Overview

MobileLink already solved the capture problem for enterprise rental. What is left is a reading problem. RentalMan runs the whole rental lifecycle for large multi-branch companies, from quote and contract through service and invoicing, and MobileLink puts check-in, check-out, image capture and signatures on a phone in the yard. Those images are time stamped, stored against the transaction, and, at a hundred locations turning units every day, almost never opened again. RapidEye reads them all, with the asset, the contract dates and the branch attached, and returns one finding per issue.

How it works with Wynne RentalMan

A unit on RentalMan passes through a small number of moments where somebody is standing next to it with a phone. Those are the moments that produce frames, so those are the moments RapidEye reads.

  • Staging. The set that decides what you can bill for later. RapidEye reads it as a condition statement for that contract and records what was already on the unit before it left the yard, down to the dented panel that has been there for three seasons.
  • Delivery and pickup. The driver app captures photos, condition and a signature at the jobsite. Those frames tell you whether the machine arrived the way it left the yard, and whether it had already been chewed up before your truck got there.
  • Return and check-in. The frames every damage recovery team wants read. A cracked boom light, a torn operator seat, a missing outrigger pad, a bent handrail comes back as a finding naming the unit, the spot, the severity, and the two sets it sits between.
  • Service. Photos taken around a work order are the only dated evidence that a repair happened and that the machine came back different. RapidEye keeps the before and the after against the unit, so a warranty or billback conversation has something to point at.
  • Missing attachments and readiness. Forks, a jib, a bucket, a manual in the cab holder, a fire extinguisher, a hose that walked off at the last jobsite. Not damage, and the thing that generates a phone call. These findings are typed separately so they route to the yard rather than the billing desk.
  • Coverage of the capture itself. When an angle is dark, blurred or simply not there, RapidEye names it, so a unit gets rewalked before it goes back on rent instead of after the argument starts.

Every finding names the unit, where on the machine, the kind of issue, how serious, the frames on either side of it, and a suggested next step. Findings land in the RapidEye dashboard and, if you want them there, in a Slack channel or a branch inbox. Nothing is decided for you: your yard, service and billing teams choose what becomes a work order or a chargeback inside RentalMan. And this list is examples, not a boundary.   2. The condition images already in MobileLink. Wynne describes image capture at staging and return, time stamped and stored against the transaction. Where RentalMan captures condition, and where it stops

RentalMan is Wynne's flagship system for enterprise equipment rental, and Wynne is explicit about the kind of operator it is built for: complex rental workflows, contracts that change constantly, service prioritisation, equipment transportation, and visibility across dynamic multi-branch organisations. MobileLink is the piece that reaches the people touching the machines. According to Wynne's product documentation (wynnesystems.com), MobileLink extends RentalMan to field, yard and counter teams with quick check-in and check-out, image capture, signature capture and customer database access, and Wynne describes the image capture in exactly the terms a damage recovery manager would use: document equipment condition during staging and return, to support damage claims and reduce disputes.

Follow one unit through a contract and the camera comes out at four points.

  1. StagingImages capturedThe unit is prepared against the contract in the yard and photographed before it goes anywhere. This is the condition statement everything later is argued against.
  2. DeliveryImages capturedThe Logistics Solution driver app carries assignments, navigation, digital signatures and image uploads, with on-site photo, condition and signature capture at the drop.

What do the images do after they are stored?

They wait for a question. That is not a criticism of MobileLink, which does the hard part: it gets a phone into a yard worker's hand, makes capture fast enough to survive a busy Monday, and files the result against the right transaction with a time stamp on it. Wynne's documented outcomes are about speed and settlement, faster check-in, faster contract close, faster fee collection, and the evidence being there when the argument starts is genuinely most of that battle.

What no page in Wynne's product documentation describes is anything reading the frames on its own. Reporter, the business intelligence layer, blends structured data from RentalMan, RentalResult and EquipFlows into dashboards; images are not that kind of data. So a fleet of ten thousand units running through dozens of branches accumulates a very large, very well organised archive that only gets opened once a dispute has already happened, which means the damage nobody thought to dispute is never found at all. That is the shape of the gap, and it belongs to the volume rather than to the software. RapidEye reads every set as it lands, holds a baseline per unit rather than per contract, and reports damage, missing attachments, wear and service issues against the standard your business sets, so the finding arrives before the invoice does rather than after the customer's email.

Does RapidEye integrate with Wynne RentalMan?

Yes. RapidEye reads the condition images your teams capture in MobileLink and the driver app at staging, delivery, pickup and return, together with the asset, the contract, the branch and the time stamps RentalMan holds. It returns one finding per issue, naming the unit and the frames the issue sits between. Nothing in RentalMan is edited: the contract, the asset record, the work order and the invoice stay as they are.

What does RapidEye read from MobileLink?

The images. Wynne describes MobileLink image capture as documenting equipment condition during staging and return, time stamped and stored, to support damage claims and reduce disputes. RapidEye reads those frames per unit and per contract, along with the images the Logistics Solution driver app captures on delivery and pickup, and compares them with everything that unit has looked like on earlier contracts.

We run dozens of branches. Does that change anything?

It is the reason to do it. RentalMan is built for multi-branch enterprise rental companies, and a fleet that size produces more condition images in a week than a damage recovery team can open in a month. RapidEye reads every set rather than the ones somebody had time for, and reports per branch so you can see which yards photograph well and which units keep coming back marked.

Will RapidEye create damage charges or work orders in RentalMan?

No. RentalMan stays the system of record and your people stay in charge of the money. A finding arrives with the unit, the spot on the machine, the severity, the staging and return frames and a suggested next step. Whether it becomes a work order, a chargeback or nothing at all is decided by your yard, service and billing teams inside RentalMan.

Can RapidEye read video walkarounds instead of photos?

Yes. Photos are the easiest starting point because MobileLink already captures them, but RapidEye reads whatever documentation a team produces, including video walkarounds and 3D scans, and reports against the standard you hold your fleet to. If a branch wants to trial a walkaround video on returns while the rest keep photographing, both are read the same way.
