder is deliberately not a checklist tool: the vendor describes a flexible format beyond yes and no, hundreds of ready-made forms in its library, and custom rules written per property. A submitted form is therefore a small structured document rather than a row of ticks, and it can carry all of this.
The mobile app that submits it is built for both online and offline use and syncs to the cloud when the connection returns, which is why a form still arrives intact from a unit with no signal.
Two things follow from that design. The first is that EZcare captures more than most platforms in this category, so an operator running it is usually sitting on a genuinely good media archive. The second is that the archive grows exactly as fast as the operation does, and the reading of it does not.
Where does a submitted form go next?
Into a workflow, which is EZcare's real trick. The vendor describes cleaning, inspection and maintenance connected by custom rules that can run in serial or in parallel, an issue reported in the app auto-creating a maintenance job, techs creating and submitting invoices from the jobsite, and labour and parts uploading automatically to the PMS and on to owner statements.
Every link in that chain is automatic except the first one. A cost only reaches an owner statement because a human looked at something and decided to raise an issue, and on a Saturday of back-to-back turns that human is a cleaner near the end of a long day, deciding what is worth typing up. Everything they do not raise stays a photograph in a submitted form, unread, and unbilled.
Does EZcare analyse the photos on a form?
It does not claim to. EZcare's product pages describe form building, required fields, instant issue reporting, offline capture and sync, geocode tagging, inventory scanning, professional client-facing reports and a two-way PMS integration. Those are capture, routing and reporting controls, and they are strong ones. Nothing on those pages describes reading the contents of an image and deciding whether a room is clean, whether an item is missing, or whether something is damaged that was not damaged before. That judgment is still a person opening submissions one at a time, and it is the part that does not scale with the portfolio. That is what the integration adds.

Does RapidEye integrate with EZcare?
Yes. RapidEye reads the photos and videos your staff attach to EZcare forms, together with the unit, the form that was used, the room it belongs to and the person who submitted it, and returns a finding on every submitted form: what is damaged, what was not cleaned, what is missing, with the earlier photo of the same spot beside the new one. Your forms, workflows, inventory records, work orders and owner statements are untouched. RapidEye writes nothing back into EZcare.
We already built strict inspection forms in EZcare. Why add anything?
A form controls what gets captured, not what gets read. EZcare's builder can require a photo on any field, and it will faithfully collect that photo on every unit, every day of the season. The photo then sits in a submitted form waiting for a human, and a manager with forty submissions in the queue reads the ones with a comment typed in them. RapidEye reads all of them, including the ones nobody flagged, which is exactly where a quiet problem hides.
Does RapidEye read videos as well as photos?
Yes, and on this platform it matters. EZcare says its forms carry photos and videos, so a team that walks a unit on video is already producing the richer record. A walkthrough covers the corners, the ceilings and the spots nobody thinks to frame, and RapidEye reads it the same way it reads a still: room by room, spot by spot, against how that spot looked last time.
Can RapidEye tell whether a unit marked ready in EZcare is actually ready?
Yes, from the media on the form. A completed EZcare form records that a person went through the fields and submitted it, which is a statement about the process. RapidEye reads what the attached photos and videos show and reports the gap: a bathroom mirror still streaked, a sofa cushion stained, a smoke alarm cover hanging off, a room the media never covered at all.
Our field crews lose signal in some units. Is that a problem?
No. EZcare's mobile app is built to work online and offline and to sync to the cloud when the connection returns, so the media reaches the form whatever the wifi in that unit was like. RapidEye reads the form once it has arrived, so a slow sync delays a finding rather than losing one.
Does this only work on inspection forms?
No. Any EZcare form that carries media can be read, which in practice means cleaning forms, inspection forms, maintenance work orders and linen and inventory checks. RapidEye also reads video walkthroughs and 3D scans where a team captures them, and it can be pointed at a standard of your own rather than a general one.
