How a Tripleseat event closes out

Overview

Tripleseat runs the event; the room it happened in is the one thing the record does not describe. An Event sits in a Room on a date, under a Booking, with Docs and a BEO off it and Tasks beside it. Files can be attached to it, and the close-out sequence squares the charges, the payments and the tasks. What none of that holds is condition: what the room looked like at setup and what it looked like at strike. RapidEye reads your rooms and event dates from Tripleseat and the photos your team takes in each one, and returns a finding per room with the two pictures either side of the party.

How it works with Tripleseat

A venue's day has three moments where a room is worth a photograph, and Tripleseat already names all three: the setup window before doors, the event itself, and the turn into whatever is booked next. The checks follow those.

  • Before doors, against the BEO. The BEO is the sheet the kitchen and the floor run on, and it is where the room count, the layout and the setup notes live. Photos of the set room come back read against what the sheet asked for: forty chairs where the sheet says forty-eight, the linen colour that is not the one on the contract, an AV cart still in the corner of a ceremony space.
  • At strike, against the setup photo. The same angles again after the guests leave. A gouge in a table edge, a burn on a bar top, a hole where a bracket was screwed into a wall, a chair that went home with somebody. Each comes back as a finding with the setup photo beside it and the event's date and name attached.
  • Between events in the same room. Bookings put several events in one room over a weekend. When a Saturday reception and a Sunday brunch share a space, the reset between them is where an unbilled scratch quietly becomes nobody's. Reading both turns puts it on the right one.
  • Rooms nobody has an event in. Empty weeks are when bulbs die, upholstery fades and a stack of chairs gets borrowed for another floor. A walk-through when the room is quiet gives you a fresh baseline to compare the next party against.
  • The Attached Files a team already keeps. If your staff are already dropping room pictures into the Attached Files section of an event, those are input. RapidEye reads what is in them instead of leaving them as files nobody opens.

A finding names the room, the spot in it, the kind of problem, how serious it looks, both photos and a suggested next step, and it lands in the RapidEye dashboard, with a Slack channel or an inbox for the events team if you want one. Tripleseat records stay exactly as your team left them. Photos are one input among several: if your team walks rooms on video, scans a ballroom in 3D, or works from a setup standard of your own, that is something we set up with you, not a limit of the product.

How to connect Tripleseat to RapidEye

  1. Your rooms, as Tripleseat has them. The rooms under Settings, Locations, Rooms, the same ones your events are booked into. If you have nested rooms under a buyout or a floor, RapidEye reads the hierarchy the way you organised it, so a finding in a sub-room lands under the room it belongs to.
  2. Photos from whoever is in the room. Tripleseat holds files rather than room checks, so RapidEye sends a capture link that opens on any phone with no app to install. The person who sets the room and the person who strikes it walk the same short set of angles. Teams that already shoot the rooms in another tool simply point RapidEye at that stream.
  3. An invited RapidEye user. Add RapidEye under Settings, Users, New User, with access to the locations you want checked. The Connect Tripleseat button has the name and email to paste in, and we take it from there.

How a Tripleseat event closes out

Tripleseat is event and group sales software for restaurants, hotels and unique venues, and its spine is two objects. According to Tripleseat's help centre documentation (tripleseat.com), a Booking is the umbrella and every Event is automatically tied to one, so a wedding is a Booking with a rehearsal dinner, a ceremony and a reception as separate Events, each in its own rooms and time frame. An event moves through Prospect, Tentative, Definite and then Closed, with Lost for the ones that fall through and Waitlist for a room people ask for by name. Definite is the signature and the deposit. Closed is the one that happens after the party.

The help centre spells out what closing an event means, and it is a tidy sequence of four things.

  1. Docs tabUpdate the picklist items and notes so what was actually sold on the night is on the document, including anything the party added as it went.
  2. Payments tabReconcile every payment until nothing is outstanding. The article suggests attaching the POS receipt to the event for reference.
  3. Tasks tabCheck nothing is still due. Tasks can be added by hand on an Event, Lead, Contact or Account, or fired automatically from Settings, Automations, on a trigger and a due date relative to the event.
  4. Status to ClosedWhich tells the team the event is finished and needs no more editing.
  5. The room itselfNot a step, because it is not a field. Money and tasks close inside Tripleseat; condition closes in the room, where whoever is stacking chairs at midnight is the only witness.

That last line is not a complaint about the software. Tripleseat is a sales and event platform and it is very good at the part it owns; the condition of a ballroom at 1am was never going to be a picklist item.

Can you attach photos to a Tripleseat event?

Yes, as files. The help centre describes an Attached Files section in the upper right of a Lead, Event or Booking, for supplemental files the team can see internally and the guest cannot, and its examples are a POS receipt, a floor plan diagram and a seating chart PDF. There is also a File Library under Settings for things used again and again, venue photos and floor plans and menu PDFs among them, with a folder that is private to you and a General folder everyone sees. Photos appear in Tripleseat's documentation in one other place: Direct Book, where images sell rooms, menu items and packages to a guest browsing your booking form.

All three are storage, and storage is a reasonable thing for an events platform to offer. What none of them does is look at the picture. A photo of a scuffed dance floor sitting in Attached Files is worth exactly as much as the moment somebody scrolls past it, which for most venues is never. Reading them is the piece RapidEye adds, and the reason a finding can carry the event name, the room and the two dates without anyone typing them.

What about the phone the work actually happens on?

Tripleseat is reached on a phone through the browser: the help centre walks you through logging in at its login page in Safari or Chrome and adding a shortcut to your home screen, then enabling push notifications for new inbound leads, new direct events, discussion messages, completed e-signatures and successful card payments. It is a sales-side alert list, which fits what the product is for. RapidEye's capture link works the same way, in the browser, with nothing to install, which is why a banquet porter with a borrowed phone can be part of this on their first night.

Does RapidEye integrate with Tripleseat?

Yes. RapidEye reads your room list and event dates from Tripleseat and the photos your team takes in each room, then returns a finding per room: damage, a reset that was not done, a missing item, or something needing maintenance, with the photo from before the event beside the photo from after it. Your Events, Bookings, Docs and BEOs in Tripleseat are not changed.

Can you attach photos to a Tripleseat event?

Yes, as files. Tripleseat's help centre describes an Attached Files section in the upper right of a Lead, Event or Booking for supplemental files your team can see and the guest cannot, with a POS receipt, a floor plan diagram and a seating chart PDF as its examples. A room photo can live there the same way. Attached Files is storage, so nobody reads what is in the picture; that is what RapidEye adds.

Does Tripleseat record the condition of a room after an event?

Not as a field. Tripleseat's documented close-out sequence covers the Docs tab, the Payments tab and the Tasks tab, then the status change to Closed. None of those steps asks anyone what the room looked like when the last guest left. RapidEye supplies that record and ties it to the event.

Will RapidEye change events, bookings or BEOs in Tripleseat?

No. Tripleseat stays the system of record for the calendar, the statuses, the documents and the billing widget. RapidEye reads and reports back, and your team decides whether a finding becomes a charge, a task or a repair.

We run six rooms in one location. Is a room check worth it at that size?

That is the size where it usually pays first. A small venue has one manager closing out a Friday and a Saturday at once, and a scuffed wall found on Tuesday is a scuffed wall nobody can bill for. Photos of six rooms take a couple of minutes to capture and come back read.
