How a Whip Around defect works

Overview

Whip Around gives a defect everything it needs except a second opinion on the photo. A driver walks the asset in the mobile app, works through the cards on the form, photographs and annotates what is wrong, and the defect lands in the Maintenance module with a priority, a severity, an assigned mechanic and, if you want, a work order. What the platform captures is excellent, and it is captured on every asset you own. RapidEye reads the resulting images: the photos on inspections and defects, plus the asset, the driver, the form and the time, returning a finding per issue and setting each one against the same asset's earlier photos.

How it works with Whip Around

Whip Around's own objects are the shape of the review, so a finding always points at something your team already has open on screen.

  • Photo cards on the form. The frames you asked every driver to take, in the order the card list walks them around the asset. Consistent angles are what let one week be compared with the next, and what surfaces a cracked lens or a fresh gouge nobody chose to fail an item over.
  • Defect photos and their annotations. Up to 20 images per defect, marked up by the person who found it. RapidEye names what is in each one and how bad it looks, so a mechanic knows what tools to bring before they walk out to the yard.
  • The comment against the picture. A defect carries a name and a comment. When the words say one thing and the photo shows another, that is worth someone's attention, and it becomes a finding rather than a line in a text field.
  • Mileage and engine hour photos. The odometer shot is also a shot of the cab. RapidEye reads what else is in the frame, which is often the state the last driver left it in.
  • Equipment, trailers and anything else on an asset profile. A chipper inspected by whoever is on site that day still gets one continuous condition history, because the history belongs to the asset and not to the driver.

Each finding names the asset, the driver, the spot, the kind of problem, how serious it looks, and the photos it came from, with the earlier image beside the new one. It lands in the RapidEye dashboard and, if you want it there, a Slack channel or the shop's inbox. Whether that becomes a defect, a priority bump or a work order stays a decision your team makes in Whip Around. If what you capture is not photos, a walkaround video, a scan, an inspection format of your own, say so on the call: that is a setup conversation, not a limit.

How to connect Whip Around to RapidEye

  1. A Whip Around account with the assets you inspect and the forms your drivers already use. Assets you have flagged out of service stay in the account and can still be inspected, so their photos keep arriving.
  2. Photo cards on the forms that matter. A photo card takes up to 20 annotated images, and a photo guide on the card shows the driver the angle and distance you want. One card per side of the asset gives the cleanest comparison. Defect photos come through whether or not you add cards.
  3. A RapidEye user in the People module. Owners and admins can add one in a few clicks. The Connect panel above has the path and the address to invite.

What a Whip Around defect actually carries

A defect is the unit of work in Whip Around, and it is born in one of two ways. According to Whip Around's help centre documentation (whiparound.com), a defect is either raised against the specific card item that failed during an inspection, or added straight from the defects module in the mobile app by a driver who spots something without running an inspection at all. Either way the driver can attach up to 20 photos, annotate each one, write a comment, pick the asset and set the severity to critical or non-critical. Priority is separate from severity: defects arrive marked undefined, and anyone with access to the defects page can set one, from a list of levels an admin can rename and extend up to five.

Status moves between New, In Progress, No correction needed and Corrected, and a work order can be raised from the first three. Everyone in the account sees the new status once it changes.

From the defect details page a work order takes one click. Whip Around notes that service programs already due on that asset can be pulled into the same work order, that you choose the mechanic and the due date, and that line items, labor and parts costs go on afterwards. Mechanics sign off in the app and the repair joins the asset's service history, which is why a well-run Whip Around account is a genuinely complete maintenance record.

Does Whip Around review inspection photos on its own?

Yes, as an add-on. Whip Around documents AI Inspections Pro, which reviews eligible photos, form responses and driver comments after an inspection is submitted, looks for things like scratches, dents, rust and leaks, checks whether required tasks were done, cross-checks the photos against what the driver wrote, and puts a suggestion inline in Inspection History where a manager can turn it into a defect or dismiss it. It is a good loop and it is fast. What it is scoped to is the submission in front of it. RapidEye is scoped to the asset: what this photo shows against every earlier photo of the same truck, which marks are new since the last inspection, what has been slowly worsening across a quarter, which driver had it when the change appeared, and how the picture measures against the standard your fleet holds rather than against that one report. Fleets that care about both questions run both.

Does RapidEye integrate with Whip Around?

Yes. RapidEye reads the photos your drivers capture on Whip Around inspections and defects, along with the asset, the driver, the form and the time, and returns a finding per issue with the images behind it. Your inspections, defects, work orders and service history in Whip Around are not touched.

How many photos can a Whip Around inspection carry?

Up to 20 on a photo card, and up to 20 on a defect raised from the defects module, and drivers can annotate each one. Whip Around's documentation also describes photo guides, a reference image on the card that shows the driver the angle and distance to shoot. Those guides are what make a fleet's photos comparable week to week, and comparable photos are what RapidEye reads best.

Can RapidEye tell new damage from damage that was already there?

That is the main thing it does. On connection it reads the photo history already in your inspections and learns what each asset normally looks like, so a later finding can say whether a scrape, a crack or a missing strap appeared since the last inspection or has been in every photo for months.

Will RapidEye create or close defects and work orders in Whip Around?

No. Whip Around stays the record for defects, work orders, mechanic sign-off and service history. RapidEye reads and reports; whether a finding becomes a defect, a priority change or a work order is your team's decision inside Whip Around.

Does RapidEye work on equipment and trailers, not just trucks?

Yes. Whip Around treats anything you inspect as an asset, with its own profile and service history, and RapidEye follows the same shape. A skid steer, a trailer, a chipper or a generator gets its own condition history built from the photos taken on its inspections.
