How it works with Point of Rental
A rental yard already has a shape to its day, and the checks follow it rather than adding one. Every place your team is asked for a photo becomes a place a finding can come from.
Check-out on delivery. The driver photographs the machine before the customer signs. RapidEye files those frames as the state this contract started in, which is the only thing that makes a later charge defensible.
Check-in on pickup. The comparison the yard never has time to make. A gouged boom section, a cracked lens, a missing pin, a bent rail on a scaffold tower: each comes back named, located on the unit, and rated, with both photos attached.
Ready Tag. The confirmation that an item is functional, clean, fueled and up to your condition standards happens in seconds on a phone. RapidEye reads the same photo against what that item looks like when it genuinely is ready, and says when a unit went back on the shelf with dried concrete on the outriggers.
Inspection App checklists. Photos collected as a checklist response are checked against the question they answer. If the checklist asks about hydraulic leaks and the photo shows a wet stain under the cylinder, the yes is contradicted.
Work orders and service. Photos taken while an internal repair or maintenance order is open give a before and an after for the work, so a unit's repair history has pictures and not only labor lines.
Fleet condition over time. Read across a category, the findings say which units are aging badly, which customers return equipment rough, and which yard is letting things through.
Each finding names the item and the contract, where on the unit, the kind of problem, how serious it is, the out and back photos, and a suggested next step. It lands in the RapidEye dashboard and, if you want it, a Slack channel or an inbox for the yard. What that turns into inside Point of Rental, a damage charge, a repair order, a note on the customer, is your call. Photos are the common case, and they are not the limit: if your team walks a machine on video, scans a trailer, or runs a condition form of your own, that is something we set up with you.
How to connect Point of Rental to RapidEye
Pick the item categories. Most yards begin with the units that generate the damage arguments: aerial and access, compact machines, trailers, light towers. The rest of the catalog can follow once you trust the findings.
Point RapidEye at the photos. Condition photos captured on check-out, check-in, a Ready Tag or an Inspection App checklist are the input. If a category is not photographed yet, RapidEye sends a capture link that opens on any phone, no app to install, with a fixed set of angles per unit.

Point of Rental has been building rental software for over forty years and the catalog reflects it: Elite for large, complex, rental-first operations, Essentials for cloud-native yards, and Point of Rental One as the mobile app that runs alongside either one. According to Point of Rental's product documentation (point-of-rental.com), condition documentation is not one feature in one screen. It is spread across four surfaces, each attached to something different, which is worth knowing before you go looking for a photo six months later.
Check-out and check-in
Point of Rental One
Drivers and dispatchers see routes and arrival windows in real time and complete check-out and check-in with photos and notes that track damage. Signatures and detailed notes go on the same record, so, in Point of Rental's words, every contract carries its own record of what happened.
What it cannot tell you: whether the frame that just came back differs from the frame that went out. Both photos exist; the comparison is a person's job.
Ready Tag
Point of Rental One
A quick confirmation that an item is functional, clean, fueled and up to your company's condition standards before it goes back on the shelf. It is deliberately fast, which is why yards actually use it.
What it cannot tell you: whether the person tapping it looked. A ready tag is an attestation, and the standard it is measured against lives in somebody's head.
Inspection checklists
Inspection App
Checklists generated automatically when items go out on rent or come back, assignable to a workgroup or an individual, answered with yes and no, numeric entries, sliding scales or collected photos. Items marked critical generate a repair or maintenance order automatically when they fail, and inspection logs record who completed which inspection and how long it took.
What it cannot tell you: whether the photo agrees with the answer beside it. The log proves the inspection happened, not what the camera saw.
Messages and work orders
Point of Rental One
Internal messaging connects field and office in one thread with contracts, photos and videos attached to any message, and repair, maintenance and service work orders can be created, edited and closed from the field. Offline, the app caches; completed tasks, call logs and photos sync once the phone is back in signal.
What it cannot tell you: anything, later. A photo in a thread is the hardest kind to find again when a claim is being argued.
Does Point of Rental compare a check-in photo to the check-out photo?
Not by itself, and it does not claim to. The product documentation is careful about this: photos track damage, contracts carry a record of what happened, inspection logs prove who did what. Point of Rental also sells Record360, which it describes as a separate, standalone inspection app built for detailed before-and-after documentation and damage-dispute prevention, and that is the honest reading of the split. Capture is solved several times over in this stack. The reading is what is left, and it does not scale by hiring: a yard doing three hundred returns a week generates more frames in a month than a service manager will look at in a year. RapidEye holds every earlier photo of each unit, so a scratch is either already in that unit's record from a previous contract or it is new on this one, and the finding says which.

Does RapidEye integrate with Point of Rental?
Yes. RapidEye reads the item, the contract, the dates and the condition photos your team captures at check-out and check-in, then returns a finding per issue: new damage, a missing part, a cleaning or fuel miss, or a safety concern, with the out and back photos side by side. Contracts, item records, inspections and invoices in Point of Rental are not changed.
Where do the photos come from?
From wherever your team already takes them. Point of Rental One captures condition photos on check-out and check-in and on Ready Tag, the Inspection App collects photos as a checklist response, and photos also travel as attachments on internal messages. If a yard is not photographing an item category yet, RapidEye can send a capture link that opens on any phone with no app to install.
Can RapidEye tell whether damage happened on this rental?
That is the question it is built to answer. RapidEye holds every earlier photo of that unit, so a scratch is either already in the record from a previous contract or it is new on this one. The finding shows the last frame the panel appeared clean in and the first frame it did not, with the contract and the dates in between.
Will RapidEye create work orders or fail inspections in Point of Rental?
No. Point of Rental stays the system of record. Your critical items still drive the automatic maintenance and repair orders described in the Inspection App, and a service manager decides what a RapidEye finding turns into. RapidEye reads and reports.
Does this work for event and party rental, not just heavy equipment?
Yes. Point of Rental serves general tool, aerial and access, heavy equipment, event and tent, portable sanitation and specialty operations, and the same reading works on a linen return, a staging deck or a light tower. The standard changes per category and we set that with you.
Do counter and yard staff have to change how they work?
No. They keep taking photos in the same app, on the same contract, in the same order. RapidEye reads what arrives. The only thing that changes is that somebody now looks at all of it.
