How a Doinn job summary is built

Overview

Doinn's job summary proves a service happened. It does not tell you what the photos in it show. Doinn dispatches cleaning and maintenance services against your PMS reservations, walks the worker through a checklist in the Doinn app, and closes the service into a job summary carrying the checklist result, the duration, the notes and the photos, each with a date and time stamp that cannot be edited. That is a complete record of the work and a genuinely good one. It is still a record a person has to open, one service at a time, on the day of the week when nobody has time to. RapidEye reads the photos on every job summary in the account, compares each spot to how it looked the last time it was photographed, and reports the services worth a manager's attention.

How it works with Doinn

Doinn already organises the work into services with a type, a property, a checklist and an assignee, so the checks follow the same shape. What is below is a sample of the questions operators ask us most, not a list of the only things that can be asked.

  • Turnover cleanings. The guest's whole stay sits between the photos on the last job summary and the photos on this one. A scorched worktop, a chipped basin or a headboard scuffed through the paint comes back as a finding with the earlier photo of that exact spot beside the new one, and the reservation that ran between them.
  • Checklist items with a photo attached. Doinn lets you build checklists with conditional logic and require an item before the service can close. RapidEye reads the photograph the worker attached to that required item and says whether it shows what the item asked for, which is the half a tick box cannot cover.
  • Mid-stay cleanings and linen changes. Doinn schedules these on their own cadence. The photo from a mid-stay service is where a bed that was not stripped, a bin left full or a bathroom that was skipped shows up while the guest is still in the property and something can be done.
  • Issue tickets. Doinn's tickets already carry categories for missing items, damages and generic issues. RapidEye works the other direction: it finds the missing lamp, the second crock pot that appeared, the broken blind slat in a photo where nobody opened a ticket, and hands your coordinator the evidence to open one.
  • Job summaries you share with owners. Doinn can share a job summary as a link to a customer or owner. Knowing what is in the photos before that link goes out is the difference between sending proof and sending a surprise.
  • Properties with more than one provider. Doinn lets you onboard outside cleaning companies and keep them scoped to their own jobs. Findings roll up by property and by the worker the service was dispatched to, so a pattern in one crew shows up as a pattern rather than as an argument.

Every finding names the property, the room, the spot, the type of problem, how serious it looks, the two photos that prove it, and a suggested next step. Findings land in the RapidEye dashboard, and in a Slack channel or a shared inbox if your operations team wants them there. What happens next inside Doinn, whether that is reopening a service, raising a ticket or adjusting a score, is entirely your call. And if the input is not photographs at all, a video walkthrough, a 3D scan or an inspection format your company already uses, that is something we set up with you rather than a reason the answer is no.

How to connect Doinn to RapidEye

  1. A Doinn account with your properties in it. Doinn creates services automatically from PMS reservation data or from recurring dates, so what matters is that the properties you clean are already in the account and a service carries the property it belongs to.
  2. The photo step your workers already complete. Doinn prompts for photos and notes before a service can move to Done, and those photos are what RapidEye reads. Consistency helps more than volume: the same handful of angles per room, lights on, every time. If a crew skips the step today, RapidEye can supply a capture link that opens in any phone browser with nothing to install.
  3. Invite RapidEye as a member. Doinn adds people from the People tab, with a role chosen at the moment of invitation. The modal has the exact path and the address to use.

What a Doinn service carries by the time it says Done

Doinn is a property operations platform for short-term rental managers and the cleaning companies that serve them, and the service is its unit of work. According to Doinn's help centre documentation (doinn.co), a service that is scheduled and ready shows as confirmed, moves to on going when the worker starts it in the Doinn Operations App, and can only reach done after two prompts: the app first reminds the worker that a checklist is attached and must be completed, then asks for photos and notes. The moment it turns done, Doinn generates the job summary. Here is what that record holds.

Doinn's own product pages call the timestamped image its quality assurance seal, and the claim they make for it is precise and fair: proof of the property's condition at the time of service, enough to settle a damage dispute. That is an evidence claim, not an inspection claim. The photograph is admissible. Nobody has looked at it.

Who in a Doinn account can see the photos at all?

Fewer people than you would guess, and that is by design. Doinn's help centre documentation (doinn.co) sets out a role per member, chosen from the Role menu when the member is created, and each role draws a different line around the operation.

  • Account ownerThe highest level of account settings, full access, and the ability to add other account owners.
  • AdminAccess to all features, and can add other admins, managers and coordinators.
  • ManagerProperties, checklists, integrations, automations, reservations, reports and issues. Cannot dispatch jobs to service workers.
  • Operation representativeThe manager's permissions without access to financial information such as reports or invoices.
  • CoordinatorThe field side: dispatching jobs, catalogues, teams, assigning properties and workers, inviting customers.
  • SupervisorThe coordinator's permissions minus catalogues, customers and financials. Doinn's own example for this role is a pre-inspection manager.
  • Service workerOnly the properties and jobs sent to them, through the Doinn app, plus checklist items, service notes and messaging.

Read that ladder next to a Saturday of same-day turnovers and the shape of the problem is obvious. The people with the authority to act on a bad photo are the ones furthest from it, the person who took it sees only their own job, and the supervisor in the middle is driving between properties. RapidEye sits where the ladder does not reach: it reads every job summary in the account regardless of who was going to open it, and puts the handful that matter in front of the person who can do something about them.

Does Doinn check the photos it collects?

It checks that they exist. Doinn's product and help pages describe mandatory checklist items, a prompt for photos before a service can close, the un-editable date and time stamp, a 1 to 10 score a human enters afterwards, and analytics that surface which properties generate the most issues. Those are completeness and process controls, and they work. None of the pages describes anything that reads the contents of an image and says whether the room is clean, whether an item is missing, or whether something is damaged that was not damaged before. That judgment is still a person scrolling a gallery, and it is the one thing that does not scale with the portfolio. That is what the integration adds.

Does RapidEye integrate with Doinn?

Yes. RapidEye reads the photos your team uploads at the end of a Doinn service, together with the property, the service type, the checklist that was applied and the worker it was dispatched to, and returns a finding on every job summary: what is damaged, what was not cleaned, what is missing, with the earlier photo of the same spot beside the new one. Your services, checklists, automations, issue tickets, scores and invoices stay exactly as they are. RapidEye writes nothing back into Doinn.

Doinn already collects photos with un-editable timestamps. What does RapidEye add?

Doinn settles the question of when a photo was taken and at which service. It does not settle what the photo shows. A stamped photo of a bathroom is proof somebody photographed that bathroom, not proof the bathroom is clean, and on a Saturday of back-to-back turnovers nobody opens every job summary to look. RapidEye reads all of them and reports the ones that need a person.

Can RapidEye check a Doinn service that is already marked Done?

Yes. In Doinn a service moves to Done once the worker has completed the checklist and added the photos and notes the app asks for, so Done records that the work was declared finished. RapidEye reads the photos on that job summary and reports what they show: a stained mattress protector, a burner still greasy, a lamp that is no longer in the room, a bed made wrong. A room the photos never cover is reported as not covered.

Does the score in the job summary change?

No, and RapidEye does not set it. Doinn lets a reviewer score a completed service from 1 to 10 and averages that per staff member. RapidEye gives the person doing the scoring something to score from, because every job summary arrives already read, with the specific spots that failed. Whether the score moves is still a human decision made inside Doinn.

Our cleaners work in several languages. Does that matter?

Not for the findings. Doinn translates chat and lets each worker use the Doinn app in their own language, and RapidEye reads the photographs rather than the notes, so a finding does not depend on how well a note was written or which language it was written in. Findings come back in the language your operations team works in.

Does RapidEye only read photos from turnover cleanings?

No. Any Doinn service that ends with photos can be read, including mid-stay cleanings, deep cleanings, linen changes and maintenance jobs. RapidEye also reads video walkthroughs and 3D scans where a team captures them, and it can be pointed at a standard of your own rather than a general one. If the check you want is not on this page, it is a conversation, not a limit.
