AI turnover inspection for Stayflexi
Every room your team moves to Clean on the Stayflexi housekeeping dashboard gets its photos read, and you get told which ones are not ready.
What the housekeeping dashboard holdsOverview
The Stayflexi housekeeping dashboard counts rooms; it does not look at them. It holds a status per room, the guest and stay dates beside it, the staff member the room was assigned to, a remark field, an out-of-order log and an export in three file formats. Every one of those is a record of what somebody said. RapidEye adds the half that is missing: it reads the room list, the statuses and the stay dates from Stayflexi, reads the photos taken in the rooms, and returns a finding per room, named by room number and tied to the stay it belongs to.
How it works with Stayflexi
Stayflexi splits the day by what the room needs, and the checks follow those same splits, because a checkout room and a stayover room are answering different questions.
- Dirty Checkout. The guest has gone and the room has to be reset before the next arrival. This is where a claim either has evidence or does not: the photos of the vacated room are compared against the last time the room was known good, and a burn on a nightstand, a cracked shower screen or a missing remote comes back with both frames and the stay dates between them.
- Dirty Stayover. Stayflexi documents this as an occupied room being serviced with the guest's belongings still in it. The interesting question is not damage but whether the service happened: sheets changed, bin emptied, bathroom restocked, glasses replaced. RapidEye reads the stayover photos for exactly that, before the guest walks back in.
- Clean and Clean Occupied. Both are set by a person, in bulk, from a checkbox column. RapidEye turns each of them into something checkable: a bed made over a stain, streaked glass, hair left in the drain, a lamp with no bulb, a chair that is not the chair that belongs in that room.
- Out of Order. The out-of-order report records the room, the reason, the date range and when it was blocked. What it cannot show is the state of the room going in and coming out. RapidEye keeps the photo from before the block and the photo after the work, so the repair has a dated pair rather than a sentence.
- Staff remarks. A remark is a line of text somebody chose to type. The photo beside it is what nobody had to choose. Where your property runs written cleaning standards per room type, findings are scored against yours rather than a generic idea of clean.
A finding names the room number, where in the room, the kind of problem (damage, cleaning, missing item, maintenance), how serious it is, the before and after photos, and a suggested next step. It lands in the RapidEye dashboard and, if you want it there, in a Slack channel or an inbox for the housekeeping desk. What happens next in Stayflexi is yours: mark the room dirty again, block it, or leave it. Photos are the starting point and not the limit. If your team films a walkthrough rather than shooting stills, or holds a 3D scan of each unit, or wants findings scored against an inspection form of your own, that is set up with us on the first call.
How to connect Stayflexi to RapidEye
- A Stayflexi account with your rooms on the housekeeping dashboard. Every room you clean already appears in the room list with a status, a guest and a staff name. That list, and the check-in and check-out times beside it, is what RapidEye reads. Multi-property accounts connect once and keep their properties separate.
- Room photos from the person doing the clean. Stayflexi's housekeeping documentation describes no photo field, so RapidEye sends a capture link that opens on any phone with nothing to install. A fixed set of angles per room, lights on, taken before the room is marked Clean. If your housekeepers already photograph rooms in another app, RapidEye reads those instead.
- Add RapidEye as a user in Property Configuration. Users and Access Controls is where Stayflexi keeps roles and users; the modal has the exact path and the details to paste.
What the Stayflexi housekeeping dashboard actually holds
Checked against Stayflexi's product documentation and knowledgebase, September 2026.
Housekeeping in Stayflexi opens as a board of counters over a room list. According to Stayflexi's help centre documentation (stayflexi.com), the tiles across the top count Clean, Clean Occupied, Dirty, Dirty Stayover, Dirty Checkout, Out of Order, Total Clean, Total Dirty and All Rooms, and the list underneath gives each room its number, status, guest name, booking status, check-in and check-out times and the staff name it was assigned to. The counters are the summary a manager reads at 11am. Here is what each one is really telling you.
Status names and meanings as documented by Stayflexi. The bottom line of each tile is what the count leaves out.
What you can do to a room, and what none of it records
Select rooms with the checkboxes and the Actions dropdown applies in bulk. Stayflexi documents the set as:
Around those sit a search over room number, guest name and room type, a date picker for looking at another day, a grid view, column settings, an out-of-order report with its own log and filters, and an export in PDF, CSV or Excel. Assignment has its own screen: pick a user, filter by room type, click room numbers to select, assign or unassign. Stayflexi's housekeeping product page adds auto-assignment after checkout weighted by location, priority and workload, checklists and housekeeping charters per room type, a housekeeper mobile app for iOS and Android where staff work their task list and update status, and supervisors inspecting through a mobile checklist before a room is released.
Can Stayflexi prove a room was actually cleaned?
Not from the housekeeping record. Every field the documentation describes is set by hand or derived from a field set by hand: the status comes from a bulk action, the remark is free text, the supervisor's checklist is a set of ticks, and the reports count how fast those ticks happened. Stayflexi does document the camera elsewhere in the product, for capturing a guest photo from the device and uploading ID proof onto a reservation, which is the tell: the lens is pointed at the guest, never at the room. So a Clean count of 42 means forty-two people said so. RapidEye is the part that opens the photos of those forty-two rooms, every day, and tells you which two are not ready and which one has damage worth charging for.
Stayflexi integration FAQ
Does RapidEye integrate with Stayflexi?
Yes. RapidEye reads your room list, room statuses, staff assignment and stay dates from the Stayflexi housekeeping dashboard, plus the photos your housekeepers and supervisors take, and returns a finding per room: damage, a missed clean, a missing item, or something that needs maintenance, with the before and after photos. Your statuses, assignments, remarks and reports in Stayflexi are untouched.
Can you attach photos to a room in Stayflexi housekeeping?
Not according to the documentation. Stayflexi's housekeeping articles describe status tiles, bulk actions, staff assignment, an Add Staff Remark note, an Out of Order report and exports in PDF, CSV and Excel. The camera appears elsewhere in the product, for guest photos and ID proof on a reservation, but nothing in the housekeeping documentation attaches an image to a room. Room photos reach RapidEye from the phone your housekeeper already carries, through a capture link.
How does RapidEye check a room that was marked Clean in Stayflexi?
Clean in Stayflexi is a bulk action a person applies to selected rooms. RapidEye reads the photos taken in that room and reports what they show against the last time the room was in a good state: a bed made over a stain, a chipped bath panel, a missing kettle, a bulb out. The finding names the room number and the stay it belongs to, so a supervisor knows which door to open.
Does RapidEye work for a mixed portfolio of hotel rooms and vacation rentals on Stayflexi?
Yes. Stayflexi runs hotels, vacation rentals and villas from one login, and RapidEye reads them the same way: a baseline per space, then every new set of photos compared against it. A three-bedroom villa simply has more spaces to learn than a king room, and its findings name the room inside the unit.
Will RapidEye change room statuses or reports in Stayflexi?
No. Stayflexi stays the system of record for statuses, assignments, out-of-order blocks and reports. RapidEye reads and reports; whether a room goes back to Dirty, or gets marked out of order, is a decision your supervisor makes in Stayflexi.
Can RapidEye check against our own housekeeping standard?
Yes. If you have written cleaning standards per room type, findings are scored against yours rather than a generic one, and the standard can differ by room type or by property. Teams that film a walkthrough instead of shooting stills, or that hold a 3D scan of each unit, get that set up with us on the first call.
